ATS Resume Scanning: Parsing, Keywords, and Recruiter View

ATS resume scanning can fail before a recruiter sees your work. Fix the file first, then check headings, skills, keywords, and evidence. Finish with a plain-text paste test. This process catches many avoidable parsing problems before you apply.
Use one job description at a time. Pull 8 to 12 accurate keywords from it, rewrite five relevant bullets with numbers, and submit the cleanest file the employer requests. A high result from a public checker is not an employer score. It is a diagnostic signal.
The repair sequence
1. Save the right file type
Read the application instructions before exporting. If the employer requests DOCX, send DOCX. If it requests PDF, send a text-based PDF made from your document editor. Do not upload a scanned image of your resume.
Open the final file and try to select individual words. If you can only select the whole page as an image, the text may not be readable to a parser. Check the file on a second device if possible. A file that looks correct in your editor can change during export.
Use a clear filename such as Avery-Smith-Project-Manager-Resume.pdf. Avoid names such as resume-final-final2.pdf. The filename will not repair weak content, but it helps you submit the correct version.
2. Remove layout traps
Use one main column. Keep the reading order from top to bottom. Delete text boxes, floating graphics, sidebars, icons, charts, and decorative lines that carry information.
Tables are a common problem. A person may see a neat two-column skills section, while text extraction returns items in an odd order or separates a heading from its content. Replace tables with plain lines or a simple bullet list.
A restrained design is fine. Use a familiar font, readable size, normal spacing, and strong contrast. Your resume should still make sense when all visual styling disappears.

3. Rename headings so they say what they contain
Use standard headings that a parser and a recruiter can identify quickly:
- Summary
- Skills
- Professional Experience
- Education
- Certifications
- Projects
Avoid creative replacements such as “What I Bring,” “My Story,” or “Toolbox.” They may look distinctive, but they make the document's structure less clear. Keep section headings separate from the content below them.
Write dates consistently. For example, use May 2021 to March 2024 or 05/2021 to 03/2024 throughout. Put the job title, employer, location, and dates in predictable positions.
4. Add a plain Skills block
Place a Skills section near the top, after your summary or contact details. Use text, commas, or simple bullets. Example:
Skills: stakeholder management, project planning, SQL, Salesforce, process improvement, vendor management
This block gives the parser a direct list to read. It does not replace proof in your experience section. If a job asks for Salesforce, mention it in Skills only when you can support that claim with real work, training, or a project.
Do not copy every phrase from the job description. Do not add tools you have never used. A keyword must be true, relevant, and easy to verify from your background.
5. Run a keyword pass against one job
Start with the job description, not a generic keyword list. Sort its useful terms into three groups:

Choose 8 to 12 terms that you genuinely meet. Keep the wording close to the posting where it is accurate. For example, if the job says “vendor management,” do not use only “supplier coordination” if you have done vendor management. Include both terms only when both describe your work.
Run the job description through the job description keyword extractor. It lists must-haves, tools, and nice-to-haves. An optional resume PDF shows which terms already appear in your file. Treat the output as a review aid. It cannot decide whether you truly have a skill.

6. Rewrite five bullets with numbers
Pick five bullets that relate directly to the target role. Replace task-only wording with action, method, and result. Add numbers when they are available.

Use honest numbers. If you cannot share an exact figure, use a defensible scope such as team size, account count, project duration, frequency, or budget range. Never invent a result to make a bullet sound stronger.
7. Run the plain-text parsing test
This is the fastest way to see what survives without layout. Open a plain-text box. Not a rich text editor. On Windows, use Notepad. On macOS, use TextEdit in plain-text mode. You can also paste into a browser address field, then delete the text without opening the link.
Copy all resume text and paste it into the box. Do not fix it as you go. Review the pasted version from top to bottom.

Check these points:
- Does your name appear first?
- Are the sections in the intended order?
- Are job titles connected to the right employers and dates?
- Did bullets remain separate?
- Did contact details, email, phone, and location survive?
- Are skills readable as words rather than broken characters?
- Did any sidebar content appear in the wrong place?
- Did symbols replace letters or create empty gaps?
If the pasted text is scrambled, return to the source document. Remove the table, text box, column, icon, or image causing the problem. Export again and repeat the test. Do not assume the visual PDF is safe because it looks polished.
Run a final file and content check
