# ATS Resume Scan: From Upload Fail to a Clean Parse

Run an ATS resume scan, fix file and layout errors, match one job description, and submit a clean, readable resume with this repair guide.

> An ATS resume scan checks whether your file can be read and matched to a job. Fix the file type, simplify the layout, add accurate keywords, quantify five bullets, and run a plain-text paste test before applying.

An **ATS resume scan** helps you catch two separate problems before you apply: the system may fail to read your file, or it may read the file but find a weak match for the job. Fix the file first. Then tailor the content.

Use this repair sequence today: save a compatible file, remove layout traps, rename vague headings, add a skills block, match 8 to 12 accurate terms from one job, rewrite five bullets with numbers, and test the result as plain text.

## 1. Save a file the application can read

Start with the posting. If it requests DOCX, submit DOCX. If it requests PDF, submit PDF. If it gives no instruction, use a clean PDF with selectable text or a DOCX copy that you have tested.

Avoid these upload problems:

| Problem | What can happen | Repair |
|---|---|---|
| Scanned image PDF | The file contains a picture instead of readable text | Export from an editable document or run OCR, then check the text |
| Password-protected file | The application cannot open or extract it | Remove the password before uploading |
| Damaged export | Text may be missing or scrambled | Export again from the source file |
| Unclear filename | You make the file harder to identify later | Use `FirstName-LastName-TargetRole.pdf` |
| Unsupported format | The form may reject the upload | Follow the file instruction in the posting |

Open the final file and try to select a sentence with your cursor. If you cannot select words, the document is probably an image. A selectable file is not automatically safe, but it gives you a usable starting point.

## 2. Remove layout traps

An ATS can read the words while losing their order. Columns, tables, text boxes, headers, footers, icons, and decorative graphics can cause this. A person may see a neat two-column page. The parser may read the right column before the left, split a date from a job title, or skip content in a text box.

Use this simpler structure:

- One column.
- Left-aligned text.
- Standard fonts such as Arial, Calibri, or Georgia.
- Normal bullets made with the word processor.
- Consistent dates, such as `May 2021 to March 2024`.
- No photo, logo, rating bars, charts, or skill graphics.
- No contact details hidden in a header or footer.

A plain layout can still look professional. Use spacing, font size, and clear section breaks instead of boxes and shapes. For more layout examples, see [ATS Compliant Resume: From Upload Fail to a Clean Parse](https://yourunique.cv/articles/ats-compliant-resume) and [ATS-Friendly Resume Template: Simple Layouts That Still Parse in 2026](https://yourunique.cv/articles/ats-friendly-resume-template).

## 3. Rename headings so the section is obvious

Creative headings can hide useful information. Replace `What I Bring` with `Summary`. Replace `My Toolkit` with `Skills`. Replace `Where I Have Worked` with `Professional Experience`.

Use familiar headings such as:

- Summary
- Skills
- Professional Experience
- Education
- Certifications
- Projects

Keep each section under its heading. Do not put your phone number in a graphic. Do not place employment dates in a separate floating box. The parser should encounter the company, title, location, and dates in a predictable order.

## 4. Add a focused skills block

Place a `Skills` section below your summary or above your experience. Use searchable terms that you genuinely know. Separate them with commas or vertical bars. Grouping can help a reader, but avoid a table.

Example:

`Skills: Salesforce, HubSpot, lead qualification, pipeline reporting, SQL, Excel, customer retention`

Do not use a skills block as a substitute for evidence. If you list Salesforce, show how you used it in a relevant bullet. If you have only watched a tutorial, do not list the tool as professional experience.

## 5. Run one keyword pass against one job

Do not tailor your resume against several job descriptions at once. Choose the role you are applying for now. Read the description and mark four types of terms:

| Term type | Examples | Where to use it |
|---|---|---|
| Role language | Account manager, data analyst, project coordinator | Summary and job title context |
| Required skills | Forecasting, SQL, user research | Skills block and relevant bullets |
| Tools | Salesforce, Jira, Tableau | Skills block and bullets that prove use |
| Outcomes or duties | Renewal growth, sprint planning, variance analysis | Experience bullets |

Select 8 to 12 terms that fit your actual background. Use the exact wording when it is accurate. For example, if your resume says `client tracking system` and the job says `Salesforce`, use `Salesforce` only if Salesforce is the system you used.

Place terms naturally. Add a tool to a bullet that explains the task. Add a method to a bullet that explains the result. Do not paste a block of job-description text into your resume. Do not claim missing experience.

Run the file through the [ATS resume checker](https://yourunique.cv/free-tools/ats-resume-checker), then paste the same job into [YourUnique.cv](https://yourunique.cv) if you want a draft based on your real profile. The checker reports a score, missing keywords, and gaps. It does not reproduce the employer's Workday, Greenhouse, or other ATS result. Treat it as a diagnostic, not a hiring decision.

## 6. Rewrite five bullets with numbers

Pick five bullets that relate directly to the job. Repair each one with this pattern:

`Action + task or method + scope + measurable result`

Numbers can describe revenue, time, volume, accuracy, cost, users, projects, response rate, or team size. Use real figures. If you cannot disclose an exact amount, use a truthful range or percentage.

| Weak bullet | Repaired bullet |
|---|---|
| Managed customer accounts and helped with renewals. | Managed 42 mid-market accounts in Salesforce and raised renewal completion from 78% to 89% in two quarters. |
| Worked on reporting for the finance team. | Built weekly variance reports in Excel for 6 department leads, cutting manual review time by 4 hours per week. |
| Helped improve the onboarding process. | Rewrote 12 onboarding guides and reduced average new-hire setup time from 5 days to 3. |
| Used Jira to track projects. | Tracked 18 sprint deliverables in Jira and reduced overdue tickets by 31% across two release cycles. |
| Supported marketing campaigns. | Coordinated email campaigns to 24,000 subscribers and increased click-through rate by 16% over three sends. |

Do not add numbers just to make a bullet look stronger. Check them against your records. A clear bullet with a truthful scope is better than an invented result.

## 7. Perform the plain-text parsing test

This test catches order and omission problems that visual review misses.

1. Open the final PDF or DOCX.
2. Select all text.
3. Copy it.
4. Paste it into a plain-text box, such as a basic text editor.
5. Read from top to bottom.
6. Check whether your name, contact details, headings, dates, companies, titles, skills, and bullets appear in the right order.

Look for these failures:

- Your name appears halfway through the file.
- The phone number or email is missing.
- A two-column section is interleaved.
- Dates appear on the wrong job.
- Bullets lose their symbols and run together.
- Text inside a table disappears.
- Symbols replace letters.
- The skills block appears after education or in fragments.

If the paste is hard to read, simplify the source document. Remove the table or text box causing the problem. Export again. Repeat the test on the exact file you will upload, not an earlier draft.

## 8. Run the final scan, then apply

A checker can point to missing terms and possible gaps. It cannot confirm that your experience is true, that an employer's system will behave identically, or that a recruiter will choose you. Read every flagged item. Fix only problems you can support.

## Questions

### What does an ATS resume scan check?

An ATS resume scan checks whether resume text can be extracted from the file and compared with a job description. It may identify missing keywords, unclear headings, formatting problems, and content gaps. A public checker does not produce the same number as an employer's Workday, Greenhouse, or other system.

### Should I use a PDF or Word file for an ATS resume?

Use the file type requested in the job posting. If no type is specified, a clean PDF made from selectable text is often practical, but test it first. A Word document may be safer when the employer specifically requests DOCX.

### How many keywords should I add to my resume?

Choose about 8 to 12 accurate terms from one job description. Place them where they are supported by your experience, such as the summary, skills block, and relevant work bullets. Do not add skills you do not have.

### Where can I run an ATS resume scan before applying?

Use the [ATS resume checker](https://yourunique.cv/free-tools/ats-resume-checker) to upload a resume PDF and paste a job description. It reports a match score, missing keywords, and gaps. The PDF is scanned for the result and is not saved to an account, and the result is not an employer's ATS score.

### Can YourUnique.cv rewrite my resume for one job?

[YourUnique.cv](https://yourunique.cv) can use your resume, optional LinkedIn URL, and a job description or job link to create a CV from your profile facts. It then provides an ATS read against that job and a PDF export. You still need to verify every claim and run your own plain-text test.
