Use ATS software free as a repair tool, not as a pass or fail machine. Today, fix the file, remove layout elements that scramble text, match one job's language, improve five bullets, and test the result as plain text before you apply.

A free checker can show likely parsing and keyword problems. It cannot reproduce every employer system or predict a hiring decision. Your goal is a readable file that gives both the parser and the recruiter the same information.

The repair sequence

Follow this order. It prevents you from polishing a layout that later has to be rebuilt.

1. Save the right file

Read the application instructions first. If the employer asks for DOCX, use DOCX. If PDF is accepted, use a text-based PDF exported from your document editor. Do not submit a screenshot, image-only PDF, or scanned document unless the employer specifically requests it.

Open the exported file and try to select the text. If you cannot select and copy it, the file may not be readable by a parser.

Use a plain filename such as:

Jordan-Lee-Project-Manager-Resume.pdf

Avoid a filename like Resume_Final_Final2.pdf. The filename does not fix a weak resume, but a clear name makes the document easier to handle.

2. Remove columns and tables

Build the main resume in one vertical reading order. Remove:

  • Two-column layouts
  • Text boxes
  • Tables used to position contact details or skills
  • Sidebars
  • Icons that carry meaning
  • Headers and footers containing essential information
  • Decorative graphics and rating bars

A person may see a neat two-column design. A parser may read the right column before the left, split a job title from its employer, or skip text in a box.

Keep contact details in the main body near the top. Write your phone number, email, city and state, LinkedIn URL, and portfolio URL as ordinary text.

3. Rename headings with standard labels

Use headings that state what follows. Good choices include:

Standard headings give the parser a better chance of grouping the content correctly. They also help a recruiter find the section in seconds.

Put each job in a consistent order: job title, employer, location, dates, then bullets. Use a readable date format such as May 2021 to March 2024 or 05/2021 to 03/2024. Keep the same format throughout.

4. Add a dedicated skills block

Place a Skills section below the summary or near the top of the resume. Use text separated by commas or bullets. Group skills only when the group labels are clear.

Example:

Project management: Jira, Asana, sprint planning, risk tracking, stakeholder communication

Do not hide skills in a graphic or list them only in a paragraph. A dedicated block gives the parser a clear location and gives the recruiter a fast scan.

Include tools, methods, certifications, and technical terms that you can support with your work history. Do not add a keyword because it appears in the job description if you have never used it.

5. Run a keyword pass against one job

Do not tailor one resume to five jobs at once. Start with the exact posting you plan to submit today.

Copy the job description into a notes document. Mark these groups:

  • Required skills and repeated responsibilities
  • Tools, systems, and platforms
  • Role-specific nouns, such as forecasting, onboarding, or SQL
  • Certifications, degrees, and industry terms

Choose 8 to 12 important terms that accurately describe your background. Add the exact wording when it is truthful. For example, if the posting says customer relationship management, do not rely only on CRM if you have room for both.

Distribute the terms naturally. Put a few in the summary, the rest in the skills block, and the most relevant ones in experience bullets. Do not create a keyword paragraph. Do not repeat a term until the resume sounds artificial.

6. Rewrite five bullets with numbers

Select five bullets that relate directly to the target job. Replace task-only wording with action, work, and result.

Weak:

Responsible for monthly reporting and communication with managers.

Stronger:

Built a monthly reporting process for 6 department managers, cutting report preparation time by 30%.

Weak:

Helped customers with account issues.

Stronger:

Resolved 45 to 60 customer account cases weekly while maintaining a 96% quality score.

Use numbers you can defend. Good evidence includes revenue, cost, time, volume, error rate, response time, team size, project count, conversion, retention, or delivery rate. If you cannot share an exact figure, use a credible range or describe the size of the work without inventing a result.

Each revised bullet should answer at least two questions:

  1. What did you do?
  2. What changed because of it?

Include a job keyword where it fits. For example, a project management bullet can mention risk tracking or stakeholder communication when the work actually included those tasks.

Run the parsing test

A parser may extract text in a different order from the way it appears on screen. Test the actual file you plan to upload.

  1. Open the PDF or DOCX.
  2. Select all text.
  3. Copy it.
  4. Paste it into a plain-text box, such as a basic text editor.
  5. Read from the top down.

Check the following:

  • Does your name appear first?
  • Are contact details readable and complete?
  • Does the summary come before experience?
  • Does every employer stay attached to the correct job title?
  • Are dates readable?
  • Are bullets in the right order?
  • Did icons become empty squares or strange characters?
  • Did text from a sidebar appear in the middle of a job?
  • Are URLs visible and usable?
  • Did any important section disappear?

If the pasted text is scrambled, return to the source document. Remove the column, table, text box, header, or special character causing the problem. Export again and repeat the test.

Get the recruiter view right

Parsing is the first inspection. A recruiter still decides whether the document is easy to understand.

Put the target role in the headline or summary when it accurately describes your experience. Start each experience entry with the role and employer. Keep bullets short enough to scan. Remove old, unrelated detail when it pushes relevant work too far down the page.
