The first failure is often simple: the text is present visually but difficult to extract. A text box may be read out of order. A heading may be treated as decoration. A skill in a graphic may disappear. A PDF may contain an image of the resume instead of selectable text.

The repair sequence

Follow these steps in order. Do not start by adding random keywords. Fix the file and reading order first.

1. Save a usable file

Check the application instructions. If they ask for DOCX, upload DOCX. If they ask for PDF, export a text-based PDF from your editor. Do not upload a screenshot, scanned image, or portfolio image as your main resume.

Open the PDF and try to select a sentence. Copy it into a temporary text box. If nothing pastes, or the pasted result is blank, rebuild the file from editable text.

Keep the file under a plain name such as:

Firstname-Lastname-JobTitle-Resume.pdf

Avoid names such as resume final final 3.pdf. The filename is not a substitute for good content, but a clear name makes file handling easier.

2. Remove columns, tables, and floating objects

Use one main column. Delete sidebars, text boxes, icons, charts, logos, and decorative lines that carry information. They can split the reading order or hide text from extraction.

Tables are risky even when they look tidy. A system may read the right column before the left column, combine labels with values, or scatter dates across the page. Put the same information in normal paragraphs and bullets instead.

A two-column resume can look efficient on screen but fail when read from top to bottom. Rebuild it as a single sequence:

  3. Skills
  4. Experience

  6. Certifications or other relevant sections

3. Rename headings with familiar labels

Use headings that state what follows. Replace creative labels with standard terms.

Do not hide a section under a heading that requires interpretation. A recruiter may understand “What I Know,” but a parser and a quick search work better with “Skills.”

4. Build a dedicated skills block

Add a plain-text skills section near the top, below your summary. Use terms that you genuinely use or have used. Separate items with commas or vertical bars. Do not place skills only inside job bullets.

5. Pull 8 to 12 keywords from one job

Work from one target posting. Copy the job description into a document. Mark terms in four groups:

Choose 8 to 12 terms you can support with your real background. Match the employer's wording when it is accurate. For example, if your resume says “customer support platform” and the posting names “Zendesk,” use “Zendesk” only if you actually used Zendesk.

Do not add a missing skill because it appears in the posting. Do not repeat one term in every bullet. One clear use in the skills block plus proof in an experience bullet is usually stronger than a dense keyword list.

Use numbers you can defend. Good measures include volume, time, revenue, cost, error rate, response time, team size, or percentage change. If you do not know an exact figure, use a truthful range or describe the result without inventing a number.

Keep the target keyword in the bullet only when it describes the work. The point is evidence, not repetition.

Run the plain-text parsing test

  3. Read from the first line to the last.
  4. Check that your name and contact details appear first.
  5. Confirm each heading stays attached to the correct section.
  6. Confirm employer, title, location, and dates stay understandable.
  7. Check that bullets do not merge into one paragraph.
  8. Search for your 8 to 12 selected job terms.

Stop and repair the file if the contact details appear at the bottom, columns interleave, bullets lose their starts, or a section disappears. Remove the object causing the problem and test again.

Format details that prevent another failure

Use a readable font and normal font sizes. Keep body text consistent. Use bold for headings if you want visual structure, but do not put section names inside images.

Use one date format throughout. For example, use Jan 2021 to Mar 2024 for every role. Avoid placing dates in a separate decorative column. Put dates on the same line as the role or employer, or on a normal line directly beneath it.

Keep contact information in the document body instead of relying on a header or footer. Some extraction processes handle headers and footers inconsistently. Remove page numbers that could be mistaken for dates or experience details.

Before you export, check that links are readable when copied. Write the full email address and LinkedIn URL as text. Do not rely on an icon to communicate either one.
