What ATS scoring can and cannot tell you

A checker may compare your resume with the job description and assign a score. It may also inspect headings, dates, contact fields, and file type. That makes the result useful for finding omissions and formatting problems.

The number is not a universal pass mark. A public checker is not the same system an employer runs. Employers may use different applicant tracking systems, configurations, screening steps, and human review. Do not reject a strong application because one tool gives it a low number. Do not assume a high number makes a weak or inaccurate application safe.

How to run an ATS test

Use the version of your resume you plan to send. Do not test a Word file and submit a different PDF. Small export changes can affect how text is read.

  1. Save the resume as a PDF unless the job post requests another format.
  2. Copy the full job description, including responsibilities, requirements, tools, and education details.
  3. Upload the PDF to an ATS checker.
  4. Paste the job description into the job field.
  5. Record the score and the specific findings.
  6. Open the PDF and copy all visible text into a plain text editor.
  7. Compare the pasted order with the original document.

A checker may also flag columns, icons, tables, graphics, unusual fonts, or text placed in headers and footers. These elements are not automatically disqualifying. They are risk factors because text order can change during parsing.

How to read the score without chasing vanity numbers

Start with the job description, not the score.

Separate the findings into four groups:

  • Must-have skills and qualifications.
  • Tools, platforms, methods, and certifications.
  • Evidence missing from your experience bullets.
  • File or structure problems that could hide otherwise relevant text.

A missing keyword matters more when it is a stated requirement. A missing adjective from a preferred qualification matters less. A score can rise when you repeat a phrase many times, but repetition does not prove fit. Do not fill the resume with keyword lists or duplicate wording.

Check context. A resume that says Salesforce in a skills line is weaker than one that accurately says you used Salesforce to manage a regional pipeline, build reports, or improve follow-up. The exact achievement must come from your experience.

Also inspect missing sections. A checker may find relevant words but still reveal that your resume lacks an easy-to-find Skills or Education section. Use a heading that a reader can recognize in one glance.

Dates need the same treatment. Use consistent month and year formats. Put the date range beside each role. Avoid a design where the company, title, and dates appear in separate columns that may be read out of order.

Imagine this fictional resume is tested against a Customer Success Manager job post that requires Salesforce, onboarding, customer retention, quarterly business reviews, and data analysis.

The second version does more than insert keywords. It gives the reader scope, tool, action, and result. If you did not lead onboarding, use the work you actually performed. Do not copy this claim into your resume.

The repair loop

Make one meaningful change at a time. Re-scan after each change or small related group. This tells you which repair affected the result and prevents random editing.

  1. Fix the file type if the job post gives a requirement.
  2. Run the PDF through the checker and save the findings.
  3. Repair one missing must-have skill, if you have that skill.
  4. Add the skill to an experience bullet where the context is true.
  5. Add a clear section heading if content is difficult to locate.
  6. Standardize date formats and check chronology.
  7. Move contact details into normal text near the top.
  8. Remove decorative elements that interrupt text order.
  9. Re-scan and compare the new findings with the previous result.
  10. Copy the final PDF into a plain text editor and stop when the text is clean and the must-have skills appear in context.

Do not keep editing after the resume is accurate, readable, and aligned. A higher score from repetition is not a useful goal.

Common repairs that improve the file

Use a simple layout with one main reading path. Built-in templates can help, but inspect the exported file rather than trusting the design preview. You can review resume templates if your current layout uses graphics, multiple columns, or text boxes.

Write the full term once when an abbreviation could be unclear. For example, use Application Programming Interface (API) if the job post uses both forms and you genuinely have that experience. Keep the abbreviation only where it improves clarity.

Put tools in both the Skills section and an experience bullet when appropriate. The Skills section supports quick scanning. The bullet proves how you used the tool.

Keep the contact line plain. Use a normal email address, phone number, city and region, and LinkedIn URL when relevant. Do not use an image of a phone number.

Keep bullet formatting consistent. Start with a clear action, explain the work, and add a result or scope when you can support it. Five strong bullets for a recent relevant role are more useful than a page of vague keyword fragments.
