An ATS system resume needs to pass two separate checks: software must extract the content in the right order, and a recruiter must understand your fit quickly. Start with a simple file, standard headings, and readable text. Then tailor the resume to one job instead of trying to satisfy every posting.

Today, repair the file in this order: remove layout features that interrupt parsing, rename unclear headings, build a skills block, select 8 to 12 accurate terms from the job, rewrite five bullets with numbers, and run a plain-text paste test before you apply.

## What an ATS reads first

An applicant tracking system, or ATS, extracts text and fields from your uploaded file. It may look for contact details, job titles, employers, dates, education, skills, and terms from the job description. The exact process varies by software, file type, settings, and employer workflow. No public checker can prove what a specific employer's system will do.

Your goal is not to decorate the page. Your goal is to make the information easy to extract and easy to review.

If you want a broader explanation of this process, see [ATS Optimized Resume: Parsing, Keywords, and Recruiter View](https://yourunique.cv/articles/ats-optimized-resume). It covers the same core problem from an optimization angle.

## The ATS system resume repair sequence

### 1. Use the requested file type

Read the application instructions before exporting. If the posting asks for DOCX, submit DOCX. If it accepts PDF, use a text-based PDF with selectable text. Do not submit a screenshot, scanned document, or image of your resume.

Open the exported file and try to select a sentence. If you cannot select individual text, fix the export. A PDF can look perfect while containing no usable text.

Use a simple filename:

`FirstName-LastName-Target-Role-Resume.pdf`

Avoid names such as `resume-final-final2.pdf`. A clear filename helps you identify the correct version when you tailor several applications.

### 2. Remove columns, tables, and text boxes

A two-column design can place your skills, dates, and work history in the wrong reading order. Tables can split a single sentence into separate cells. Text boxes, icons, sidebars, headers, and footers can be skipped or read out of sequence.

Use one main column. Keep contact information in the document body instead of a header or footer. Use ordinary text for phone, email, location, and LinkedIn URL. Horizontal lines are optional, but they are not needed.

A clean ATS system resume usually has:

- One column
- Left-aligned text
- Standard fonts such as Arial, Calibri, Georgia, or Times New Roman
- Normal section spacing
- No graphics used to communicate facts
- No skill bars, star ratings, or percentage meters

For more formatting examples, read [ATS Resume: Parsing, Keywords, and Recruiter View](https://yourunique.cv/articles/ats-resume).

### 3. Rename headings so the parser knows the section

Use headings that describe the content directly. Creative labels force the software, and the recruiter, to interpret your structure.

| Avoid | Use instead |
|---|---|
| My Story | Professional Summary |
| What I Do | Skills |
| Career Wins | Professional Experience |
| Where I Studied | Education |
| Extras | Certifications or Additional Information |

Keep the order predictable: name and contact details, summary, skills, experience, education, certifications, then additional information if needed.

Write dates consistently. For example, use `May 2021 to August 2024` or `05/2021 to 08/2024` throughout. Put the job title, employer, location, and dates near one another so they remain associated after extraction.

### 4. Add a plain skills block

Create a section titled `Skills` or `Technical Skills`. Use text separated by commas, bullets, or short categories. Do not place skills inside graphics or rating scales.

Example:

`Skills: SQL, Excel, Salesforce, pipeline reporting, account management, contract negotiation, customer retention`

Only include skills you can support with your experience or training. The keyword section improves findability, but your work bullets must provide evidence. Do not add a tool because it appears in a job description if you have never used it.

### 5. Run one keyword pass against one job

Do not copy every phrase from every job. Pick the posting you are applying to now. Read it once for repeated requirements, named tools, role-specific methods, certifications, and deliverables.

Select 8 to 12 keywords that accurately describe your background. Cover the important categories without repeating one phrase in every section.

| Job description phrase | Safe resume placement |
|---|---|
| Salesforce administration | Skills block and a bullet describing Salesforce work |
| Quarterly forecasting | Experience bullet with the forecast result |
| Customer retention | Summary or skills block, plus a measurable retention bullet |
| SQL reporting | Skills block and a reporting bullet |
| Cross-functional collaboration | Experience bullet showing the teams and outcome |

Use the wording from the posting when it is accurate. For example, if your resume says `client relationship platform` and the job says `Salesforce`, write `Salesforce` when Salesforce is the tool you used. Do not hide a valid match behind vague wording.

The [job description keyword extractor](https://yourunique.cv/free-tools/job-description-keyword-extractor) can list must-haves, tools, and nice-to-haves from one posting. Add your resume PDF optionally to see which extracted terms already appear in the file. Treat the result as an editing aid, not an instruction to claim missing skills.

After extracting the terms, paste the same job into [YourUnique.cv](https://yourunique.cv) if you want a draft based on your actual profile facts. The product can tailor the CV to the job and provide an ATS read against it. The Free Tools pages check files or text. They do not rewrite the CV.

### 6. Rewrite five bullets with numbers

Replace task-only bullets with evidence. Start with an action verb, name the work, add the method or scope, and finish with a result when you have one.

Before:

`Responsible for monthly sales reports.`

After:

`Built monthly sales reports in Excel for 4 regional teams, cutting manual preparation time by 6 hours per cycle.`

Before:

`Managed customer accounts.`

After:

`Managed 42 mid-market accounts and improved renewal rate from 81% to 89% over 12 months.`

Before:

`Helped with software implementation.`

After:

`Coordinated a Salesforce rollout for 3 departments, trained 28 users, and resolved 96% of launch-week tickets within one business day.`

Before:

`Worked with the marketing team on campaigns.`

After:

`Partnered with marketing on 8 email campaigns that generated 1,240 qualified leads in two quarters.`

Before:

`Improved the onboarding process.`

After:

`Rebuilt new-hire onboarding documentation, reducing average setup time from 10 days to 6 days.`

Numbers can describe revenue, time, volume, users, customers, error rate, response time, team size, or percentage change. If you cannot disclose an exact figure, use a truthful range or scale. Do not invent results.

### 7. Perform the plain-text parsing test

This test catches reading-order problems before submission. Open a plain-text box. Not a word processor with visual formatting. On Windows, Notepad works. On macOS, TextEdit must be set to plain text. You can also use another basic plain-text editor.

Then follow these steps:

1. Open the finished resume.
2. Select all text.
3. Copy it.
4. Paste it into the plain-text box.
5. Read from top to bottom without looking at the original page.

Check for these failures:

- Your name and contact details are present.
- Section headings appear in the intended order.
- Each job title stays with the employer and dates.
- Bullets remain complete sentences.
- No column appears halfway through another section.
- Skills are visible as words, not missing icons.
- No strange symbols replace characters.
- The file does not contain large blank gaps or repeated headers.

A good result should read like a plain document. If the experience section appears before your name, or skills are scattered between unrelated bullets, return to the one-column source file and export again.

### 8. Review the recruiter view

Parsing is only the first gate. The human reader needs to identify your target role, recent experience, relevant tools, and strongest results without hunting.

Put the target job title or a truthful version of it in the summary when appropriate. Lead with the experience most related to the posting. Remove old, irrelevant detail that pushes useful evidence down the page. Keep bullets specific. A keyword without proof has little value to a recruiter.

## Check the file with a practical scan

After the plain-text test, upload the PDF and paste the job description into the [ATS resume checker](https://yourunique.cv/free-tools/ats-resume-checker). It returns a match score, missing keywords, and gaps. Use those findings to spot omissions, but do not treat its score as the number used by an employer's Workday, Greenhouse, or other ATS.

Look at the actual missing terms. Some will be valid edits. Others may describe experience you do not have. Add only accurate terms. A higher reported score is not a reason to misrepresent your background.

If you need a tailored version built from your source material, [start with YourUnique.cv](https://yourunique.cv/sign-up). You can upload a resume, keep its layout or select a built-in template, add a job description or job link, and export the resulting PDF. Review every line before sending it.

## Questions

### What is an ATS system resume?

An ATS system resume is a resume formatted so applicant tracking software can read its text, sections, dates, skills, and work history before a recruiter reviews it.

### Should I use a PDF for an ATS system resume?

Use PDF when the job posting accepts it and the file has selectable text. Avoid image-only PDFs. If the posting requests DOCX, submit DOCX instead.

### How many keywords should I add to my resume?

Choose about 8 to 12 accurate keywords from the specific job description, then place them where they match your real experience. Do not add skills you do not have.

### How can I test my ATS system resume?

Upload the PDF and paste the job description into the [ATS resume checker](https://yourunique.cv/free-tools/ats-resume-checker). It reports a match score, missing keywords, and gaps. It is a practical check, not the employer's Workday or Greenhouse score.

### Can YourUnique.cv help create a tailored resume?

Yes. [YourUnique.cv](https://yourunique.cv) can use your profile facts and a job description to create a tailored CV, then provide an ATS read against that job. It does not invent experience.
