Run the scan correctly

Use the job description for the exact role. Do not scan a generic resume against a vague collection of job ads.

  1. Save the current resume as a PDF. Keep a copy of the original document.
  2. Copy the full job description, including requirements, tools, responsibilities, and qualifications.

Read the score without chasing it

A score is a prompt for inspection, not a target that guarantees an interview. A high number can hide a serious problem, such as a phone number trapped in an image. A low number can reflect a wording difference even when you are qualified.

Read the report in this order:

  1. File readability.
  2. Contact information.
  3. Section detection.
  4. Required skills and tools.
  5. Dates and employment history.
  6. Formatting warnings.

Give more weight to a required qualification than to a small increase in total overlap. For example, if the job requires SQL and your resume says only “data queries,” consider adding “SQL” if you use SQL. If you have never used SQL, do not add it to improve a score.

Also check context. A keyword in a skills block is weaker evidence than a truthful bullet showing what you did with that skill.

Fix keyword coverage against the job post

Start with the must-have requirements. Mark each as one of four states:

  • Present in a work bullet.
  • Present in the skills section only.
  • Missing but supported by your real background.
  • Missing and not supported by your background.

Repair the first three states carefully. Move an isolated skill into a relevant bullet when possible. For example:

Before: “Managed dashboards and reports.”

After: “Built weekly sales dashboards in Tableau and used SQL queries to identify a 12% drop in regional conversion.”

The second version gives the tool, action, and result. Use the actual result only if you can support it.

Repair sections, dates, and contact fields

Use familiar headings: Summary, Skills, Professional Experience, Education, Certifications, and Projects. A creative heading may look clear to a person but may be harder for a parser to classify.

Write dates in one pattern. Jan 2022 to Present and March 2020 to Dec 2021 are readable, but mixing 03/20, 2021 to now, and Summer 2019 creates doubt. Use month and year where you can.

Keep contact information as selectable text. Do not put your email or phone only inside a logo, icon, image, or decorative header. Confirm that copied text includes your name, email address, phone number, location, and relevant profile URL.

Repair the file and layout

Follow the employer's instructions first. If the application requests DOCX, use DOCX. If it requests PDF, use a text-based PDF. Do not assume that a visually attractive file is readable by every system.

A one-column layout is the safer test case. Tables, sidebars, multiple columns, floating text boxes, and headers can change extraction order. You do not need to remove every design choice automatically. You do need to inspect the pasted output.

Compare the PDF with the plain-text version. If your employer names, dates, headings, or bullets appear in the wrong order, fix the source document and export again.

Use a one-change repair loop

Do not rewrite the entire resume after every scan. Make one related change, then test again. This tells you which repair helped and prevents accidental damage.
