ATS compliance is a practical file and content check. Use a readable file, standard headings, one-column structure, a visible skills block, 8 to 12 accurate terms from the target job, and bullets that show results. Then paste the resume into a plain-text box to catch parsing errors before you apply.

This repair can be done today. Work from one job description, not a generic master resume. The goal is not to guess an employer's hidden score. The goal is to give the application system clean text it can read and give a recruiter evidence they can scan.

## The ATS compliance repair sequence

Follow these steps in order. Do not start by adding random keywords. Fix the file and structure first.

### 1. Use the requested file type

Read the application instructions. If the employer asks for a DOCX, submit a DOCX. If it asks for PDF, submit a text-based PDF. If no format is specified, use a clean DOCX or a PDF with selectable text, depending on the application form and your normal workflow.

Avoid submitting a scanned image of a resume. A scanner may display it correctly to you while producing little or no usable text for a parser. To check your file, try selecting a sentence and pasting it into a basic text editor. If nothing appears, rebuild the file from editable text.

Give the file a useful name, such as `Jordan-Lee-Project-Manager-Resume.pdf`. Do not use `resume-final-final2.pdf`.

### 2. Remove layout obstacles

Use one column. Delete text boxes, sidebars, tables, charts, logos, icons, photographs, and decorative graphics. These elements can change the order in which text is extracted.

Keep contact details in the main body at the top. Do not put your phone number, email, or location only in a header or footer. Do not use a row of icons instead of written labels.

A plain layout is easier to scan, edit, and test. For more detail on file structure, see [ATS Compatibility: A Fix List You Can Finish Today](https://yourunique.cv/articles/ats-compatibility) and [ATS-Friendly: A Fix List You Can Finish Today](https://yourunique.cv/articles/ats-friendly).

### 3. Rename headings with standard labels

Use headings that a parser and a human will recognize. Replace creative labels with conventional ones.

| Instead of | Use |
|---|---|
| What I Bring | Summary or Professional Summary |
| Where I Have Worked | Professional Experience or Work Experience |
| My Toolkit | Skills or Technical Skills |
| Schooling | Education |
| Things I Have Done | Projects |
| Get in Touch | Contact Information |

Keep the heading text separate from the content below it. Do not place a heading inside a table cell or combine several sections under one decorative banner.

### 4. Build a clear top section

Start with your name, target role or professional title, city and state if useful, phone number, email address, and a professional profile link if relevant. Use written text for each item.

Follow this with a short summary. Make it specific to the target role. State your experience area, strongest relevant capabilities, and the type of results you produce. Do not fill this section with vague traits such as hardworking or results-oriented unless the job specifically requires them and you can support them elsewhere.

### 5. Add a skills block

Create a section titled `Skills`, `Technical Skills`, or `Core Skills`. Use a simple line-by-line or comma-separated format. Group skills only when the group names are clear.

Example:

```text
Technical Skills
Salesforce, HubSpot, SQL, Excel, pipeline reporting, lead qualification,
forecasting, account planning, dashboard development
```

The skills block helps a parser find terms quickly. It does not replace evidence in your experience bullets. If you list SQL, show where you used SQL and what changed because of it.

Never add a tool, certification, or method you do not know. A keyword that you cannot discuss in an interview creates a content problem, even if it passes a file scan.

### 6. Run one keyword pass against one job

Copy the target job description into a document. Mark repeated or specific terms in these groups:

| Group | What to look for | Resume action |
|---|---|---|
| Must-haves | Required experience, certifications, or duties | Use the accurate term in a bullet or skills block |
| Tools | Software, platforms, systems, and methods | Add the tool where you actually used it |
| Nice-to-haves | Preferred qualifications and adjacent skills | Include only if your background supports it |

Choose 8 to 12 terms that match your real background. Prefer the exact job wording when it is accurate. For example, if the job says `customer success platform`, do not rely only on a personal phrase such as `client tracking system` if you used a recognized platform that fits the requirement.

Place important terms in context. A list of keywords is weaker than a bullet that explains what you did with them. Check [ATS Language Optimization Resume Writing: A Fix List You Can Finish Today](https://yourunique.cv/articles/ats-language-optimization-resume-writing) for a focused keyword editing method.

Do this now with the [job description keyword extractor](https://yourunique.cv/free-tools/job-description-keyword-extractor). Paste the job description to see must-haves, tools, and nice-to-haves. You can optionally upload your resume PDF to see which terms are already present. Then paste the same job into [YourUnique.cv](https://yourunique.cv) if you want a draft based on facts from your profile. Review the draft for accuracy. The tool does not give you permission to claim missing experience.

### 7. Rewrite five bullets with numbers

Pick five bullets that relate directly to the job. Rewrite each using this repair pattern:

`Action + task or method + scope + measurable result`

Before:

```text
Responsible for managing customer onboarding and improving processes.
```

After:

```text
Managed onboarding for 42 mid-market accounts, rebuilt the Salesforce handoff process, and cut time to first value by 18%.
```

The second version gives the parser useful terms and gives the reviewer evidence. Numbers can describe revenue, cost, time, volume, team size, conversion, accuracy, retention, output, or delivery speed. If you cannot share an exact figure, use a defensible range or scope statement. Do not invent a result.

Repeat the edit for five bullets. Put the strongest relevant bullets near the top of each role. Start each bullet with a clear verb. Remove phrases such as `helped with`, `worked on`, and `responsible for` when a more exact verb is available.

### 8. Check dates and job titles

Use a consistent format, such as `March 2021 to June 2024`. Put the employer, title, and dates in predictable positions. Avoid placing dates in a right-side column or separating them from the related role.

Use your official title first when it is useful for accuracy. You may add a plain-language equivalent in parentheses if it helps explain the work, but do not misrepresent your position.

### 9. Perform the plain-text parsing test

This is the fastest way to find a broken reading order. Open a plain-text editor. Not a formatted word processor. Copy the entire resume and paste it into the editor.

Read the pasted text from top to bottom. Check for these failures:

- Your name and contact details are missing.
- The summary appears after the experience section.
- A right-column skills list is scattered through the work history.
- Job titles, employers, and dates are separated.
- Bullet points lose their text or merge together.
- Headers, footers, or page numbers appear in the middle of sentences.
- Symbols replace ordinary letters.
- A second page starts with fragments from the first page.

Fix the source document, export it again, and repeat the paste. Do not rely on how the PDF looks on screen. Visual appearance and extracted reading order are different checks.

### 10. Scan the finished file

Run the file through the [ATS resume checker](https://yourunique.cv/free-tools/ats-resume-checker). Upload the resume PDF and paste the same job description. The tool reports a match score, missing keywords, and gaps. Use those findings as editing clues. It scans the uploaded PDF for the result and is not a number from Workday, Greenhouse, or the employer's own system.

A checker cannot prove that an employer will rank your application a certain way. It also cannot decide whether a claim is true or whether a bullet is persuasive. Your plain-text test and human review still matter.

## What to remove before you apply

Search the document for layout and wording that can create avoidable errors:

- Tables used for the page layout
- Multiple columns
- Text boxes and floating text
- Images containing contact details or skills
- Unusual section names
- Acronyms with no written form when the full term matters
- Keyword strings that do not describe your experience
- Repeated bullets copied from the job description
- Unsupported numbers
- Headers and footers containing essential information

You can keep modest formatting such as bold section headings, readable font sizes, and consistent spacing. ATS compliance does not require making the resume unreadable to a person. It requires keeping the text simple enough to extract correctly.

## Final 12-point ATS compliance checklist

Check every box before submitting:

- [ ] I followed the employer's requested file type.
- [ ] The file opens correctly and has a useful filename.
- [ ] The resume uses one column.
- [ ] I removed tables, text boxes, graphics, and icons.
- [ ] Contact details are in the main document body.
- [ ] Headings use standard labels such as Summary, Skills, Experience, and Education.
- [ ] I included a clear skills block.
- [ ] I selected 8 to 12 accurate terms from this job description.
- [ ] I rewrote five relevant bullets with numbers or clear scope.
- [ ] Dates, titles, employers, and bullets stay together in the correct order.
- [ ] I pasted the resume into a plain-text box and fixed any errors.
- [ ] I ran the finished PDF through the [ATS resume checker](https://yourunique.cv/free-tools/ats-resume-checker) and reviewed the result without treating it as an employer score.

If you want to rebuild the document from your own profile facts, [sign up for YourUnique.cv](https://yourunique.cv/sign-up), paste the job description, and review the generated CV before export. You can keep your existing layout or select a built-in template, but still perform the plain-text paste test yourself.

## Apply today

Before you click Submit, confirm four final items: the file type is correct, headings are standard, the skills block is visible, and five bullets contain relevant evidence. Then complete the plain-text paste test. Use the [ATS resume checker](https://yourunique.cv/free-tools/ats-resume-checker) as a final file and job comparison, correct any clear gaps you can support, and apply.

## Questions

### What does ATS compliance mean on a resume?

ATS compliance means your resume uses a readable file format, standard headings, simple layout, searchable job terms, and text that remains in the correct order when parsed.

### Is a PDF ATS compliant?

A PDF can be ATS compliant when its text is selectable, its reading order is clear, and it avoids columns, tables, graphics, headers, and footers that can interfere with parsing. Follow the employer's requested file type when one is listed.

### How can I test ATS compliance for free?

Upload your resume PDF and paste the job description into the [ATS resume checker](https://yourunique.cv/free-tools/ats-resume-checker). It reports a match score, missing keywords, and gaps. Its result is a file scan, not an employer's Workday or Greenhouse score.

### Can [YourUnique.cv](https://yourunique.cv) improve ATS compliance?

[YourUnique.cv](https://yourunique.cv) can use your profile facts and a job description to create a tailored CV, then provide an ATS read against that job. Review every claim before exporting and do your own plain-text test.

### How many keywords should I add for ATS compliance?

Start with 8 to 12 relevant terms from one job description. Add only skills, tools, methods, and qualifications you genuinely have, using the employer's wording where it accurately describes your experience.
