An ats ready resume is a plain, readable file that an applicant tracking system can extract in the right order. Use a standard file type, one-column layout, clear headings, a visible skills block, and keywords that match one specific job. Then test the file as plain text before you apply.

This guide gives you a repair sequence you can complete today. It covers the file, layout, headings, keywords, bullets, and final check.

What the ATS needs to read

An ATS first extracts text and fields from your resume. It may identify your name, contact details, employment dates, titles, education, skills, and other terms. A recruiter may then see a parsed profile, a searchable resume, or the original file. Your document must work in both views.

There is no universal ATS score cutoff. Different systems and employer settings process resumes in different ways. A public checker can point out likely gaps, but it cannot prove exactly what an employer's system will do.

The practical goal is simple: make every important fact easy to extract and easy for a recruiter to scan.

The repair sequence

1. Save the right file

Read the application instructions first. If the employer requests DOCX, submit DOCX. If it requests PDF, submit a text-based PDF. If it gives no instruction, DOCX is often the safer default for parsing.

Do not submit:

  • A scanned PDF made from a photograph
  • A resume that is only an image
  • A portfolio link instead of the requested file
  • A file with a password or editing restriction

Open the final file and select a sentence with your cursor. If you cannot select the text, rebuild or export it as a text-based document.

Rename the file clearly, such as Jane-Smith-Project-Manager-Resume.docx. Avoid names such as resume-final-final2.pdf.

2. Remove layout traps

Use one column from top to bottom. Remove sidebars, text boxes, floating objects, decorative icons, and important content in headers or footers. These elements can change the reading order or hide text from extraction.

Tables are a common problem. They may look tidy in Word, but an ATS can read cells from left to right, top to bottom, or in an order you did not expect. Do not put dates in one table cell and job titles in another if the system could mix them up. Convert the content into normal lines.

Use a normal font in a readable size. Keep color limited. Do not use charts, star ratings, progress bars, logos, or skill meters to communicate experience.

3. Rename headings with standard labels

Replace clever headings with labels that describe the section directly. Use:

  • Summary
  • Skills
  • Professional Experience
  • Education
  • Certifications
  • Projects

Avoid headings such as “What I Bring,” “My Story,” or “Career Highlights” when they replace a standard section. A person may understand them. A parser has less context.

Put your name and contact details near the top of the main document. Include city and state or country if location matters for the role. Add a phone number, professional email address, and a relevant LinkedIn URL if you use one.

4. Add a dedicated skills block

Create a section titled Skills or Technical Skills. Use text separated by commas or short bullets. Group skills only when the groups remain easy to read.

Example:

Skills: SQL, Tableau, Excel, data analysis, dashboard development, A/B testing, stakeholder reporting

Do not hide skills inside a graphic. Do not list every tool you have ever seen. Include skills you can support with your experience and tailor the list to the job.

A skills block helps the parser find terms quickly. Your experience bullets should support the same terms with evidence.

5. Run one keyword pass against one job

Do not tailor your resume to a vague career goal. Choose the exact job posting you plan to apply to. Read the full description and mark repeated requirements, tools, methods, certifications, and role names.

Aim for 8 to 12 relevant phrases. Use the wording from the job when it truthfully matches your background. Add a phrase to the summary, skills block, or an experience bullet where it belongs.

Do not paste the job description into your resume. Do not add a certification, tool, or responsibility you do not have. Keywords must describe real work.

6. Rewrite five bullets with numbers

Find five bullets that describe duties without showing an outcome. Rewrite each one with an action, the work, and a measurable result when you have one.

Weak:

Stronger:

Built monthly sales reports in Excel and reduced manual preparation time by six hours per cycle.

Weak:

Helped customers with account issues.

Stronger:

Resolved billing and access issues for 40 to 60 customers per day while maintaining a 96% quality score.

Coordinated email campaign assets with marketing and design, delivering 18 launches on schedule.

Use numbers such as revenue, time saved, volume, team size, response time, error rate, conversion rate, budget, or completion rate. If you cannot share an exact figure, use a truthful range or describe the result without inventing one.

Keep the first words specific. Good verbs include built, audited, automated, analyzed, launched, managed, reduced, improved, tested, and delivered. A recruiter should understand the role, tool, and result without decoding the bullet.

The plain-text parsing test

This is the fastest manual test you can run today.

  1. Open the final resume.
  2. Select all text.
  3. Copy it.
  4. Paste it into a plain-text box, such as Notepad or a basic browser text area.
  5. Read from the first line to the last line.

Check the order. Your name should come first. Contact details should follow. Each job should keep its title, employer, dates, and bullets together. Education should not appear in the middle of an experience section. Skills should not be scattered between unrelated lines.

Look for these failures:

  • Missing phone number or email address
  • Dates separated from the matching job
  • Columns merged into confusing sentences
  • Bullets missing or converted into symbols
  • Header or footer text omitted
  • Certification names broken into fragments
  • Important keywords lost during export

If the plain-text version is confusing, return to the source file. Remove the table or text box causing the problem, then export again. Repeat the test on the exact file you will upload.
