The best template is easy to edit without disturbing the reading order. Use a blank document or a simple built-in resume template that does not add columns, decorative sidebars, or floating objects.

Calibri, Arial, and Georgia are practical options. Pick one and use it throughout the document. Use 10 to 12 pt for body text. Set margins to the Word standard, usually 1 inch. If the document runs long, edit weak content before shrinking the font or margins.

In Word, use paragraph styles for headings instead of manual formatting alone. In Google Docs, use the built-in heading styles, but confirm that the exported file still looks correct. Styles make it easier to revise the document without accidentally changing every section.

The example uses plain text, clear dates, and conventional headings. It also connects skills to work history. That matters because a skills list alone does not explain where or how you used each skill.

Three layouts that can fail parsing

A design can look polished in Word and still create problems when its text is extracted in the wrong order. These layouts are risky for ATS applications.

1. Two-column resume with a skills sidebar

A two-column page may put your skills, dates, or job titles in a different reading order. Some systems may read the sidebar before the main work history. Others may combine lines from both columns.

Use one column instead. Put skills below the summary and above experience. You can still create visual hierarchy with font size, spacing, and headings.

2. Table-based resume layout

Tables are useful for some documents, but they are a poor choice for arranging an ATS resume. A table can split a job title from its company, place dates in the wrong sequence, or make text difficult to select and copy.

Do not use a table to create columns for dates, skills, or contact information. Use tab stops or simple paragraph alignment only when needed. Keep the text in the document's normal flow.

3. Graphic resume with icons, photos, and text boxes

A photo does not help an ATS understand your qualifications. Icons can hide phone numbers, email addresses, or links from the text layer. Text boxes and floating objects may be skipped or read separately from the surrounding content.

Remove profile photos, rating bars, skill charts, logos, decorative timelines, and contact icons. A plain text label such as Email: is safer than an envelope symbol.

How to customize the template for one job

Start with the job description. Identify the exact terms that describe required skills, tools, responsibilities, credentials, and job functions. Keep a small working list while you edit.

Then revise the resume in this order:

  1. Update the summary to reflect the target role and your relevant background.
  2. Move the most relevant skills near the front of the skills section.
  3. Adjust experience bullets so the strongest related work appears first under each role.
  4. Add exact job-description terms when they accurately describe your experience.
  5. Remove unrelated details that use space but do not support the application.

Do not add a tool, certification, or responsibility just because it appears in the job description. A keyword must be true of your background. If you have related experience but not the exact term, describe the work accurately instead of copying the requirement.

For example, change a generic bullet:

• Helped with monthly reports.

To a specific, job-relevant bullet:

• Built monthly Excel reports from sales data and explained variance trends to regional managers.

The second version contains a tool, task, output, and audience. It is still factual and easy to parse.

Keep the headings unchanged while tailoring the content. Do not rename Experience to a decorative phrase such as Where I Made an Impact. A conventional heading gives both software and people a clear signal.

Check the actual file before submitting

Word can display content that does not extract cleanly. Google Docs can also change spacing or page breaks during export. Check the file you will upload, not only the editable original.

  • Confirm the name, contact details, headings, dates, and bullets appear in the right order.
  • Search the copied text for your most important, truthful job terms.

  • Remove headers and footers if they contain information that must be parsed.
