The best ATS resume is a clean, text-based file with standard headings, a simple layout, relevant keywords, and measurable evidence. Build it for one job at a time. Then paste the finished file into a plain-text box to check what a parser may read.

1. Start with the correct file
Read the application instructions before you edit anything. Use the requested file type. If the employer does not specify one, a text-based PDF or DOCX is usually a practical choice.
Check the file before you submit it:
- Open the file and select text with your cursor.
- Copy a full page and paste it into a plain-text editor.
- Confirm that the letters are real text, not part of an image.
- Use a short filename such as
Alex-Taylor-Project-Manager-Resume.pdf. - Keep one final version for this job, with the job title in the filename.
Do not upload a scanned resume unless the application specifically asks for one. A scan may look fine to you while giving a parser little or no readable text.
2. Remove columns, tables, and decorative elements
A resume can look polished and still read badly after upload. Columns can cause the parser to read the right column before the left column. Tables can split a job title, date, or skill into separate cells. Text boxes and floating elements may disappear.
Use one main column. Keep contact details in the document body instead of a header or footer. Remove:
- Sidebars that hold skills or dates
- Tables used for alignment
- Text boxes and shapes
- Icons used instead of words
- Logos, headshots, and decorative graphics
- Headers and footers that contain important facts

3. Rename headings so the parser knows the section
Use familiar headings. A parser does not need a clever label for your summary or work history.

4. Add a focused skills block
Put a Skills section near the top, after the summary. Use terms that you can support in your experience, projects, education, or certifications.
Separate skills with commas, vertical bars, or line breaks. Do not hide them in a graphic. Do not add a skill just because it appears in the job description. If you have not used it, leave it out.

Use the exact spelling from the job description when it matches your experience. For example, include both a full term and a common abbreviation when accurate: Search Engine Optimization (SEO). This can help with variations without repeating the term throughout the resume.
5. Run one keyword pass against one job
Do not tailor your resume against a general idea of your career. Use one job description. Pull out 8 to 12 important terms from it. Include a mix of:
- Required skills and qualifications
- Tools, platforms, or methods
- Role-specific responsibilities
- Industry terms that match your background
Place each truthful term where it belongs. Put a tool in Skills and in a bullet if you used it in that work. Put a responsibility in a relevant experience bullet. Do not create a keyword paragraph with no evidence.

6. Rewrite five bullets with numbers
Choose five bullets that matter most for the target job. Rewrite each one with this pattern:
Action verb + work performed + scope or method + measurable result
Use numbers that come from your records. Good measures include revenue, time, volume, cost, headcount, accuracy, customer count, project count, or completion rate.

Do not force a number into every line. Use a specific result when you have one. If you do not know the exact figure, describe the scope accurately without guessing.
7. Run the plain-text parsing test
This test catches many ordering and visibility problems. It does not replicate an employer's ATS. It gives you a fast check of what happens when formatting is stripped away.
Open a plain-text editor. Not a rich document editor. Copy the entire resume and paste it in. Then inspect the result from top to bottom.
You should see:
- Your name and contact details first.
- Summary text before experience.
- Each company followed by its job title and dates.
- Bullets in the correct order.
- Skills as readable words, not empty spaces or symbols.
- Education and certifications under the correct headings.
- No missing text from headers, footers, tables, or text boxes.
If the order is wrong, return to the source file and rebuild that section in one column. If the paste contains strange symbols, replace special bullets with simple bullet characters or hyphens. Save a new copy and test again.

8. Complete the final review
Before you apply, compare the resume to the job one more time. Remove irrelevant detail if it pushes important evidence too far down. Check dates, contact information, spelling, and file name. Open the exported file on another device if possible.
The best ATS resume is still a human document. A parser may find the words, but a recruiter needs to understand the work quickly.
