The 7-step free ATS resume check

1. Save a clean application file

Start with the employer's instructions. Use the requested file type and filename format. If the posting does not specify a type, DOCX is a practical default for many forms. A text-based PDF may also work when the portal accepts PDF.

Do not upload a photograph or scanned image of your resume. The words may not be selectable. Avoid password protection, unusual extensions, and files with several versions mixed into one document.

Rename the file so it is easy to identify:

FirstName-LastName-Target-Role-Resume.docx

Use the same name for the final file you submit. Do not call it resume-final-final-2.

2. Remove columns, tables, and decorative objects

Open the resume and inspect its structure, not only its appearance. Two-column designs can cause the parser to read the right column before the left column. Tables can split a job title, employer, date, or skill into separate cells. Text boxes, icons, headers, footers, charts, and graphics can disappear or land in the wrong place.

Use one main column. Keep contact details in the document body rather than a header or footer. Use ordinary text for your phone, email, city, and links. Remove logos and rating bars.

3. Rename headings so their purpose is obvious

Use standard section headings. A parser and a person should not have to interpret creative labels.

Keep the heading style consistent. Do not hide a heading in an image. Put dates in a readable format, such as May 2022 to Present or 2022 to 2024, and use the same format throughout.

4. Build a focused skills block

Place a plain-text skills section below the summary or above experience. Include tools, methods, platforms, languages, and role-specific capabilities that you genuinely use.

Example:

SKILLS: SQL, Python, Tableau, financial reporting, variance analysis, forecasting, stakeholder presentations

Do not create a long keyword wall. Group related skills if that improves scanning:

Tools: Salesforce, HubSpot, Excel

Methods: pipeline analysis, account planning, discovery calls

5. Run one keyword pass against one job

Copy the full job description into a document. Mark four types of terms:

  1. Required skills and qualifications.
  2. Tools, platforms, and systems.
  3. Responsibilities and methods.
  4. Deliverables, metrics, or business outcomes.

Choose 8 to 12 relevant keywords or phrases. Add the exact wording where it is accurate. Also use a natural variant when useful. For example, a posting may say customer relationship management, while your experience uses CRM. Include both only if both fit the facts.

Do not add a tool because it appears in the job description. Do not claim a certification, method, or result you do not have. Place a term in the skills section, summary, or a relevant experience bullet. The work history gives the keyword evidence.

6. Rewrite five bullets with numbers

Pick five bullets that relate directly to the target role. Replace task-only wording with an action, the work performed, and a measurable result when you have one.

Use real figures. If you cannot share an exact number, use a defensible range, volume, time period, team size, or scope. Never manufacture a result to make a bullet look stronger.

7. Test the parsed order in plain text

This is the fastest hands-on parsing test. Open a plain-text box. On Windows, use Notepad. On macOS, use TextEdit in plain-text mode. You can also paste into a blank email or browser text field that does not preserve rich formatting.

Copy the complete resume and paste it into the box. Read from top to bottom.

Check these points:

  • Does your name appear first?
  • Are your phone and email readable?
  • Does Summary come before Skills and Experience?
  • Does each employer stay connected to the correct job title?
  • Do dates remain near the correct role?
  • Are bullets in the right order?
  • Did any text vanish?
  • Are symbols, icons, or columns replaced with confusing characters?
  • Are page headers or footers inserted between bullets?

If the order is wrong, return to the editable file. Remove the responsible table, column, text box, or header. Copy and paste again. Repeat until the plain-text version makes sense without visual formatting.

Use a checker after the manual repair
