## What the ATS sees before a recruiter

An applicant tracking system reads text from your file and stores parts of it as fields. Those fields may include your name, contact details, employers, dates, job titles, education, skills, and work history. The exact process differs by employer and software.

A polished visual resume can fail at this stage if the text is arranged in columns, hidden in a header, or embedded in a graphic. A system may read the right column before the left column. It may attach a date to the wrong job. It may drop a skills list entirely.

## Repair sequence for an ATS software resume

### 1. Save a usable file

Use a PDF if the application accepts PDF and your text remains selectable. Use DOCX if the posting requests it or if the PDF fails your text test. Do not submit a scanned image of your resume. A scanned image may contain no usable text layer.

Open the finished file and try to select a sentence. If you cannot select individual words, export it again from the original document. Check the file after export, not just the source document.

Use a plain filename such as `Jordan-Lee-Resume.pdf`. Keep your name and the word Resume. Remove versions such as `final-final-2` and avoid symbols that may confuse an upload form.

### 2. Remove layout traps

Build the main resume as one vertical reading path. Avoid:

- Two or three text columns
- Tables for work history or skills
- Text boxes and floating shapes
- Icons used instead of words
- Logos, headshots, charts, and skill bars
- Contact details placed only in headers or footers
- Decorative lines that interrupt text

A simple design is enough. Use one readable font, normal spacing, and consistent dates. White space helps a human reader, but layout should never hide the text.

### 3. Rename headings

Use headings that describe common resume sections. Choose `Summary`, `Skills`, `Professional Experience`, `Education`, `Certifications`, and `Projects` when those sections apply.

Avoid inventive labels such as `What I Bring`, `Career Story`, or `Toolbox`. A recruiter may understand them, but a parser has fewer clues about what follows. Standard headings reduce that ambiguity.

Keep each employer, title, location, and date close together. Use one date style throughout, such as `May 2021 to March 2024` or `05/2021 to 03/2024`.

### 4. Add a skills block

Place a text-based skills section near the top, below your summary or contact details. Group skills in readable lines instead of placing each one inside a graphic or table.

Include tools and methods that appear in the target job and that you have actually used. Do not add a skill because it appears in a posting if you cannot discuss your experience with it.

### 5. Run one keyword pass against one job

Do not tailor against five postings at once. Pick the job you will submit today. Mark its repeated requirements, tools, certifications, job title terms, and methods. Select 8 to 12 phrases that honestly match your background.

Put an important term where the evidence belongs. A tool can appear in the skills block and in a work bullet. A certification can appear in the certifications section. A method should appear in a bullet that explains how you used it.

Choose five bullets tied to the job's main requirements. Replace task descriptions with action, scope, and result. Add numbers where they are true: revenue, time, volume, accuracy, cost, users, tickets, projects, or team size.

Do not invent a result. If you lack a percentage, use a count, frequency, scope, or time period. If no number is available, describe the result precisely without forcing one.
