A free ATS repair takes a few focused checks. Use a readable file, remove layout elements that disrupt text extraction, match the job's language truthfully, and test the text order before you apply. You do not need an employer's score cutoff to find obvious resume problems.

This guide gives you a repair sequence for one application. It covers file type, headings, columns, a skills block, 8 to 12 job keywords, five quantified bullets, and a plain-text parsing test.

The repair sequence

1. Start with the correct file

Use a PDF only when the application accepts PDF and the file exports as selectable text. Open the file and try to select a sentence with your cursor. If you cannot select words, the PDF may be an image rather than a text document.

If the application asks for a Word document, upload a .docx file. Follow the employer's instruction instead of guessing. Do not upload a screenshot, scanned image, portfolio page, or design file when the form asks for a resume document.

Use a simple filename:

FirstName-LastName-Resume.pdf

Avoid filenames such as resume-final-final2.pdf. A clear filename helps you identify the correct version when you submit several tailored files.

2. Remove columns, tables, and floating objects

Build the resume in one reading path from top to bottom. Delete sidebars, multi-column layouts, text boxes, icons, charts, logos, and decorative lines that carry information.

Tables can look tidy on screen but produce scrambled text during extraction. A parser might read the right column before the left column, combine unrelated cells, or omit content. Put each item in normal paragraphs instead.

Keep fonts, spacing, and section breaks consistent. Visual polish matters less than reliable reading order for this pass.

3. Rename headings so the section is obvious

Use headings that a parser and a human can identify quickly:

  • Summary
  • Skills
  • Professional Experience
  • Education
  • Certifications
  • Projects

Do not replace Professional Experience with a creative label such as Where I Made an Impact. The latter may be clear to a person, but it gives the section less useful context during extraction.

Write each job in a predictable format:

Keep dates as text. Use a consistent format throughout the file. Do not put dates in a separate visual column.

4. Add a focused Skills block

Place a Skills section below your summary or near the top of the resume. Group related items with plain text. For example:

Skills: SQL, Python, Tableau, forecasting, dashboard reporting, inventory analysis, stakeholder communication

Do not make a large keyword wall. Your skills block should reflect the work you can discuss in an interview. Repeat an important skill in an experience bullet when you actually used it. A skill listed only at the top has less context than a skill connected to a result.

5. Pull 8 to 12 keywords from one job

Do not tailor against five jobs at once. Pick the job you will apply to today. Read the full description and mark phrases that describe required work, tools, methods, credentials, or outputs.

Separate the phrases into three groups:

Choose 8 to 12 high-value terms for your first pass. Copy the job's wording when it accurately describes your experience. For example, if the job says forecasting, do not rely only on demand planning if you also performed forecasting. If the job asks for Salesforce, do not add it because it appears in the posting unless you have used it.

6. Rewrite five bullets with numbers

Pick five bullets that relate most closely to the target job. Give each bullet a clear action, task, and result. Add a number when your records support it.

Responsible for monthly reports and helping the operations team.

After:

Built monthly operations reports in Excel for 6 regional teams, reducing manual consolidation time by 10 hours per month.

Before:

Worked with customers to resolve issues.

After:

Use the numbers you can defend. If you do not know an exact result, use a valid count, range, frequency, time period, team size, budget, volume, or scope. Do not manufacture percentages.

Work the relevant job language into these bullets naturally. A recruiter should see what you did, which tool or method you used, and what changed because of the work.

Run the plain-text parsing test

A visual review is not enough. Copy the complete resume from the PDF and paste it into a plain-text box, such as a basic text editor with no formatting. You can also paste it into a blank email draft, then remove formatting if the editor provides that option.

Check the pasted result in this order:

  1. Your name appears first.
  2. Contact details are present and readable.
  3. Summary text follows contact details.
  4. Skills appear as a complete block.
  5. Employers and job titles stay attached to the right dates.
  6. Bullets remain under the correct job.
  7. The newest role appears first.
  8. Education and certifications appear after experience.
  9. No text is missing from a sidebar, header, footer, or text box.
  10. No columns have been mixed together.

If the paste starts with a phone number, separates a job title from its employer, or places skills between bullet fragments, repair the original document. Do not try to fix the PDF after export. Return to the source file, rebuild the affected section in one column, export again, and repeat the test.

Read the job description beside your revised resume. Confirm that the eight to twelve selected phrases appear where they are accurate. Check that the five revised bullets support the most relevant duties. Remove vague claims that you cannot explain.
