How to Make Resume ATS-Friendly: From Upload Fail to a Clean Parse
Learn how to make resume ATS friendly: repair file type, headings, columns, keywords, bullets, and parsing errors before you apply today with this checklist.

If you are asking how to make resume ATS friendly, start with the file and structure, not colors or graphics. Use a readable DOCX or text-based PDF. Remove columns, tables, text boxes, icons, and image-only content. Then tailor the resume to one job, test the extracted text, and apply.
An applicant tracking system may parse your file before a recruiter reviews it. Different employers use different systems and settings, so no public checker can promise the exact result from a specific employer's system. You can still repair common failure points with the sequence below.
The repair sequence
Follow these steps on a copy of your resume. Keep your original file unchanged.
1. Save a safe working file
Use DOCX when the application does not specify a format. Use a PDF only when it contains selectable text and the employer accepts PDF. Do not upload a scan or a PDF made from screenshots.
Open the file and try to select a sentence with your cursor. If you can select individual words, the text is probably available to a parser. If the whole page selects as one image, rebuild the document.
Name the file clearly:
FirstName-LastName-JobTitle-Resume.docx
Avoid a filename such as resume-final-final2.pdf. A clear name helps you track versions and looks professional when the file is downloaded.
2. Remove layout traps
Delete or rebuild these items:

Columns can cause the parser to read the right side before the left side. Tables can split a job title, employer, and dates into separate fields. Headers and footers may be ignored. The problem is not that the document looks polished. The problem is that important information can arrive in the wrong order.

3. Rename headings with standard labels
Use headings that describe the section directly. Replace unusual labels with familiar ones.

Keep the order simple: contact information, summary, skills, experience, education, and optional sections such as certifications or projects. Do not hide a section name inside a graphic or a decorative banner.
4. Put contact information in the body
Place your name, phone number, email address, city and state, and LinkedIn URL at the top of the first page. Type them as normal text.
Do not rely on an icon to communicate that a number is a phone number. Write the label or use a familiar format. Do not put the only copy of your email or phone number in a header, footer, image, or sidebar.
5. Add a focused skills block
Create a section called Skills or Technical Skills. Use a readable line or short groups of terms.
Example:
Skills: SQL, Excel, Salesforce, HubSpot, customer retention, reporting, A/B testing
Include skills that you actually use or can support with your experience. Do not copy every term from a job description. A skills block helps a parser find relevant terms, but your experience bullets should show where and how you used them.
6. Run one keyword pass against one job
Do not tailor a resume to a vague target. Choose one job description. Pull out terms that describe required skills, tools, certifications, job functions, and deliverables. Look for repeated phrases and exact product names.
Aim to review 8 to 12 relevant keywords. Add only terms that match your real background. If the job asks for Salesforce and you used HubSpot, do not claim Salesforce experience. You can mention HubSpot and describe the related work accurately.

7. Place keywords where they make sense
Use the most important terms in the summary, skills block, and relevant experience bullets. Use the exact wording from the job when it is truthful and natural. Include an acronym and its full form when both appear in the posting, such as customer relationship management (CRM).
Do not make a keyword list that reads like a search query. Do not repeat a term in every bullet. Recruiters still need to understand what you did.
8. Rewrite five bullets with numbers
Pick five bullets that relate directly to the job. Give each one a clear action, task, and result. Add a number where you have a defensible figure.
Before:
Responsible for managing customer accounts and improving retention.
After:
Managed 42 mid-market customer accounts, used monthly health reports, and raised renewal rates from 81% to 89% in two quarters.
Before:
Helped with monthly reporting.
After:
Built monthly Excel reports from CRM data, cutting manual reporting time by 6 hours per month.
Use counts, percentages, revenue, time saved, volume, response time, error reduction, or team size. If you do not know an exact number, use a safe range only when you can support it. Do not manufacture metrics.
9. Keep dates and job details consistent
Use one date format throughout, such as May 2021 to August 2023 or 05/2021 to 08/2023. Put the job title, employer, location, and dates in normal text. Keep each role's bullets directly below its heading.
A parser should not have to guess whether a date belongs to the role above or below it. Avoid placing dates in a separate right-side column.
Run the plain-text parsing test
This test catches problems before an upload does.
- Open a plain-text editor, such as Notepad or TextEdit in plain-text mode.
- Copy the entire resume from the first line to the last.
- Paste it into the editor.
- Read the result from top to bottom.
- Check every heading, employer, title, date, bullet, email address, and skill.
The pasted text should follow a logical order. It might lose bold text, spacing, and bullet styling. That is fine. It should not scramble columns or omit important content.
Watch for these signs:
- Your name appears after the summary.
- Contact details disappear.
- A right-column skills list appears between two lines of one job.
- Dates are separated from their employers.
- Bullets merge into one paragraph.
- Symbols replace letters or numbers.
- A PDF produces no text at all.
If you find a problem, return to the source document. Rebuild the section with one column and ordinary paragraphs. Export again, then repeat the test.
