## Step 1: Prepare the correct resume and job post

Use the version you plan to submit. Do not scan an old master resume and assume the result applies to the tailored file.

Copy the full job description into a temporary document. Keep the employer's wording intact. Look for:

- Required skills and certifications
- Software, platforms, and methods
- Job title and related role names
- Required years or types of experience
- Education and language requirements
- Duties that repeat across the posting

## Step 3: Read the score without chasing it

A score is useful when it points to a specific repair. It is noise when you change wording only to make a number rise.

### Separate coverage from vanity points

Keyword coverage matters when a required skill is absent from the resume. It matters more when the term appears in a relevant role, project, or achievement. A long list of tools in a Skills section is weaker evidence than a work bullet that explains how you used one.

A score can rise because a term appears several times. That does not mean the resume is better. Repetition can make the document harder to read and can look unnatural. Do not copy the full job description into your resume.

Missing sections are different from missing keywords. If your contact details sit inside an image or a decorative header, a checker may not read them. If your experience is labeled “What I’ve Done” instead of “Experience,” the text may still be understandable to a person, but a conventional heading is safer.

Imagine this initial scan for a customer support operations role:

The before version has a graphic header containing the email and phone number. It uses “Career History” for the work section, mixes `2021` with `03/22 to 08/23`, and mentions Zendesk in a skills list without showing how it was used.

The repair does four things. It moves the contact details into normal text at the top. It changes “Career History” to “Experience.” It applies one date format. It revises a truthful bullet from:

The job description also requires “ticket escalation,” a skill the applicant has used but had not named. The revised experience section includes that phrase in an accurate bullet. The ninth must-have is not added because the applicant has no evidence for it.

The improved result is better because the resume is easier to parse and gives context. The 78 is not a cutoff. Another checker or an employer system may assess it differently.

## Step 4: Use a one-change repair loop

Do not rewrite the whole resume after every scan. Change one category at a time. This tells you what fixed the problem and prevents accidental errors.

### Repair loop

1. Fix one issue, such as a missing contact field.
2. Save a new PDF with a clear filename.
3. Re-scan the same resume against the same job description.
4. Check whether the warning disappeared and whether any text was lost.
5. Fix the next issue only if the change was accurate.
6. Stop when the text paste-back is clean and the job's must-have skills appear in context.

“Text paste-back” means opening the PDF, selecting all visible text, copying it, and pasting it into a plain-text editor. Check the order. Your name and contact details should appear first. Headings should remain recognizable. Bullets should not become a random column sequence. Dates should stay attached to the correct employer and role.

If the paste is broken, repair the layout before adding more keywords. Avoid text inside images, overly complex columns, floating boxes, icons used instead of words, and decorative headers that hide contact fields. Use a simple structure with normal text and clear headings.

If the file type is the problem, read the application instructions first. Submit PDF when PDF is requested. Use DOCX when the portal requires it. A well-formatted PDF does not help if the portal rejects it or cannot read its text.
