ATS Review: From Upload Fail to a Clean Parse
Use this ATS review repair sequence to fix file type, headings, keywords, bullets, and parsing before you apply through a company site or Easy Apply.

Start with the file, not the wording. An ATS review should first confirm that the application system can read your resume. Then fix the structure, match one job's language, strengthen five bullets with numbers, and run a plain-text paste test.
This matters when you apply through a company site or LinkedIn Easy Apply. A polished design can still create missing fields, scrambled dates, or empty skills if the parser cannot read its layout.
The repair sequence
Follow these steps on one resume and one target job. Do not try to make one version match every vacancy.
1. Save the source file and inspect the requested format
Keep an editable master copy. Before exporting, read the application instructions.

Do not submit a screenshot, image-only PDF, or scanned document. A file that looks correct to you may contain no usable text for a parser.
Open the final exported file. Select a sentence and copy it. If you cannot select the text, repair the export before doing anything else.

2. Remove columns, tables, and decorative objects
Use one main text flow from top to bottom. Remove:
- Two-column layouts
- Tables used to align dates or skills
- Text boxes and floating shapes
- Sidebars with contact details
- Headers and footers containing essential information
- Icons that replace phone, email, location, or links
- Charts, progress bars, logos, and profile photos
A parser may read the right column before the left column, skip a text box, or attach a date to the wrong job. Put important details in the document body instead.

3. Rename headings to standard terms
Use headings that describe the content directly. Parsers and recruiters can then identify each section without guessing.

Keep the heading separate from the content below it. Do not place the heading inside a graphic. Use the same style for each main heading.
Place your name, phone, email, city and region, and professional link near the top. Do not hide these details in a header, footer, or image.
4. Add a focused skills block
Put a dedicated Skills section after the summary or before experience. Use plain text and short groups. For example:

Only list skills you can support with your experience. Do not copy every term from the job description. A skills block helps a parser find relevant terms, but it cannot replace evidence in your bullets.
5. Run a keyword pass against one job
Choose one target posting. Extract 8 to 12 relevant terms from it. Prioritize:
- Required tools and platforms
- Core job functions
- Industry or domain terms
- Required certifications
- Work methods or deliverables
Compare each term with your resume. Add a term only where it accurately describes your background. Place it in the Skills section, summary, experience bullet, project, or certification entry where the context fits.
Do not claim missing experience. If the job asks for Salesforce and you have never used it, leave it out. If you used a related system but the posting names a specific function you performed, describe your actual work clearly without changing the facts.

6. Rewrite five bullets with numbers
Find five bullets that describe work without showing scale, speed, quality, money, volume, or outcome. Rewrite them using this pattern:
Action + task or method + scope + result.
Before:
Managed customer support tickets and helped improve response times.
After:
Managed 65 weekly customer support tickets, introduced response templates, and cut average first-response time by 28%.
Before:
Created reports for the sales team.
After:

Use real numbers. If you cannot disclose revenue or customer counts, use a truthful range, percentage, time period, or volume. Do not invent precision.
7. Put dates and job titles in a predictable order
Use a consistent entry format:
Job Title Company Name, City, Region | Month Year to Month Year
Then add bullets. Use the same date style throughout. Write dates as text, such as January 2022 to March 2024, rather than placing them in a separate visual column.
For a current role, use Month Year to Present. Keep employment gaps explainable when needed. A parser should be able to associate each date with the correct employer and title.
Run the plain-text parsing test
This is a practical check, not a guarantee of how a particular employer's system behaves. It shows whether your exported file keeps its basic reading order.
- Open the final PDF or DOCX.
- Select all text.
- Copy it.
- Paste it into a plain-text box or a simple text editor with no formatting.
- Read from the first line to the last.
Check for these failures:
- The name is missing.
- Contact details appear halfway through the resume.
- The right column appears before the left column.
- Dates are separated from employers.
- Bullets lose their text or merge into one paragraph.
- Skills appear as isolated words in the wrong section.
- Headers or footers vanish.
- Symbols replace letters.
- Page two starts in the middle of a sentence.
If you see a problem, return to the editable file. Remove the object causing it, export again, and repeat the test. Do not fix a broken parse by adding more decoration.

- Headings use standard names such as Summary, Skills, Experience, and Education.
- A dedicated Skills block lists accurate, relevant skills.
- The target job supplied 8 to 12 keywords for this version.
- Those keywords appear in truthful context, not as a copied list.
- Five bullets include real numbers or measurable scope.
- Dates, employers, and job titles follow one consistent format.
- The final file passed the plain-text paste test.
