ATS Optimization: Step by Step for 2026 Applications

ATS optimization is a file repair job. Make the resume readable by parsing software, match it to one job, prove your work with numbers, and test the final file before you apply. You do not need to guess an employer's hidden score or fill the page with every possible keyword.

The ATS optimization repair sequence
1. Start with the job description
Choose one job. Do not tailor against a broad career category or five postings at once. Copy the full description into a working document. Mark:
- Required skills and certifications
- Job titles and function terms
- Software, platforms, and methods
- Industry terms and product names
- Duties that repeat or appear near the top
- Nice-to-have terms that genuinely match your background
Aim for 8 to 12 important keywords in the first pass. A keyword only belongs on your resume if it accurately describes your experience, education, or training. Do not add a tool because the posting mentions it if you have never used it.
2. Fix the file type before editing content
Read the application instructions. Submit the requested format. If the employer asks for DOCX, use DOCX. If it asks for PDF, use a text-based PDF exported from a document editor. Avoid a scanned image, password-protected file, or PDF where the text cannot be selected.
Keep the filename plain and useful:
FirstName_LastName_TargetRole_Resume.pdf
Do not use a filename such as resume-final-final-2.pdf. The filename will not repair bad content, but a clear name prevents avoidable confusion.
3. Remove columns, tables, and visual containers
Use one vertical reading order. Many parsing problems begin when content is placed in sidebars, text boxes, headers, footers, or floating shapes. A human may see a neat two-column design. A parser may read the right column before the left, split a phone number, or detach a date from the job title.
Remove these items:
- Multi-column layouts
- Tables used for alignment
- Text boxes and floating graphics
- Icons beside contact details
- Logos, photos, and decorative charts
- Important information in headers or footers

4. Rename headings with standard labels
Replace creative labels with headings that state what follows. Use:
- Summary
- Skills
- Professional Experience
- Education
- Certifications
- Projects
Avoid labels such as “What I Bring,” “Career Story,” or “My Toolkit.” They may look distinctive, but they give the parser less information about the section.
Use a consistent format for every role:

Do not rely on color, indentation, or a line drawn in a design program to explain the structure. Put the information in ordinary text.
5. Build a searchable skills block
Add a section titled Skills below your summary or near the top of the page. Use plain text separated by commas or short lines. Grouping can help a reader, but do not bury the terms in a graphic.
Example:
Skills: SQL, Python, Salesforce, pipeline reporting, A/B testing, stakeholder communication, project planning
Use the wording from the job description when it is truthful. If the posting says “customer relationship management,” and your background supports that phrase, include it even if your old resume only says “CRM.” You can include both where helpful: customer relationship management (CRM).
Do not repeat a keyword in every bullet. Put it in the skills block and use it in an experience bullet where you can prove how you used it.
6. Tailor 8 to 12 keywords to this job
Make a keyword pass with two columns: the phrase in the job description and the place where your resume supports it. This prevents random keyword stuffing.

The term can appear in a job title, summary, skills block, bullet, certification, or project. It does not need to appear everywhere. If the job uses an acronym, consider writing the full term and acronym once.

7. Rewrite five bullets with numbers
Pick five bullets that relate directly to the target role. Use this structure:

Use real figures. If you cannot disclose an exact number, use a defensible range, volume, time period, team size, or before-and-after measure. Do not invent results to make a bullet look complete.
8. Check dates, titles, and contact details
Put your name, phone, email, city and state, and LinkedIn URL in the main document body. Do not place them only in a header. Use recognizable date formats such as Jan 2022 to Mar 2025.
Check that your current title, employer names, education, and certification names are spelled consistently. A parser cannot infer the correct meaning from a typo.
Run the plain-text parsing test
Before uploading, copy the entire resume and paste it into a plain-text box, such as a basic text editor. Do not paste into a rich-text document that preserves formatting.
Review the pasted result from top to bottom. You should see this order:
- Name and contact details
- Summary
- Skills
- Experience, with each title next to the correct employer and dates
- Education and certifications
Look for these failures:
- Missing text
- Reversed columns
- Scrambled dates
- Broken phone number or email
- Bullets replaced by random symbols
- Skills separated from their labels
- Repeated headers or footers
- Words split across lines
If the order is wrong, return to the source document. Remove the table, column, or text box causing the problem. Export again and repeat the test. A visual check alone is not enough.
