The fastest useful ats check is a repair sequence, not a mystery score. Use a readable file, simple headings, one column, 8 to 12 accurate terms from the job description, five quantified bullets, and a plain-text paste test. Then apply with the tested file.

An ATS can parse your resume before a recruiter reads it. Different employers use different systems and settings. A public checker can reveal common file and keyword problems, but it cannot prove what an employer's system will score.

The ATS check repair sequence

1. Start with the job description

Choose one target job. Do not tune your resume against five postings at once.

Copy the job description into a working document. Mark these items:

  • Required job titles and functions
  • Technical tools and systems
  • Certifications, degrees, or licenses
  • Methods, processes, and domain terms
  • Seniority language
  • Measurable duties, such as forecasting, hiring, reporting, or account growth

Record 8 to 12 terms that match your actual background. Include a mix of tools, skills, and responsibilities. Keep the job description beside your resume while you edit.

If the posting uses “customer relationship management,” do not rely only on “CRM” unless both terms appear naturally in your experience. Search for exact phrases where they fit. Never add a skill just because it appears in the posting.

2. Fix the file type

Check the application instructions first. Use the requested format.

If the employer gives no format, use a text-based PDF or DOCX. A PDF protects the visual layout, but it still needs to contain selectable text. A DOCX can be useful where the application form asks for Word files.

Avoid these files:

  • Scanned PDFs made from photographs
  • Password-protected documents
  • Resume images in PNG or JPG format
  • Files with unusual extensions
  • PDFs where you cannot select and copy the text

Open the final file. Select a paragraph. Copy it into a text editor. If nothing copies, export the resume again from the original document.

3. Remove layout traps

Use one column from top to bottom. Keep the contact details in the main body rather than a header or footer. Remove text boxes, sidebars, decorative icons, charts, and rating bars.

Tables are a common source of reading-order problems. A human may see a neat two-column skills section. A parser may read the right column before the left one, repeat a cell, or drop the content.

Use plain text for contact details:

4. Rename unclear headings

Use headings that state what follows. Standard labels reduce guesswork.

Use:

  • Professional Summary
  • Work Experience
  • Education
  • Skills
  • Certifications
  • Projects

Replace labels such as “What I Do,” “My Toolkit,” or “Career Story.” They may look distinctive, but they do not tell every reader or parser what the section contains.

Keep the same heading style throughout. Do not put a role title inside an image or use a symbol as a substitute for a heading.

5. Build a plain-text skills block

Place a Skills section after your summary or before experience, depending on the role. List tools and capabilities in text. Do not use star ratings, bars, or a visual scale.

Example:

Skills: Salesforce, HubSpot, account planning, pipeline forecasting, SQL, dashboard reporting, customer retention, contract negotiation

Use exact terms from the target job when they are true for you. Keep the block focused. A long inventory of unrelated skills weakens the match and makes the section harder to review.

Your Skills section does not replace evidence in your work history. If you list SQL, show where you used it when possible. If you list pipeline forecasting, connect it to a result or responsibility.

6. Complete the keyword pass

Review the 8 to 12 terms you selected in step one. Add each accurate term once in the best location. Some belong in Skills. Others belong in the summary or a work bullet.

Use the job's wording when it describes your experience. Do not copy a block of keywords into the bottom of the resume. Do not repeat a phrase until the writing sounds unnatural.

7. Rewrite five bullets with numbers

Do not rewrite every line without a target. Select five bullets that matter most for this job. Give each one a clear action, relevant work, and a result.

Use real figures only. You can quantify revenue, volume, time, cost, headcount, conversion, accuracy, coverage, or frequency. If you cannot disclose a number, use a precise scope: region, team size, customer type, project scale, or reporting cadence.

Start bullets with direct verbs. Remove “responsible for,” “worked on,” and “helped with” when a stronger verb is accurate. Keep the target keyword attached to the work, not floating as a list.

8. Run the plain-text parsing test

This test takes two minutes and catches many layout problems.

  1. Open the final PDF or DOCX.
  2. Select all text.
  3. Copy it.
  4. Paste it into a plain-text box, such as Notepad or a basic text editor.
  5. Read the pasted version from top to bottom.

Check for these failures:

  • Your name or contact details appear halfway through the file
  • Dates are separated from the employers or job titles
  • Bullet points merge into one paragraph
  • Skills appear in the wrong order
  • Characters replace letters
  • Text disappears
  • Headers or footers repeat between sections
  • A second column interrupts the work history

Fix the source document. Export again. Repeat the paste test. Testing the source alone is not enough because export settings can change the final file.

9. Check the application form itself

An ATS check does not end with the resume file. Fill in the application fields carefully. If the form asks for work history, compare the imported entries with your resume. Correct missing dates, titles, and employers.

Use the same phone number, email address, and employment dates across the resume and form. If the employer asks for a cover letter or portfolio, upload the requested files separately. Do not hide extra resume content in an image.

10. Save a job-specific final file

Use a clear filename:

Keep an editable master copy. Save the tailored version separately. Before uploading, open the exact file you plan to submit and run the plain-text test one last time.

If the job has no named company, use the target role and month. Avoid filenames such as resume-final-final2.pdf.

What an ATS check cannot tell you

A checker can flag missing terms, weak alignment, or text that may be hard to parse. It cannot know whether your examples are persuasive, whether your career story makes sense, or how an employer configured its system.

Do not chase a perfect public score. Read the missing-keyword report. Remove false gaps caused by formatting. Add accurate terms that belong in your experience. Then judge the resume as a person would.
