Step 1: Prepare one CV and one job description

Save a copy of the CV you plan to submit. Use the job description for the exact opening, not a similar role from the same company. Remove personal notes, comments, and tracked changes first.

Copy the full job description into a plain text document. Include the responsibilities, required qualifications, preferred qualifications, tools, certifications, and role title. Leave out navigation text, equal opportunity statements, and unrelated company content when the checker allows it.

Look for repeated or high-value terms. A required certification matters more than a casual adjective. A tool named in several responsibilities deserves more attention than a generic phrase such as fast-paced.

Step 2: Run the scan

Record four things before editing:

Step 3: Read the score without chasing it

A score is a comparison produced by that tool's rules. It is not a universal grade. It is also not an employer's Workday or Greenhouse score. A higher number can still hide a poor CV if the document repeats keywords without explaining the work.

Use the score as a prompt to inspect evidence. Ask these questions:

  • Are the job's required skills present?
  • Do they appear under the right role or project?
  • Do your bullets explain how you used the skill?
  • Are the terms written in a form a reader can recognize?
  • Did a formatting error prevent important text from being read?

Give priority to truthful coverage. If the job asks for Salesforce and you used Salesforce to manage a pipeline, write that clearly. If you only read about Salesforce, do not add it as a skill. If you have equivalent experience under another name, explain the connection instead of copying a term without context.

The change from 62 to 78 does not prove the CV will pass an employer system. The improvement matters because the missing terms and contact details became readable. If the scan reaches a high number but the pasted text is scrambled, keep repairing the file.

Common repairs that improve a real scan

Put skills in context

A skills list helps a checker find terms, but experience bullets provide evidence. Write the tool, method, or certification in a sentence tied to an outcome.

Weak:

Excel, reporting, inventory

Stronger:

Built weekly Excel inventory reports that helped the operations team identify slow-moving stock.

Use the strongest truthful wording you can support. Add the job's exact term only when it matches your experience. Place a familiar abbreviation and its full form together when useful, such as “Search Engine Optimization (SEO).”

Use standard section headings

Choose headings such as Summary, Experience, Education, Skills, Certifications, Projects, and Volunteer Experience. Avoid putting key facts only in a graphic, a sidebar, a header, or a footer.

Your contact line should contain typed text for your name, email address, phone number, city and region if relevant, and professional profile link if you include one. Test every link. Do not add a full street address unless required.

Make dates unambiguous

Use one format throughout the CV. “Jan 2022 to May 2024” is clearer than a mixture of “2022,” “01/22,” and “Spring 2024.” For a current role, use “Present.” Check that each date belongs to the correct employer and that education dates do not look like employment dates.

Check the requested file type

Follow the employer's application instructions. If they ask for DOCX, submit DOCX. If they accept PDF, a text-based PDF with selectable text is usually easier to inspect than a scanned image. Do not assume PDF is always preferred.

Open the exported file on another device. Select and copy the text. If you cannot select it, the file may be image-only. If copying produces random symbols or an illogical order, fix the source document and export again.

The repair loop

Use a controlled loop. Changing everything at once makes it hard to know what helped.

  1. Run the initial scan.
  2. Fix one issue, such as a heading, date, contact field, or relevant keyword.
  3. Save a new file with a clear version name.
  4. Re-scan the new file with the same job description.
  5. Compare the warnings and missing terms.
  6. Paste the new PDF into a plain text editor.
  7. Confirm that the must-have skills appear in context.
  8. Keep the change only if it improves clarity and remains truthful.

Stop when the extracted text is clean, the required sections are recognizable, and the job's must-have skills appear in relevant bullets or sections. Do not keep editing to chase a vanity number. A repeated keyword can raise a tool result while making the document unpleasant to read.
