ATS scannable means the application system can read your resume in the right order and connect your experience to the job's terms. You can repair most problems today: use the requested file type, remove columns and tables, rename headings, add a skills block, tailor 8 to 12 truthful keywords, rewrite five bullets with numbers, and run a plain-text paste test.

The goal is not a mystery score. No public checker can prove what a specific employer's ATS will do. Your goal is a clean file that both software and a recruiter can read quickly.

## The repair sequence

Follow these steps on one resume and one target job. Do not try to make one generic version fit every posting.

### 1. Save the file in the requested format

Read the application instructions first. If the employer asks for DOCX, use DOCX. If it asks for PDF, use a text-based PDF exported from a document editor. If no format is named, DOCX is often the safer default because it keeps text editable and easy to parse.

Do not submit a screenshot, scanned document, image-only PDF, or portfolio image as your resume. Open the finished file and try to select a sentence. If you cannot select the text, the file may not be readable as text.

Use a plain filename:

`FirstName-LastName-Target-Role-Resume.docx`

Avoid names such as `resume-final-final2.pdf`. Keep a PDF copy for your records, but submit the requested type.

### 2. Remove columns, tables, and text boxes

A two-column design can place your skills, dates, and job titles in an unexpected reading order. Tables can split a line into separate cells. Text boxes, headers, footers, icons, and sidebars can disappear or move during parsing.

Use one main column. Keep contact details in the document body, not only in the header or footer. Replace decorative icons with words such as `Phone`, `Email`, and `LinkedIn`.

A simple visual format is safer:

| Resume area | Safer choice | Risky choice |
|---|---|---|
| Contact details | Text in the main body | Icons or header-only details |
| Work history | One column with dates on each entry | Side-by-side date and job columns |
| Skills | Plain text list under a Skills heading | Skill bars, ratings, or graphics |
| Section titles | Standard text headings | Text boxes or decorative labels |
| Separators | White space or a simple line | Tables used for layout |

A clean format also helps the recruiter view. The person reading your resume should see the same order as the parser.

### 3. Rename headings with standard labels

Use headings that describe the content directly. Replace creative labels with familiar terms.

| Avoid | Use instead |
|---|---|
| What I Bring | Summary or Professional Summary |
| Where I Have Worked | Professional Experience |
| My Toolkit | Skills or Technical Skills |
| Career Story | Professional Experience |
| Schooling | Education |

Keep the heading and its content together. Do not place a heading at the bottom of a page with its first entry on the next page. Use normal capitalization and consistent spacing.

### 4. Build a clear contact block

Put your name first. Add phone, email, city and state, and a LinkedIn URL if relevant. You do not need a full street address. Make the URL readable in plain text.

Example:

`Maya Chen`

`Austin, TX | 512-555-0148 | maya.chen@email.com | linkedin.com/in/mayachen`

Do not rely on a profile photo, QR code, or icon to carry contact information.

### 5. Add a focused skills block

Place a `Skills` or `Technical Skills` section after your summary or before experience. List terms in plain text. Group them only when the groups improve clarity.

Example:

`Skills: Salesforce, HubSpot, lead qualification, pipeline reporting, SQL, Google Analytics, email campaigns`

Only include skills you can support with your experience, training, projects, or a credential. Do not add a tool because it appears in the posting. The skills block helps parsing, but your work bullets should prove how you used the skill.

### 6. Pull 8 to 12 keywords from one job

Read one target job description. Mark repeated duties, named tools, methods, certifications, and outputs. Select 8 to 12 terms that match your background. Use the employer's wording where it is accurate.

Separate terms into three groups:

| Group | Examples | Where to use it |
|---|---|---|
| Must-have skill | SQL, project management, payroll | Skills and a supporting bullet |
| Tool or system | Salesforce, Jira, Workday | Skills and the relevant role |
| Responsibility or output | forecasting, audits, retention | Summary or experience bullets |

Do not copy the entire posting. Do not repeat a keyword in every bullet. Use a term once in the Skills section and once in a relevant experience bullet when you can prove it.

For a practical keyword guide, see [ATS Keywords List: Where They Go and How Many Is Too Many](https://yourunique.cv/articles/ats-keywords-list). You can also paste the job into the [job description keyword extractor](https://yourunique.cv/free-tools/job-description-keyword-extractor). It lists must-haves, tools, and nice-to-haves. If you add your resume PDF, it marks which terms are already in the file. It does not tell you to claim skills you do not have.

Run that keyword pass before changing your bullets. Otherwise, you may edit around vague terms instead of the job's actual requirements.

### 7. Rewrite five bullets with numbers

Choose five bullets that relate directly to the target role. Give each one a clear action, task, and result. Add a number, time period, volume, percentage, or scope when you know it.

Before:

`Responsible for customer support and resolving issues.`

After:

`Resolved 45 to 60 customer cases weekly in Zendesk, maintaining a 96% satisfaction rating.`

Before:

`Helped with monthly reporting.`

After:

`Built monthly Excel reports from 12 data sources, cutting manual reconciliation time by 6 hours per cycle.`

Before:

`Managed social media campaigns.`

After:

`Managed 4 paid social campaigns with a $18,000 quarterly budget, increasing qualified leads by 22%.`

Use numbers you can explain. If you do not know an exact result, use a defensible scope such as team size, account count, case volume, frequency, or project duration. Do not invent percentages.

Place the relevant keyword in the bullet when it fits naturally. For example, a bullet about Excel reporting should say `Excel` if Excel was the actual tool. Do not hide every keyword in a crowded skills list.

For more examples of this structure, compare the guidance in [Quality Control Resume: ATS Keywords, Skills, and Sample Bullets](https://yourunique.cv/articles/quality-control-resume).

### 8. Check the recruiter view

A parser may extract text successfully while the resume still feels hard to scan. Review the first half of page one. The reader should see your target role, strongest relevant skills, recent job title, employer, dates, and a measurable result without hunting.

Use readable font size, consistent date formatting, and enough white space. Keep bullets short enough to scan. Avoid dense paragraphs in the experience section.

If you want a draft based on your actual background, [YourUnique.cv](https://yourunique.cv) can use your resume, optional LinkedIn URL, and a target job description to create a CV from your profile facts. It then provides an ATS read against that job. Review every line before submitting it.

## Run the parsing test

This test catches reading-order problems before you apply.

1. Open the finished resume.
2. Select all text.
3. Copy it.
4. Paste it into a plain-text box or basic text editor. Plain text removes layout styling and exposes the extraction order.
5. Read from top to bottom.

You should see something close to this:

> Name, contact details, summary, skills, professional experience, employer, job title, dates, bullets, next employer, education, certifications.

Repair the file if you see any of these problems:

- A right-column section appears before your name.
- Dates are separated from the jobs they belong to.
- Bullet text is missing or merged into one paragraph.
- Contact details vanish.
- Skills appear between unrelated experience entries.
- Characters become empty boxes or strange symbols.
- A heading appears without the section below it.

Run the paste test after every major layout change. A file can look correct on screen and still copy in the wrong order.

You can also run the [ATS resume checker](https://yourunique.cv/free-tools/ats-resume-checker). Upload a resume PDF and paste the same job description to see a match score, missing keywords, and gaps. The PDF is scanned for the result and is not saved to an account. This is a useful review signal, not an employer's Workday or Greenhouse score.

## Apply today checklist

If you want to keep the repair work in one workflow, start a draft with [YourUnique.cv](https://yourunique.cv/sign-up). You can keep your existing layout or choose from its built-in [templates](https://yourunique.cv/templates), then compare the result with the job before exporting a PDF.

### Final apply-today check

Confirm the file type. Confirm the headings. Confirm the skills block. Confirm the 8 to 12 job keywords. Confirm the five measured bullets. Run the plain-text paste test. Then apply through the company site or LinkedIn Easy Apply.

## Questions

### What makes a resume ATS scannable?

A resume is ATS scannable when its text can be read in the correct order, its headings are clear, its file type is accepted, and its job-relevant terms appear in truthful context.

### Should I use a PDF for an ATS resume?

Use the file type named in the job posting. A text-based PDF may work, but a DOCX file is often the safer choice when no format is specified. Avoid image-only PDFs.

### How can I test whether my resume parses correctly?

Copy the resume into a plain-text box or basic text editor. Check that the name, contact details, headings, dates, employers, job titles, bullets, and skills appear in the right order. You can also run the [ATS resume checker](https://yourunique.cv/free-tools/ats-resume-checker), which scans a PDF against a pasted job description. Its result is not an employer's Workday or Greenhouse number.

### Can [YourUnique.cv](https://yourunique.cv) help make a resume ATS scannable?

Yes. You can upload a resume, paste a job description or job link, and get a CV written from your profile facts, followed by an ATS read against that job. You still need to review the file and run your own plain-text paste test.
