Callouts:

  • Heading name: EXPERIENCE is a common heading. An ATS can more easily classify it than a creative label such as “Where I Made an Impact.”
  • Job line: The title, company, location, and dates appear as readable text. Keep them on one or two simple lines. Do not place them inside a text box or image.
  • Date format: March 2021 to Present is clear. Use the same format for every role. 03/21 to Now is less consistent and may be harder to interpret.
  • Keyword placement: Microsoft 365, Active Directory, Intune, ServiceNow, endpoint, and account provisioning appear in context. A separate skills list can repeat these terms, but the experience bullets prove how you used them.
  • Strong bullet: “Administered Microsoft 365, Active Directory, and Intune for 420 users” names the action, tools, scope, and audience. It is specific without claiming more than the sample says.
  • Evidence: The second and third bullets include a measurable change and ticket volume. Use numbers only when you can support them.

Callouts:

  • Heading name: WORK I DID is understandable to a person, but EXPERIENCE gives the parser a more familiar category.
  • Date format: 2021 - Now does not state the starting month and differs from the preferred format. Use one date pattern throughout the document.
  • Keyword placement: “Various tools” gives the reader no searchable tool name. If you used Microsoft 365, Active Directory, Intune, or ServiceNow, name the tools you actually used.
  • Weak bullet rewritten: “Helped with systems and users” becomes “Resolved endpoint, access, and email incidents through ServiceNow for office and remote users.” This version states the work and the platform. Add a number only if you know it.
  • Claim risk: “Improved things a lot” is vague. It also gives no result that a hiring manager can verify. Replace it with a documented result, time saved, volume handled, or service target met.

Copy the structure, not the facts. Do not copy Northstar Services, Austin, 420 users, or the sample percentages as if they were yours. A resume example is a layout and writing model. It is not a source of experience.

How to build each section

Contact information

Put your name, city and state or country, phone number, email address, and a professional LinkedIn URL near the top. Use plain text. Avoid putting contact details only in a header or footer because some parsers treat those areas differently.

You usually do not need a full street address, photograph, age, or personal status. Follow the requirements of the country and job application.

Summary

Write two or three lines that identify your level, focus, and strongest relevant tools. Do not write a generic objective.

Systems administrator with five years of experience supporting Microsoft 365, Active Directory, Intune, and Windows endpoints for distributed teams. Experienced in access management, incident response, device deployment, and technical documentation.

This summary is useful because it gives the parser and reader terms likely to matter for a systems administrator role. Change the terms to match your actual background and the target job description.

Technical skills

Use a standard heading such as TECHNICAL SKILLS or SKILLS. Group tools in readable lines.

Cloud and identity: Microsoft 365, Azure AD, Active Directory, Entra ID
Endpoint management: Intune, Windows 11, Group Policy, PowerShell
Service management: ServiceNow, incident response, change management

Work experience

For each role, include three to six bullets that explain what you did and what changed. Start with a direct verb. Name the system, process, or team involved. Add scope or results when you have reliable figures.

A useful pattern is:

Action verb + task + tool or method + scope or result

Examples:

  • Configured Intune compliance policies for 300 Windows devices, reducing manual device checks for the support team.
  • Documented VPN troubleshooting procedures used by 12 service desk analysts during remote-access incidents.
  • Managed Active Directory groups and access requests under documented approval procedures.

The third bullet is still useful even without a number. Do not force a metric into every line. Accuracy matters more than decoration.

Formatting choices that help an ATS read the file

Use one column. Use common fonts such as Arial, Calibri, or Georgia at a readable size. Keep section headings distinct with spacing and consistent capitalization. Use normal bullet characters and left-aligned text.

Avoid tables for the core resume, text boxes, columns, icons, logos, charts, decorative skill bars, and important text placed in headers or footers. These elements can change reading order or hide content from a parser. A clean document can still look professional without them.

Use a PDF when the application asks for one and confirm that the text can be selected. If the PDF is a scan or image, the words may not be available to the ATS. Keep a DOCX version as a backup when the application accepts it.

Do not turn “coordinated” into “led” unless you had ownership of the project. Do not turn “assisted” into “architected” because the stronger word sounds better. The bullet must remain true.

Check the resume against the job before sending it

A tailored IT resume does not need every possible technology. It needs the relevant ones presented clearly. Compare the posting with your resume in this order:

  1. Identify required tools, certifications, platforms, and job functions.
  2. Mark which terms are already supported by your experience.
  3. Add missing terms only when your history supports them.
  4. Place important terms in the summary, skills section, or a relevant experience bullet.
  5. Remove unrelated tools that crowd out useful evidence.

Do not repeat a keyword unnaturally. A tool name in a skills list and one relevant bullet is usually clearer than a dense paragraph of repeated terms.
