ATS testing is a pre-application repair check. You inspect the file, remove layout problems, match relevant language from one job, strengthen five bullets, and test the extracted text. Finish the sequence below before you submit.

## The repair sequence

### 1. Save a safe working copy

Duplicate your resume before editing. Name the copy for the job, such as `Jordan-Lee-Project-Manager-Resume.pdf`. Keep your master resume separate.

Use a simple file name with your name and target role. Avoid symbols, multiple versions in one file, and names such as `resume-final-final-2`.

### 2. Use the right file type

Start with a text-based PDF if the application accepts PDF. Export it from Word or Google Docs instead of taking a screenshot. You should be able to select and copy the words.

If the application specifically asks for a DOCX file, follow that instruction. Do not submit a file type that the form rejects. A visually perfect resume still fails if the upload field cannot process it.

A two-column design may look compact but can extract in the wrong order. Tables, text boxes, icons, sidebars, headers, and footers can split information or hide it from a parser.

Move the content into one vertical column. Put your name, contact details, summary, experience, education, skills, and certifications in the main document flow. Use ordinary paragraph text and standard bullet points.

### 4. Rename headings with familiar labels

Use headings that describe the section directly. Good choices include:

- Professional Summary
- Work Experience
- Projects
- Education
- Skills
- Certifications

Replace creative labels such as “My Story,” “What I Bring,” or “Toolbox.” A reader may understand them, but a parser has less useful context. Keep each heading on its own line.

Do not put section headings inside images. Do not rely on color, lines, or font size alone to identify a section.

### 5. Build a clear skills block

Add a dedicated Skills section. Group related skills with plain labels, then separate entries with commas or bullets.

Example:

Do not tailor your resume against five jobs at once. Pick the role you are applying for now. Read the job description and collect 8 to 12 relevant terms.

Separate the terms into groups:

Numbers can describe revenue, cost, time, volume, quality, team size, customers, projects, or frequency. Use honest estimates when your workplace did not track an exact figure, and make the basis clear. If no number is available, name the scope instead, such as “for six regional teams” or “across a 10,000-record database.”

### 8. Perform the plain-text parsing test

Open a plain-text box. Not a rich-text document. Not a design editor. Use a basic text editor, a browser plain-text field, or a temporary note that removes formatting.

Copy all resume text and paste it into the box. Inspect the result from top to bottom.

Repair these signs of bad extraction:

- Your name is missing or appears halfway through the file.
- Contact details are scattered between unrelated text.
- Right-column content appears before the left-column content.
- Dates, employers, and job titles are separated.
- Bullets turn into random symbols or disappear.
- Words split across lines, such as `stake- holder`.
- Header or footer text interrupts every section.
- Important skills are absent from the pasted text.

Fix the source document, export it again, and repeat the paste test. Do not repair the PDF by hand in a PDF editor if you can correct the original layout.
