Start with the file, not the wording. An ATS site first needs to extract your resume into usable text. If the file hides content in columns, headers, tables, icons, or images, strong experience may arrive in the wrong order or disappear.

Today, repair one resume for one job. Use a readable PDF or DOCX, remove layout traps, rename standard headings, add a skills block, copy 8 to 12 relevant terms from the job description, rewrite five bullets with numbers, then run a plain-text paste test before you apply.

If you want background on the same repair process, see [ATS Compatibility: A Fix List You Can Finish Today](https://yourunique.cv/articles/ats-compatibility) and [ATS-Friendly Resume: A Fix List You Can Finish Today](https://yourunique.cv/articles/ats-friendly-resume).

## The repair sequence

### 1. Save a working copy

Duplicate your current resume. Name the working file something clear, such as:

`Alex-Taylor-Project-Manager-Resume.pdf`

Do not use names such as `resume-final-final2.pdf`. The filename is not a substitute for resume content, but a clean name helps you identify the right upload.

Keep one master version with your full, accurate history. Make a separate copy for each target job. Your tailored copy can change keywords and bullet order without damaging the master.

### 2. Check the required file type

Read the application instructions. If the employer asks for DOCX, upload DOCX. If it accepts PDF, use a text-based PDF with selectable text. Avoid a scanned image of your resume unless the instructions specifically require one.

A PDF is not automatically ATS-friendly. Open it and try to select a sentence. If you cannot select text, the file may be an image. Copy a section into a basic text editor. If the copied result is empty or scrambled, export the file again from a document editor.

Do not password-protect the file. Do not put the entire resume in a screenshot. Keep the extension visible so you know what you are uploading.

### 3. Remove columns, tables, and floating objects

Use one reading order from top to bottom. A two-column design may look compact to a person, but an ATS can read the right column before the left column or mix dates with job titles.

Remove these common parsing risks:

| Resume element | Repair action |
|---|---|
| Two or three columns | Convert the content to one column |
| Text boxes | Replace with normal document text |
| Tables | Convert each row into ordinary lines |
| Icons for phone or email | Use text labels and standard characters |
| Logos and skill bars | Delete them and write the skill as text |
| Header or footer contact details | Move contact details into the main body |
| Decorative lines and shapes | Remove them if they interfere with selection |
| Scanned pages | Recreate the resume as selectable text |

You can keep modest font color or a simple divider if it does not affect reading order. Layout should support scanning, not carry information.

### 4. Rename headings with standard labels

Use headings that describe the section directly. Replace creative labels with terms that a parser and recruiter can recognize.

| Avoid | Use |
|---|---|
| My Story | Summary or Professional Summary |
| What I Do | Skills or Core Skills |
| Where I Have Worked | Professional Experience |
| School Days | Education |
| Wins | Certifications or Achievements |

Use `Professional Experience`, `Education`, `Skills`, `Certifications`, and `Projects` when those sections apply. Put your name, phone, email, city, and professional profile link near the top in normal text.

Do not put important information only in a header, footer, graphic, or sidebar. The main document body is the safer location.

### 5. Add a focused skills block

Place a `Skills` or `Core Skills` section below your summary or before experience. Use plain text. Separate items with commas or vertical bars. Keep the list tied to the job.

Example:

`Skills: project planning, stakeholder management, Jira, sprint planning, risk tracking, vendor coordination, Excel`

Do not add tools you have never used. Do not copy every phrase from the posting. A skills block should make real capabilities easier to find. The experience section should prove them.

Include both the full term and a common abbreviation when useful and accurate. For example, write `Search Engine Optimization (SEO)` once if both forms appear in the job description and match your experience.

### 6. Run one keyword pass against one job

Open the job description beside your resume. Pull out 8 to 12 terms that are relevant to your actual background. Include a mix of tools, methods, role terms, certifications, and deliverables.

Create a small comparison table before editing:

| Job term | Already in resume? | Safe repair |
|---|---|---|
| Salesforce | Yes, in a project bullet | Keep and make the result clearer |
| pipeline reporting | No | Add it only if you did this work |
| account planning | No | Do not claim it without evidence |
| stakeholder updates | Similar wording | Use the job's wording where accurate |
| quarterly forecast | Yes, in an older role | Move the evidence into a stronger bullet |

Place a job term where it is true. Add it to the summary, skills block, experience bullet, or project section. Do not create a keyword list with no supporting evidence.

Run the job through the [job description keyword extractor](https://yourunique.cv/free-tools/job-description-keyword-extractor). It lists must-haves, tools, and nice-to-haves. An optional resume PDF shows which terms are already in your file. Use the output to find omissions, not to invent skills.

You can also paste the same job into [YourUnique.cv](https://yourunique.cv) if you want a draft based on your real profile facts. Review every suggested line. Keep only information you can support.

### 7. Rewrite five bullets with numbers

Do not rewrite every bullet today. Pick the five that best match the job. Give each one a clear action, task, and result. Add a number, time period, volume, percentage, cost, team size, or scope when you know it.

Before:

`Responsible for managing projects and working with different teams.`

After:

`Managed 8 product launches across engineering, design, and marketing, cutting average release delays by 18%.`

Before:

`Helped improve customer reporting.`

After:

`Built weekly customer reports in Excel for 42 accounts, reducing manual status updates by 6 hours per week.`

Before:

`Worked on hiring and onboarding.`

After:

`Coordinated onboarding for 24 new hires, reducing average time to system access from 5 days to 2.`

Before:

`Handled social media campaigns.`

After:

`Planned 3 monthly social campaigns that increased qualified website visits by 27% over two quarters.`

Before:

`Supported a team with data analysis.`

After:

`Analyzed 12 months of sales data and identified 4 renewal trends used in the next account plan.`

Use your real numbers. If a number is confidential or unknown, describe scope without guessing. A truthful bullet with a clear result is better than a precise-looking claim you cannot defend.

### 8. Check dates, titles, and order

Use a consistent date format, such as `March 2021 to June 2024` or `03/2021 to 06/2024`. Put the employer, job title, location, and dates in a predictable order for every role.

A safe structure is:

`Job Title | Employer | City, State`

`March 2021 to June 2024`

Then place the bullets below. Keep the newest relevant role first. Do not hide employment dates in a graphic or use a timeline with no text labels.

### 9. Perform the plain-text parsing test

This is the fastest repair test. Open a basic plain-text box, such as Notepad on Windows or TextEdit in plain-text mode on macOS. You can also use any blank field that removes formatting. Do not use a rich text editor for this test.

1. Select all text in the resume.
2. Copy it.
3. Paste it into the plain-text box.
4. Read from top to bottom.
5. Check the contact details, summary, headings, skills, roles, dates, and bullets.

The pasted version should still make sense without color, columns, icons, or spacing. Look for these failures:

- A right-hand column appears before your name or summary.
- Dates are separated from the roles they belong to.
- Bullets lose their text or become empty symbols.
- Email or phone characters disappear.
- Skills appear far away from the skills heading.
- Header content repeats on every page.
- Text inside an image does not paste at all.

Fix the source document, export it again, and repeat the test. This test tells you whether the text layer is orderly. It cannot prove how a particular employer's ATS will process or rank your resume.

### 10. Run a final file check

Open the exported file on your computer. Confirm that every page is present, the links work, the text can be selected, and the file still looks clean at normal zoom. Check the upload preview if the employer site provides one.

An external checker can help you spot missing terms or gaps. It cannot reproduce every employer configuration. Use its result as a repair signal, not as an employer decision.

After the resume is ready, open [Job Radar](https://yourunique.cv/job-radar) to find live public ATS career-page roles that fit the same profile. It searches company career pages and similar public ATS postings, not LinkedIn or Indeed.

## Final 12-point checklist

Before you apply, confirm each item:

- [ ] The file type follows the employer's instructions.
- [ ] The PDF contains selectable text, if you are using PDF.
- [ ] The resume uses one main column.
- [ ] Tables, text boxes, icons, and skill bars are removed.
- [ ] Contact details sit in the main document body.
- [ ] Headings use labels such as Summary, Skills, Experience, and Education.
- [ ] A focused skills block contains only accurate skills.
- [ ] You tailored 8 to 12 relevant terms from this job description.
- [ ] Five relevant bullets include real numbers or clear scope.
- [ ] Job titles, employers, and dates are easy to associate.
- [ ] The complete resume survived a plain-text paste test.
- [ ] The filename is clear and the final upload opens correctly.

If you need to rebuild the document instead of patching its layout, [YourUnique.cv](https://yourunique.cv/sign-up) can generate a CV from your profile facts and the target job description. You can also review [templates](https://yourunique.cv/templates), but keep the final design to one readable column when an ATS site will parse it.

## Apply today

Run the [ATS resume checker](https://yourunique.cv/free-tools/ats-resume-checker) with your resume PDF and the exact job description. Then verify the five essentials: correct file, standard headings, accurate skills block, five quantified bullets, and a clean plain-text paste test. Submit that version to the ATS site.

## Questions

### What file should I upload to an ATS site?

Use a clean PDF when the employer site accepts PDF and the text remains selectable. Use DOCX when the instructions request it or when the PDF scan produces scrambled text. Follow the employer's file instructions first.

### How do I test whether an ATS can read my resume?

Copy all resume text and paste it into a plain-text box or basic text editor. Check whether headings, dates, employers, titles, bullets, and skills stay in a sensible order. This is a useful parsing check, not proof of how a specific employer system will score the file.

### Can I use an ATS checker before applying?

Yes. The [ATS resume checker](https://yourunique.cv/free-tools/ats-resume-checker) compares your uploaded PDF with a pasted job description and reports a match score, missing keywords, and gaps. It is not a Workday or Greenhouse score.

### Can YourUnique.cv help me prepare an ATS resume?

[YourUnique.cv](https://yourunique.cv) can use your profile facts and a job description to draft a CV, then provide an ATS read against that job. After the resume is ready, [Job Radar](https://yourunique.cv/job-radar) can find live public ATS career-page roles that fit the same profile.
