1. Confirm the file type
Read the application instructions first. If the employer accepts PDF, use a PDF with selectable text. Open it and try to highlight a sentence. If you cannot select the text, the file may be an image scan. Recreate the document as text or export it again from the source file.
Use DOCX when the employer requests DOCX. Do not convert a clean DOCX to a low-quality image PDF. Keep one clean source file so you can make corrections later.
2. Remove columns, tables, and text boxes
Columns can cause the parser to read the right side before the left side. Tables can split a job title, employer, or date into separate fragments. Text boxes and floating elements can disappear entirely.
Use one main column. Put contact details in the body at the top instead of a header or footer. Remove icons that carry meaning, such as a phone icon before your number. Write the label or number as text.
A simple document may look less designed. It is easier to read, edit, and parse.
3. Rename headings with standard labels
Use headings that identify the section without making the reader guess. These work well:

Keep the heading text separate from body text. Do not place a section title in a graphic. Use consistent capitalization and spacing.
4. Build a plain skills block
Add a section called Skills or Technical Skills. List tools, methods, and job-related capabilities in text. Separate items with commas or vertical bars. Do not hide them in a chart or rating scale.

Use the job's wording when it is accurate. For example, if your resume says sales projections and the job says pipeline forecasting, you can use both when they describe work you actually performed.

7. Check dates, titles, and contact details
Use a consistent date format, such as May 2022 to August 2024. Put the job title and employer in plain text. Keep dates close to the role they describe. Check that your email, phone, LinkedIn URL, and location are correct.
Avoid placing dates in a separate visual column. A parser may detach them from the correct job. A readable entry is:

8. Test the parsed order
Open the PDF. Select all text. Copy it into Notepad, TextEdit in plain-text mode, or another plain-text box. Read from top to bottom.
You want this order:
- Name and contact details.
- Professional Summary.
- Skills.
- Professional Experience, newest role first.
- Education.
- Certifications, if relevant.
Look for these failures:
- A phone number split into separate digits.
- A heading attached to the previous sentence.
- Job dates appearing before the wrong employer.
- Bullet symbols replacing the entire sentence.
- Missing text from a sidebar, header, footer, or table.
- Two columns merging into a confusing sequence.
Fix the source document, export a new PDF, and repeat the paste test. Do not repair the copied text by hand. The copied text is the test result, not the submission file.
