For most applications, choose chronological. Use combination only when the skills section adds information that the work history alone does not make obvious. Do not hide dates to make a gap disappear. Explain the gap briefly in a cover letter or, where appropriate, in the resume itself.

Put sections in a predictable order

A standard order gives each piece of information a clear place:

  1. Name and contact information
  2. Professional summary, if useful
  3. Skills
  4. Work Experience
  5. Education
  6. Certifications, projects, publications, or other relevant sections

You can move Skills below Work Experience if your recent achievements carry more weight. Keep the section labels explicit. Use “Work Experience,” not “Where I’ve Been.” Use “Education,” not “What I Studied.” Use “Certifications,” not “Proof I’m Qualified.”

Good heading names include:

Avoid putting several categories under one decorative heading. For example, do not put Skills, certifications, and tools under “Highlights” if the content could be separated. Clear labels make it easier to understand what each item means.

Write dates in one consistent format

Use month and year for jobs, education, certifications, and projects when the month matters. A format such as 03/2022 to 11/2025 is compact and clear. You can also use Mar 2022 to Nov 2025. Pick one and use it everywhere.

For a current role, write 04/2024 to Present. Do not use a mix such as 2021, June 2022, and 09/2023. Do not place dates only in a graphic, header, or footer. The date should remain part of the normal text flow.

Right-align dates in Word without a table

Tables are a common shortcut, but they can create awkward reading order when a resume is parsed. Use a tab stop instead.

In Microsoft Word:

  1. Select the lines that need aligned dates.
  2. Open the Paragraph dialog, then select Tabs.
  3. Set a right-aligned tab stop near the right margin, such as 6.5 inches on a standard letter page. Adjust it to your margins.
  4. Click Set, then OK.
  5. Put the job title on the left, press the Tab key once, and type the date.
  6. Repeat for every entry.

Do not create the space with repeated spaces. Do not use separate text boxes. If a title wraps, check that the date stays on the intended line and that the copied text still reads in the correct order.

Keep the page layout simple

A clean resume is easier to scan and less likely to lose structure during conversion. Use one column for the main content. A narrow sidebar can look attractive, but it may separate a heading from the content that belongs under it.

Use familiar fonts such as Arial, Calibri, Georgia, Helvetica, or Times New Roman. Keep body text readable, usually around 10 to 12 points. Use larger text for your name and modest size differences for headings. Avoid decorative icons for phone, email, location, or websites. Write the labels as text.

Use normal margins and enough white space to separate sections. Do not shrink the font to force six years of work onto one page. Do not add large empty areas to make a short resume appear longer.

Page length rules

One page is useful for students, early-career applicants, and people with a short relevant history. Two pages are reasonable when you have enough relevant experience, leadership, projects, or technical detail to justify the space. Do not remove relevant evidence just to meet a one-page rule.

Every page should carry your name and contact details in the document body. Keep essential information out of headers and footers. Some parsers may not read those areas in the order you expect.

Think of your resume as a text document with visual hierarchy, not as a poster.

Do this: Use a single column. Put your name at the top. Follow it with contact details, a short summary, skills, Work Experience, and Education. Use bold text for job titles or employers. Separate sections with white space and simple lines if needed.

Not this: Use a two-column design with skills in a left sidebar, experience in a right panel, and contact icons in a colored header. The visual result may be polished, but the extracted text can move between columns or lose its labels.

Do this: Use ordinary bullet characters for achievements. Start each bullet with a clear action and include the result when you have one.

Not this: Put an entire career history inside a chart, timeline, infographic, or image. Text inside images is not dependable resume text.

Do this: Use bold and spacing to create hierarchy.

Not this: Rely on colored text, unusual symbols, text boxes, or decorative lines to communicate where a section starts.

Before: a timeline with dots, icons, floating year labels, and “Where I’ve Been” as the heading.

After: “Work Experience,” followed by each job title, employer, location, MM/YYYY dates, and five focused bullets in normal document text.

Check the content after formatting

Good formatting cannot repair missing evidence. Match your resume to the job description, but only include skills and tools you actually use or can support with experience.

Use the job description to identify required skills, tools, certifications, and repeated responsibilities. Place a relevant term in your Summary, Skills, or Work Experience when it accurately describes your background. Then prove it in a bullet.

Weak bullet:

Stronger bullet:

The second version gives the reader a tool, task, and result. It also gives the parser useful text without stuffing the page with disconnected keywords.

Keep five strong bullets for a recent, relevant role when the evidence supports them. Older or less relevant roles can use fewer. Remove repeated duties, vague adjectives, and bullets that do not help the target job.

Test the exported PDF

Save a PDF only after checking the source document. Open the PDF and inspect page breaks, dates, bullets, links, and symbols. Then copy all text from the PDF and paste it into a plain-text editor.

Look for these problems:

  • Dates separated from job titles or employers
  • Headings appearing after the content they introduce
  • Bullets missing or converted into odd symbols
  • Text from a sidebar inserted into the middle of a job description
  • Contact details missing from the copied text
  • Words split or changed during export
