What an ATS score checker can and cannot tell you

A checker usually compares your resume with a pasted job description. It may identify matching words, missing terms, section headings, contact fields, dates, and file details. Some tools also report a match score or list gaps.

That number is not an employer’s score. Employers use different applicant tracking systems, settings, parsing methods, and recruiter workflows. A public checker cannot prove what a specific Workday, Greenhouse, or other system will do.

Run the first scan

Use the same resume version and job description for the first test.

  1. Export the resume as a PDF if the application accepts PDF.
  2. Open the job post and copy the full text.
  3. Upload the PDF to a checker.

How to read the result

Start with the job post, not the number. Mark each requirement as one of four types:

  • Must-have skill or qualification
  • Tool, platform, or method
  • Responsibility or work outcome
  • Nice-to-have detail

Then inspect whether your resume contains truthful evidence for each must-have. A keyword sitting in a skills list is weaker than the same term supported by a work bullet.

For example, “SQL” in a skills section may match the post. “Used SQL to reconcile 40,000 transaction records and cut reporting errors by 18%” gives the term useful context. Only use the numbers and outcomes you can support.

A high score can still hide a bad resume. It may result from repeated keywords, generic terms, or a close wording match without clear proof. A lower score can still be acceptable if the job uses different language for experience you genuinely have. Review the evidence before editing.

The exact checks differ. A public checker is useful for finding likely problems. It is not a replica of the employer’s system.

Scored sample: before and after

Before

Resume version: two-column PDF with icons, a text box for contact details, and a generic skills list.

Job post requires: customer onboarding, Salesforce, churn analysis, Excel, stakeholder communication, and dashboard reporting.

Checker result: 54/100. Missing terms included Salesforce, churn analysis, and dashboard reporting. The parser placed the phone number after the education section. Several dates appeared as years only.

The number is less important than the specific warnings. The resume had customer service experience, but the relevant work was not described with the language used in the post.

After

The applicant made four controlled changes:

  • Replaced the two-column layout with one column.
  • Moved name, phone, email, location, and LinkedIn URL into the main header text.
  • Changed dates to “May 2021 to Aug 2023” throughout.
  • Rewrote two experience bullets to reflect actual work with Salesforce and reporting.

Rewritten bullet: “Managed customer onboarding in Salesforce, tracked early churn signals in Excel, and reported weekly dashboard trends to account stakeholders.”

Checker result: 78/100. The parser read the contact fields in the right order. The must-have terms appeared in the experience section. The file passed the text extraction test.

The increase is not a target to copy. The useful improvement was clearer evidence and cleaner extraction. If the applicant had never used Salesforce, adding it would have been dishonest and would create a different problem.

Repair one issue at a time

Do not change the entire resume after one scan. You will not know which edit helped, and you may introduce new formatting problems.

Use this loop:

  1. Pick the highest-value gap.
  2. Make one focused edit.
  3. Export the file again.
  4. Run the same resume and job post through the checker.
  5. Compare the score, keyword list, section warnings, and extracted text.
  6. Keep the change only if it improves accuracy and readability.

Start with missing must-have skills that you actually possess. Then repair section headings, contact fields, date consistency, and file extraction. Leave nice-to-have terms for last. Never repeat a keyword just to raise a number.

Use this list after the first scan. Complete the recheck step after the last item, and after any major repair.

  • 1. Copy the job’s must-have skills into a private comparison list.
  • 2. Confirm each matching skill is stated truthfully in the resume.
  • 3. Put important skills in an experience bullet when you have usable evidence.
  • 4. Replace unusual section names with clear headings such as Summary, Experience, Skills, and Education.
  • 5. Move contact details out of headers, footers, icons, and text boxes if extraction is incomplete.
  • 6. Use one date format across every role, such as “Jan 2022 to Mar 2024.”
  • 7. Check that job titles, employer names, and locations remain attached to the right dates.
  • 8. Remove tables, graphics, columns, and decorative elements that disrupt reading order.
  • 9. Save in the file type requested by the application, then select all text and paste it into a plain-text editor.
  • 10. Re-scan the repaired file with the same job description and compare the warnings, not just the score.

The paste test is a fast reality check. The text should appear in a sensible order. Your name and contact details should be visible. Headings should be recognizable. Dates should stay with the correct jobs. Bullets should not turn into a scrambled block.

When to stop editing

Stop when the resume extracts cleanly, the main sections are readable, and the must-have skills you genuinely hold appear in relevant context. Do not keep editing until a checker displays a perfect number. That can lead to repetition, awkward phrasing, or claims you cannot defend.

Read the resume as a hiring manager would. Does each important skill connect to a task, result, project, credential, or tool? Does the first half of the document explain why you fit this particular job? If yes, further keyword edits may add noise.
