ATS Compliant: Parsing, Keywords, and Recruiter View

ATS compliant means a system can extract your resume text in the right order, find relevant terms, and pass a usable record to a recruiter. It does not mean chasing a secret score or stuffing every possible keyword into the page.
Repair the file first. Then fix the structure, tailor one job, quantify five bullets, and run a plain-text test. Use the same sequence for company applications and LinkedIn Easy Apply.
The repair sequence
1. Start with the employer's file instruction
Read the application page before editing. If it asks for a DOCX, submit a DOCX. If it accepts PDF, use a text-based PDF with selectable text. Do not submit a screenshot, scanned image, or photo of a resume.
A PDF is not automatically safe or unsafe. The problem is usually how it was made. A design exported as a flat image may look perfect to you but provide little usable text to a parser. Open your PDF and try to select and copy a sentence. If you cannot select the text, rebuild the file.
Use a filename that identifies you and the document. For example: Jordan-Lee-Product-Manager-Resume.pdf. Avoid names such as final_final2.pdf.
2. Remove layout traps
Use one main column with a normal top-to-bottom reading order. Remove these items:
- Sidebars and multi-column layouts
- Tables used for contact details, skills, or work history
- Text boxes and floating objects
- Icons used instead of words
- Logos, portraits, charts, and decorative graphics
- Important details in headers or footers
- Complex timelines and progress bars

3. Rename headings with standard labels
A parser and a recruiter both benefit from familiar section names. Replace creative labels with direct ones.

Keep headings visually clear. Use a larger font or bold type, but do not turn headings into images. Put your name and contact details near the top in regular document text.
4. Build a searchable skills block
Add a section called Skills or Technical Skills. Use plain text separated by commas or short lines. Group terms only when the groups are obvious.
Example:
Skills: SQL, Excel, Salesforce, pipeline reporting, stakeholder management, A/B testing, forecasting
This block is useful for fast review, but it cannot repair unsupported experience. Every skill must be accurate and supported somewhere in your background when the job requires evidence. Do not paste a long list of tools just because they appear in a job description.
5. Run one keyword pass against one job
Do not tailor against five job descriptions at the same time. Choose the job you are applying for and extract its language.
Look for:
- Must-have skills and certifications
- Software, platforms, and technical methods
- Role-specific nouns, such as onboarding, forecasting, or procurement
- Deliverables and responsibilities
- Degree, location, language, or clearance requirements
Select 8 to 12 important terms that you genuinely match. Use the exact wording when it is truthful. For example, if your resume says “customer relationship software” and the job says “Salesforce,” write “Salesforce” only if you used Salesforce.
Place each selected term in a natural location. A tool may belong in Skills and in an experience bullet. A responsibility may belong in the summary or a recent role. Do not repeat a keyword in every section.

6. Rewrite five bullets with evidence
Start with five bullets in the most relevant roles. Each should state the action, the work, and the result. Add a number when you have one.

Use numbers you can defend. Good evidence includes revenue, cost, time, volume, conversion, retention, error rate, headcount, project count, or percentage change. If you do not know a precise figure, use a verifiable count or describe the result without inventing one.
The first version of a bullet may be vague. Ask four repair questions:
- What did I do?
- What tool, method, or skill did I use?
- What was the scale?
- What changed because of the work?
Then remove “responsible for,” “helped with,” and “worked on” when a stronger verb is accurate.
7. Check the recruiter view
A parser is one gate. A recruiter still has to understand the page quickly. Put the target role or professional focus near the top. Keep dates consistent, such as May 2021 to August 2024. Use a consistent format for employers, job titles, and locations.
Keep the summary specific. Compare these versions:
Before: Experienced professional seeking a challenging opportunity to grow.
After: Operations coordinator with 6 years of experience managing vendor schedules, inventory reporting, and process improvements for retail teams.
The second version gives a recruiter searchable context without making a claim about a skill that needs proof.
Run the plain-text parsing test
This test takes a few minutes and catches common order problems.
- Open the final resume.
- Select all visible text.
- Copy it into a plain-text editor or plain-text input box.
- Read from the first line to the last.
- Check the name, phone, email, headings, jobs, dates, bullets, skills, education, and certifications.
- Look for missing words, scrambled columns, duplicated text, broken dates, or symbols replacing bullets.
- Fix the source document and repeat the test.
The result should read like a basic text record. A good order might be: name, contact details, summary, skills, experience, education, certifications. If your phone number appears halfway through a job description, the layout needs repair.
Do not treat a public checker as the exact system used by an employer. Different systems handle files and formatting differently. A checker is useful for finding possible gaps, not for proving that an employer will assign a certain score.
Export and inspect the final file
Export a fresh copy after your edits. Open it on a second device if possible. Confirm that text can be selected, links work, page breaks are sensible, and no section disappeared. Check that the file you upload is the repaired version, not an older draft.

- I placed those terms in relevant sections without stuffing them.
- I rewrote five bullets with clear actions and numbers where available.
- I pasted the resume into a plain-text box and checked the reading order.
