An applicant tracking system usually needs to extract basic information from your file: name, contact details, job titles, employers, dates, education, skills, and the words connected to the vacancy. If the file stores content in an unusual order, the system may extract a broken version.

Common failure points include:

  • Text saved as an image rather than selectable text.
  • Two columns that extract in the wrong reading order.
  • Tables that split a job title, date, or bullet into separate cells.
  • Icons used instead of words for phone, email, or location.
  • Headings such as “What I Do” instead of clear labels such as “Experience.”
  • Important skills placed in headers, footers, graphics, or sidebars.
  • A generic CV that uses none of the language in the job description.

The numbered repair sequence

1. Save a working copy

Duplicate your current CV before changing it. Name the working file with your name and the target role, such as Sam-Lee-Project-Manager.docx. Keep the final version simple: your name, role, and file extension are enough.

Do not use a filename such as final_final_new2.pdf. It makes version control harder and gives you no useful record of the target job.

2. Check the requested file type

Read the application instructions before exporting. If the employer requests DOCX, submit DOCX. If it requests PDF, submit PDF. If it accepts either, use the format that preserves selectable text and a sensible reading order.

Open the file and try to select and copy a paragraph. If you cannot select the words, the file may be an image or scan. Recreate the document with live text. Do not submit a screenshot of your CV.

3. Remove columns, tables, and text boxes

Use one main column. Put your contact line at the top of the document body, not in a header or a decorative panel. Remove text boxes and sidebars. Replace table-based layouts with ordinary paragraphs and bullet lists.

A table may look tidy on screen but extract in an order such as:

4. Replace creative headings

Rename sections with labels that describe their contents. Use these where they fit:

You do not need to use every section. Use the labels that match your history. Keep the spelling consistent. If you use “Professional Experience,” do not switch to “Work History” halfway through the same file.

5. Add a plain skills block

Place a readable skills section near the top, after your summary or before experience. Use text separated by commas or bullets. Grouping can help a human reader, but avoid elaborate skill bars or rating graphics.

Analysis: SQL, Excel, Power BI, dashboard development, data validation

6. Pull 8 to 12 terms from one job

Do not tailor your CV against several vacancies at once. Select the job you are applying for today. Read the description and mark repeated or specific terms in these groups:

Choose 8 to 12 terms that match your real background. Use the employer's wording when it is accurate. If the job says “customer retention,” do not use only “client loyalty” if you have done retention work. Add the exact phrase once in a relevant section.

7. Rewrite five bullets with numbers

Pick five bullets that matter most to the target role. Give each one a clear action, the work performed, and a measurable result when you have one.

Use accurate numbers. They can describe volume, time, money, frequency, team size, scope, or change. If you do not know an exact result, use a defensible measure such as the number of users supported or reports produced. Do not invent a percentage.

Keep the strongest five bullets close to the top of the experience section. A parser may extract them, and a recruiter can find them quickly.

Run the parsing test

This test takes two minutes and catches problems that a visual review misses.

  1. Open a plain-text box. Notepad on Windows or TextEdit in plain-text mode on macOS works.
  2. Copy the entire CV and paste it into the box.
  3. Read the pasted result from top to bottom.
  4. Check that your name and contact details appear first.
  5. Check that headings, employers, job titles, dates, and bullets stay in a logical order.
  6. Search for the five rewritten bullets and the 8 to 12 target terms.
  7. Look for missing characters, broken words, repeated headers, or content that has vanished.
