This guide gives you a same-day repair sequence. You will use one job description, add 8 to 12 accurate keywords, rewrite five bullets with numbers, and run a final 12-point check.

What an ATS tracker can and cannot tell you

An ATS tracker is a useful name for a resume checker or tracking view that examines your file. It may identify missing terms, weak section structure, formatting risks, or text that fails to extract cleanly.

It cannot prove how a specific employer's system will score your application. Different employers use different configurations. A public checker also is not the same system as Workday, Greenhouse, or another employer platform. Treat the result as a repair signal, not a hiring prediction.

The numbered repair sequence

1. Start with one target job

Do not repair a resume against five job descriptions at once. Choose the job you plan to apply for today. Save the posting or paste it into a working document.

Mark four groups of information:

Do not add a skill because it appears in the posting if you cannot support it. A keyword that is false can create a credibility problem in an interview.

2. Fix the file type

Use a text-based PDF or DOCX unless the application instructions say otherwise. Do not upload a screenshot, image-only PDF, or scanned document.

Open the file and try to select a sentence. Copy it into a basic text editor. If the text cannot be selected, export the resume again from the original document. Check the final file after every export. A clean source document can still produce a bad PDF.

Use a plain filename, such as:

FirstName-LastName-Role-Resume.pdf

Avoid a filename such as resume_final_final2.pdf. The filename will not repair missing content, but a clear name makes the file easier to identify and less likely to be confused with an old version.

3. Remove columns and tables

Columns can make text extract in the wrong order. A hiring reader may see the left column first, then the right column, then a mixture of both. Tables can split one job entry into unrelated cells.

Remove these elements:

  • Two-column layouts
  • Text boxes
  • Icons used instead of words
  • Header and footer contact details
  • Decorative sidebars
  • Skill bars and rating graphics
  • Tables used to position dates or employers

Use one vertical reading order. Put your name and contact details at the top of the document. Keep dates close to the job or education entry they describe.

4. Rename headings with standard terms

Replace creative labels with headings a parser can recognize quickly.

Do not hide section names inside graphics. Type each heading as live text. Keep the same heading style throughout the document.

5. Add a compact skills block

Place a skills section near the top third of the resume, after the summary or before experience. Use plain text. Separate items with commas or vertical bars.

Example:

Skills: SQL, Python, Excel, Tableau, data cleaning, dashboard development, stakeholder reporting

Group skills only when the groups make scanning easier:

Tools: Salesforce, HubSpot, Google Analytics

Methods: A/B testing, lifecycle campaigns, segmentation

Use the job's exact wording when it accurately describes your experience. If the posting says “stakeholder management” and you have done that work, use that phrase rather than relying only on “cross-functional collaboration.”

6. Run a keyword pass against the job

Choose 8 to 12 terms from the target job. Prioritize required skills, tools, certifications, and repeated responsibilities. Put each accurate term where it has evidence behind it.

Check variations carefully. “Project management” and “project manager” are related, but they are not always interchangeable. Use the wording that matches your actual work.

Do not paste a keyword list into a summary without proof. A skill should appear in the skills block, experience, projects, education, or certifications when possible.

7. Rewrite five bullets with numbers

Select five bullets that relate directly to the job. Replace task-only wording with action, work, and result. Add numbers that come from your records. Do not estimate to make a result look better.

Before:

Responsible for monthly sales reporting.

After:

Built monthly sales reports in Excel for 6 regional teams, reducing manual consolidation time by 4 hours per cycle.

Before:

Helped with customer onboarding.

After:

Useful evidence includes revenue, cost, volume, time, accuracy, headcount, response rate, conversion rate, project duration, or number of users. If you cannot use a number, specify the scope, system, audience, or frequency.

8. Run the ATS tracker check

The parsing test: paste the resume into plain text

A score can look acceptable while the file still extracts badly. Run this test manually.

  1. Open the final PDF.
  2. Select all text.
  3. Copy it.
  4. Paste it into a plain-text box, such as a basic text editor.
  5. Read from top to bottom without looking at the original layout.

Check the order. Your name should appear before your summary. Each employer should stay connected to its job title and dates. Bullets should stay under the correct role. Skills should not appear halfway through a work entry. The email and phone number should remain readable.

Look for these failures:

  • Words missing from the copied text
  • Dates separated from employers
  • Bullets merged into one paragraph
  • Text from a sidebar inserted between job entries
  • Strange symbols replacing letters
  • Contact details trapped in a header or footer
  • Skills appearing in an unusable order

If the paste fails, return to the source document. Remove the element causing the problem and export again. Do not assume another PDF viewer will fix it.

  • The file follows the employer's requested format.
  • The PDF contains selectable text, not only an image.
  • The filename uses your name and target role.
  • The document uses one vertical reading order.
