ATS Parser: From Upload Fail to a Clean Parse
Fix an ATS parser failure before you apply. Repair file type, headings, layout, keywords, bullets, and plain-text output with this practical guide.

An ATS parser reads your resume before a recruiter may see it. Fix the file first, then the layout, headings, skills, keywords, and bullets. Finish with a plain-text paste test. This gives you a cleaner file without claiming a guaranteed score in any employer's system.
The repair sequence
Use one job description for this repair. Do not try to make one resume match every role.
1. Save the correct file type
Read the application instructions. If the employer requests DOCX, upload DOCX. If it accepts PDF, use a text-based PDF exported from Word, Google Docs, or another standard editor.
Do not upload a screenshot, image-only PDF, or scanned document. Those files may look fine to a person but contain little or no selectable text.
Open your PDF and try to select a sentence. Copy it and paste it into a text editor. If nothing pastes, export the file again as a text-based PDF or use DOCX.
Use a simple filename:
FirstName-LastName-Target-Role.pdf
Avoid a filename such as resume_final_v7_really-final.pdf. The filename will not repair a bad parse, but a clear name makes the upload easier to identify.
2. Remove layout objects that hide text
Make a copy of your resume. In that copy, remove:
- Multiple columns
- Tables used for the main resume body
- Text boxes
- Sidebars
- Icons used instead of words
- Content placed in headers or footers
- Decorative graphics
- Progress bars for skills
A two-column design can place your right column before your left column in extracted text. A table can split one job entry into disconnected cells. A header or footer may be ignored or repeated on every page.
Use one column. Put contact details in the main body at the top. Keep the document in normal reading order from top to bottom.

3. Rename headings with standard labels
An ATS parser looks for familiar patterns. A creative heading may be clear to a recruiter but less clear to software.
Use headings such as:
- Summary
- Skills
- Professional Experience
- Work Experience
- Education
- Certifications
- Projects
Avoid replacing Professional Experience with Where I Made Things Happen. Keep personality in the writing, not in the section names.
Put each job in a consistent order:
Job Title | Company | City, State | Month Year to Month Year
Keep dates in a consistent format. Do not put the employer in one text box and the dates in another. Write the complete entry as ordinary text.
4. Add a dedicated skills block
Place a Skills heading near the top of the resume, after your summary or before experience. Use plain text separated by commas or vertical bars.
Example:
Skills: SQL, Tableau, Excel, financial modeling, forecasting, variance analysis, budgeting
This block helps the parser identify skills as skills. It also gives you a controlled place to add relevant terms from the job description.
Do not add a tool, certification, or method you have never used. A keyword is useful only when your experience supports it. If a job asks for a skill you lack, leave it out or address the gap honestly elsewhere.
5. Run one keyword pass against one job
Copy the target job description into a document. Mark the terms that describe requirements, tools, methods, and deliverables. Separate must-have terms from nice-to-have terms.
Aim to add 8 to 12 relevant keywords that are already supported by your background. Place each term where it is accurate:

Use the employer's wording when it accurately describes your work. For example, if your resume says client relationship platform and the job says Salesforce, use Salesforce only if Salesforce was the platform you used.
Avoid repeating a keyword in every bullet. One accurate mention in the skills block and one in an experience bullet is usually clearer than a wall of repeated terms.
You can paste the job into the job description keyword extractor. It lists must-haves, tools, and nice-to-haves. With an optional resume PDF, it can mark which terms are already in the file. It does not tell you to add skills you do not have.

6. Rewrite five bullets with numbers
Choose five bullets that matter most to the target role. Replace task-only wording with action, method, and result. Add a number when you can support it.
Before:
Responsible for monthly reporting and helping the finance team.
After:
Built monthly variance reports in Excel for 14 cost centers, cutting review preparation from 3 days to 1 day.
Before:
Worked with customers to solve issues.
After:
Resolved 35 to 45 customer cases weekly through Zendesk, maintaining a 96% satisfaction rating.
Before:
Helped improve the sales process.
After:
Mapped the lead handoff process in Salesforce, reducing average follow-up time by 28%.
Use numbers that you can explain in an interview. They can describe volume, time, money, scope, quality, growth, or reduction. Do not invent metrics. If you do not know the exact number, use a defensible range or describe the result without one.
A useful bullet pattern is:
Action verb + work performed + tool or method + measurable result
7. Run the plain-text parsing test
This is the fastest manual check.
- Open the finished resume PDF.
- Select all text.
- Copy it.
- Paste it into a plain-text box such as Notepad or TextEdit in plain-text mode.
- Read from top to bottom.
Check the following:
- Your name and contact details appear first.
- Headings remain visible.
- Each job title stays with its employer.
- Dates are near the correct role.
- Bullets do not merge into one paragraph.
- Skills are readable as words, not icons.
- No section appears twice.
- No column content appears in a strange order.
- Special characters did not become empty boxes.
If the pasted text is confusing, return to the source document. Remove the object causing the problem and export again. Do not try to solve an order problem by adding more design.
