ATS System CV: A Fix List You Can Finish Today
Fix your ats system cv today with a practical repair sequence for file type, headings, keywords, quantified bullets, parsing, and a final apply check at once.

An ats system cv needs clean structure before it needs clever design. Use a text-based PDF or requested DOCX, one column, standard headings, a focused skills block, and job-specific terms. Then test the extracted text before you apply.
This repair takes one job description and one working copy of your CV. Do not try to fix every possible version at once. Follow the sequence below.
1. Save a clean working copy
Duplicate your current CV. Name the copy for the role, such as Jordan-Lee-Project-Manager-Company.pdf. Keep the original unchanged.
Use these file rules:
| Check | Repair |
|---|---|
| File type | Use a text-based PDF or the format requested by the employer |
| File name | Use your name and target role, with no symbols that may confuse uploads |
| Text | Make sure you can select and copy the words |
| Layout | Use one column with normal left-to-right reading order |
| Graphics | Remove profile photos, decorative icons, logos, and text inside images |
A PDF is useful when it preserves your layout and allows text selection. A DOCX can be better when the application specifically requests it. The goal is readable text, not a particular extension.
2. Remove columns, tables, and text boxes
Open the CV and inspect every section. Delete sidebars and split layouts. Move contact details into a normal line at the top. Convert table content into regular paragraphs or bullets.
Do not place important information in:
- Headers or footers
- Text boxes
- Shapes
- Infographics
- Icons that stand in for words
- A second column
A human may read a two-column design correctly. Text extraction may read the right column first, mix lines, or separate a heading from its content. A plain one-column structure reduces that risk.
If you want a design reference, the ATS-Friendly Resume: A Fix List You Can Finish Today article covers the same format repairs in more detail.
3. Rename headings so the section purpose is obvious
Replace creative labels with familiar headings. A parser does not need a puzzle.
| Avoid | Use |
|---|---|
| My Story | Professional Summary |
| What I Know | Skills |
| Where I Have Worked | Professional Experience |
| Schooling | Education |
| Wins | Certifications or Achievements |
Use one heading style throughout. Keep headings as text, not images. Put your name, phone, email, location, and relevant profile link in the top contact area. Check that each item copies as normal text.
4. Add a focused skills block
Place a Skills section after your summary or before experience. Use searchable terms that match your actual background. Separate items with commas or bullets. Do not write a paragraph full of disconnected keywords.
Example:
Skills: Salesforce, account planning, pipeline forecasting, contract negotiation, QBRs, HubSpot, Excel
Your skills block should support the evidence in your work history. If you list Salesforce, show where you used it when possible. Do not add a tool because it appears in the job description if you have never used it.
5. Pull 8 to 12 keywords from one job
Copy the job description into a working document. Mark terms in four groups:
- Required skills and methods
- Software, platforms, and technical tools
- Job title and functional language
- Deliverables, outcomes, or domain terms
Select 8 to 12 terms that genuinely match your experience. Include the exact wording when it is accurate. For example, if your CV says customer relationship management and the job says CRM, you can use both when useful.
Build a simple keyword map:
| Job term | Where to place it |
|---|---|
| Salesforce | Skills block and one experience bullet |
| Pipeline forecasting | Skills block and summary or bullet |
| Account planning | Experience bullet |
| Quarterly business reviews | Experience bullet |
| Retention | Experience bullet if your work supports it |
Do not repeat a term in every bullet. One clear use in the right section is better than a crowded skills paragraph. The job description keyword extractor can list must-haves, tools, and nice-to-haves from pasted job text. An optional resume PDF shows which extracted terms already appear in the file. It cannot tell you to claim experience you do not have.
Run the same job and your real profile through YourUnique.cv if you want a tailored draft based on your existing facts. Review every suggested line before using it.
6. Rewrite five bullets with numbers
Choose five bullets that relate most closely to the role. Replace task-only wording with an action, the work, and a measured result.
| Weak bullet | Repaired bullet |
|---|---|
| Responsible for managing customer accounts. | Managed 42 mid-market accounts and raised renewal rate from 81% to 89% in 12 months. |
| Worked on sales reports. | Built weekly pipeline reports in Salesforce, cutting forecast preparation time by 30%. |
| Helped the team onboard clients. | Coordinated onboarding for 18 clients, reducing average launch time from 21 to 14 days. |
| Created email campaigns. | Wrote and tested 24 lifecycle emails that increased trial-to-demo conversions by 16%. |
| Supported hiring activities. | Scheduled 75 interviews across four teams and reduced candidate response time by two days. |
Use real numbers only. If you cannot share an exact figure, use a defensible range or scope, such as team size, account count, project duration, budget, or volume. Do not invent a result to make the bullet sound stronger.
A useful bullet pattern is:
Action verb + what you changed or delivered + method or scope + result
Keep the verb specific. Managed, built, reduced, audited, launched, negotiated, and analyzed tell the reader what happened. A list of duties does not prove the scale or effect of your work.
7. Check summary alignment
Write a short summary that names your role, strongest relevant area, and one or two facts supported by the CV. Use a keyword only when it describes your experience.
Example:
Customer success manager with seven years supporting SaaS accounts, improving renewal performance, and building Salesforce reporting for teams managing 40+ customers.
Do not paste the job description into the summary. Do not use a generic objective. The summary should help both the parser and the person reviewing the file understand your fit quickly.
8. Run the plain-text parsing test
This is a fast manual check.
- Open a plain-text box, such as Notepad or a plain-text editor.
- Select all text in your CV.
- Copy and paste it into the box.
- Read from the top to the bottom.
- Check the order of contact details, headings, jobs, dates, bullets, and skills.
Look for these failures:
- A job title appears after its bullets
- Dates are detached from employers
- Letters disappear from words
- Bullets become random symbols
- Skills appear in the middle of a sentence
- Header or footer content is missing
- Two columns merge into an unreadable sequence
Fix the source file and repeat the paste. Do not treat a screenshot of your CV as a parsing test. The test checks the text that can be selected and extracted.
For another testing workflow, see ATS CV Checker: Free Scan Workflow Before You Hit Apply. A public checker can reveal likely file and keyword issues. It cannot prove how a specific employer's system will score your document.
9. Run a targeted file check
Upload the repaired PDF and paste the exact job description into the ATS resume checker. It returns a match score, missing keywords, and gaps. The PDF is scanned for the result and is not saved to an account.
Treat the output as a repair report, not a hiring verdict. Check whether the missing terms are valid additions. If a term describes experience you have, add it in a relevant section. If it does not, leave it out.
The checker is not a Workday or Greenhouse number. Employers can use different systems, settings, workflows, and human review. Your plain-text test still matters because it lets you inspect the extracted reading order yourself.
10. Make the final visual check
After the text test, open the exported file at 100 percent. Confirm that:
- No page has clipped text
- Dates use a consistent format
- Contact details are current
- Links open correctly
- Bullets align cleanly
- Page breaks do not split a heading from its content
- The file has the correct role and company version
Keep design restrained. One font family, clear spacing, and consistent heading sizes are enough. If you need a simple starting point, review the ATS-ready templates, then repeat the text extraction test after exporting.
A tailored CV workflow at YourUnique.cv can use your uploaded resume, optional LinkedIn URL, and the job description to create a draft from your profile facts. You can keep your layout or select a built-in template. The service also provides an ATS read against that job, with an area table and gaps. Review the draft for accuracy before exporting.
Apply-today checklist
Use this 12-point check immediately before uploading:
- The file is a text-based PDF or the format requested by the employer.
- The file name includes your name and target role.
- The layout uses one column.
- Tables, text boxes, sidebars, graphics, and decorative icons are removed.
- Headings use standard names such as Summary, Skills, Experience, and Education.
- Contact details copy as normal text.
- A focused skills block includes accurate terms from this job.
- You selected 8 to 12 relevant keywords from the job description.
- Five relevant bullets include real numbers, scope, or outcomes.
- The summary matches the target role and the evidence in the CV.
- You pasted the complete CV into a plain-text box and checked the reading order.
- You opened the final file, checked the pages, and uploaded the correct version.
If every box is checked, apply with this role-specific file. Save the job description and final CV together so you can track exactly which version you sent.
Questions
- What file type should an ATS system CV use?
- Use a text-based PDF unless the job post asks for DOCX. A DOCX file is also a practical choice when the employer gives that instruction. Avoid image-only PDFs because the text may not be readable.
- Should I remove tables and columns from my CV?
- Yes. Tables, text boxes, sidebars, and multiple columns can change the reading order when software extracts text. Use one column, standard headings, and simple text instead.
- How many keywords should I add to an ATS system CV?
- Pull 8 to 12 accurate terms from the specific job description, then place them where they fit in your skills block and experience bullets. Do not add skills or tools you do not have.
- How can I test my CV before applying?
- Run the file through the [ATS resume checker](https://yourunique.cv/free-tools/ats-resume-checker) with the same job description. It reports a match score, missing keywords, and gaps, but it is not the employer's Workday or Greenhouse score.
- Can [YourUnique.cv](https://yourunique.cv) help create a tailored CV?
- Yes. You can upload a resume, optionally add a LinkedIn URL, paste a job description or job link, and get a CV written from your profile facts. You can keep your layout or select a built-in template.
