Keep the order consistent. Do not place Skills in a sidebar while Experience sits in the main column. Do not put your phone number in a header if it disappears during extraction. Put your contact details in the body of the document near your name.
The Summary is optional for some early-career applicants, but it can help connect your experience to the target role. Skills should contain terms supported by your background. Experience should provide proof of those skills through work, project, volunteer, or academic examples.

Build the file in Microsoft Word, or create the same structure in Google Docs. The software matters less than the document's reading order and the objects you place inside it.

Use Calibri, Arial, or Georgia at 10 to 12 points for body text. Keep margins between about 0.5 and 1 inch. Standard margins give the page enough white space without forcing the content into narrow blocks.
Use bold sparingly for job titles, company names, and section headings. Avoid relying on color to communicate meaning. A black or dark gray document is easier to print and review.
If an employer specifically requests a Word document, submit the requested .docx file. If the instructions request a PDF, export a text-based PDF and inspect it before uploading. Do not convert the document into a screenshot.

Three layouts that can fail parsing
1. Two-column resume with a sidebar
A left sidebar may contain Skills and contact details while the right side contains Experience. A parser can read the sidebar first, last, or in fragments. The result may separate a skill from the evidence that supports it. A single column removes that uncertainty.
2. Text boxes for contact details or highlights
Text boxes are floating objects. They can move, overlap, or be skipped during extraction. They are especially risky for phone numbers, email addresses, job titles, and keywords. Type those details directly into the document body.
3. Table-based resume with icons and graphics
Tables may look tidy because they align dates, employers, and skills. They are still a weak choice for layout. A parser may read cells across a row or down a column in an order you did not intend. Icons can also replace the words Phone, Email, or LinkedIn with content the system cannot interpret.
Photos, logos, progress bars, star ratings, and multi-column skill grids create similar problems. They use visual signals instead of plain text. Leave them out of the ATS version.
How to tailor one template without breaking it
Start with a clean master copy. Save a new file for each application. Keep the section headings and overall order unchanged.
- Read the job description once for the role's main responsibilities.
- Mark exact terms that describe required tools, methods, qualifications, and work outputs.
- Compare those terms with your real experience.
- Edit the Summary to reflect the role you are targeting.
- Reorder Skills so the most relevant supported skills appear first.
- Replace or revise experience bullets to emphasize relevant work.
- Keep the original headings: Summary, Skills, Experience, and Education.
- Remove unrelated details only when the remaining document still represents your background accurately.
For example, if a posting repeatedly mentions vendor management, Excel reporting, and process documentation, place those terms in Skills only if you have used them. Then connect them to specific Experience bullets. A keyword with no supporting evidence can look weak to a human reviewer.
Do not rename Experience to Career Impact, or Skills to Core Toolkit, just to sound distinctive. Standard headings help both readers and parsing software identify the content.
