The fastest way to repair an **online ATS system** problem is to simplify your resume, match the language of one job, and test the extracted text before you apply. Use a text-based file, one column, standard headings, a clear skills block, and measurable work bullets.

An applicant tracking system may read your resume before a recruiter does. It may extract your name, contact details, dates, job titles, skills, and education. If the file has a confusing layout, the system may read items in the wrong order or miss them.

This guide gives you a repair sequence you can complete today.

## 1. Save a working copy

Do not edit the only copy of your resume. Save a new version for the target job.

Use a useful filename:

`FirstName-LastName-JobTitle-Resume.pdf`

Avoid names such as `resume-final-final2.pdf`. A clear filename helps you identify the right file when several applications are open. It does not improve an ATS match by itself.

Read the application instructions first. If the employer requests DOCX, submit DOCX. If it requests PDF, submit PDF. If it gives no file instruction, use a text-based PDF or a simple DOCX, then test the result.

A scanned image PDF is a problem. You may be able to see the words, but software may see only a picture. Open the file and try to select and copy a sentence. If you cannot select the text, export the resume again from the original document.

## 2. Remove layout features that interrupt parsing

Keep the document to one main reading path. Remove or rebuild these elements:

- Two or three-column layouts
- Tables used to align dates or skills
- Text boxes
- Icons beside phone numbers or email addresses
- Logos, headshots, and decorative graphics
- Important content in headers or footers
- Progress bars for skills
- Unusual symbols used as bullets

A recruiter may understand a designed layout immediately. A parser may read the right column before the left column, separate a job title from its dates, or omit content inside a shape.

Use normal text and spacing instead. Put dates on the same line as the related role or on a separate line directly below it. Keep bullets under the correct employer.

A plain layout is easier to repair. It also makes your content easier to review on a phone or in a recruiter screen.

## 3. Rename headings with standard labels

Replace creative labels with headings that describe the section directly.

| Risky heading | Safer heading |
|---|---|
| What I Bring | Summary |
| Career Story | Work Experience |
| Tools I Know | Skills |
| Where I Studied | Education |
| My Wins | Achievements or Work Experience |
| Get in Touch | Contact Information |

Use headings such as Summary, Skills, Work Experience, Education, Certifications, and Projects. You do not need every heading. Use the ones that fit your background.

Keep the contact block near the top of the document. Write your phone number, email, city and country, and LinkedIn URL as selectable text. Do not put these details only in a header.

## 4. Build a readable skills block

Add a section titled `Skills` or `Technical Skills`. Use plain text separated by commas or short lines.

Example:

`Skills: SQL, Excel, Python, Tableau, financial modeling, forecasting, stakeholder reporting`

Do not turn the section into a keyword wall. Include skills you can support with work, project, education, or training evidence. Do not add a tool because it appears in the job description if you have never used it.

Separate tools from methods when that helps clarity:

- Tools: Salesforce, HubSpot, Google Analytics, Looker
- Methods: pipeline reporting, A/B testing, customer segmentation

Then confirm the same skills appear in context where appropriate. A skills list says what you know. A work bullet shows how you used it.

## 5. Run one keyword pass against one job

Do not tailor your resume to a whole industry at once. Use the exact job description for the application in front of you.

Mark phrases in four groups:

1. Must-have skills and qualifications
2. Tools, platforms, and methods
3. Job title and function terms
4. Nice-to-have terms that genuinely fit your background

Choose 8 to 12 useful phrases. Copy the employer's wording when it is truthful. For example, if your resume says “monthly performance reports” and the job says “monthly KPI reporting,” you can use the employer's phrase in a bullet or skills section if it accurately describes your work.

Place the strongest terms in relevant locations:

- Summary: role, specialty, and one or two major strengths
- Skills: tools and methods you actually use
- Work experience: terms supported by specific results
- Projects: relevant work that does not fit under employment

Do not repeat a phrase in every section. Repetition can make the document hard to read and does not prove experience.

Use the [job description keyword extractor](https://yourunique.cv/free-tools/job-description-keyword-extractor) to list must-haves, tools, and nice-to-haves from the posting. It can compare those terms with an optional resume PDF. It cannot decide whether you truly have a skill, so make that decision yourself.

If you want a draft based on your own profile facts, paste the same job into [YourUnique.cv](https://yourunique.cv) after this keyword pass. Review every generated line against your real experience. Keep the plain-text test below as a separate check.

## 6. Rewrite five bullets with numbers

Pick five weak bullets. Replace duties with actions, scope, tools, and results.

A useful structure is:

`Action + what you changed + how you did it + measured result`

Before:

`Responsible for customer support reports.`

After:

`Built weekly customer support reports in Excel, reducing manual status work by 6 hours per week for a 12-person team.`

Before:

`Managed social media campaigns.`

After:

`Managed LinkedIn and email campaigns for 4 product launches, increasing qualified demo requests by 22% over two quarters.`

Before:

`Helped with inventory.`

After:

`Audited inventory records across 3 sites and corrected 180 product entries before the annual stock count.`

Before:

`Worked with the sales team.`

After:

`Created Salesforce pipeline reports for 8 account executives, improving weekly forecast review time by 30 minutes per manager.`

Before:

`Provided project support.`

After:

`Tracked actions, risks, and deadlines for a 9-month implementation project, keeping 95% of milestones on schedule.`

Use real numbers only. If you cannot disclose a revenue figure, use a count, percentage, time saving, team size, customer volume, project length, or frequency. If you have no measurable result, describe the output and scope without inventing an outcome.

## 7. Test the file in plain text

This is the parsing test. It does not reproduce every employer system. It checks whether the information survives when formatting is removed.

1. Save the revised resume.
2. Open the PDF or DOCX.
3. Select all text.
4. Copy it.
5. Paste it into a plain-text box, such as a basic text editor.
6. Read the pasted text from top to bottom.

Check these points:

- Is your name first?
- Are phone and email details readable?
- Does Summary appear before Work Experience?
- Does each job title stay with the correct employer and dates?
- Are bullets in the correct order?
- Are skills visible as words rather than missing icons?
- Are there strange characters, blank sections, or broken lines?
- Are headers and footers missing important information?

If the order is wrong, return to the source file and rebuild the layout. Do not fix a broken reading order by adding more design elements.

For another explanation of parser behavior, read [ATS Parser: From Upload Fail to a Clean Parse](https://yourunique.cv/articles/ats-parser). A public ATS checker can add another review. It can flag likely gaps in your file and job match, but it cannot tell you the exact number an employer's system will produce.

## 8. Review the final file, then apply

Open the exported file on your computer and phone. Confirm that links work, page breaks do not split headings from content, and the file contains selectable text. Compare the final version with the job description one last time.

After your resume is ready, [Job Radar](https://yourunique.cv/job-radar) can help you find live ATS career-page roles that fit the same career profile. It searches public postings from company career pages and similar ATS platforms. It is a job-finding step after your file is repaired, not a replacement for checking each application.

If you need a different simple layout, review the [resume templates](https://yourunique.cv/templates), then run the plain-text test again. A template is only a starting point. The final exported file is what you need to inspect.

## The 12-point final checklist

- [ ] I followed the employer's requested file type.
- [ ] The file contains selectable text.
- [ ] The filename includes my name and target role.
- [ ] The resume uses one main column.
- [ ] I removed tables, text boxes, icons, and decorative graphics.
- [ ] Contact information is visible as normal text.
- [ ] Section headings use standard names.
- [ ] The Skills section includes truthful tools and methods.
- [ ] I tailored 8 to 12 phrases from this job description.
- [ ] I rewrote five bullets with real numbers or clear scope.
- [ ] I pasted the file into a plain-text box and checked the order.
- [ ] I opened the final file, checked links, and applied to the correct job.

## Apply today

Before you submit, confirm five items: the file type matches the posting, headings are standard, the skills block is readable, five bullets contain evidence, and the plain-text paste test passes. Then attach the file and apply.

For a final match review, run the resume and job description through the [ATS resume checker](https://yourunique.cv/free-tools/ats-resume-checker). Treat its result as a diagnostic, not as the employer's ATS score.

## Questions

### What file type works best with an online ATS system?

Use the file type requested by the employer. If the posting gives no instruction, a text-based PDF with selectable text is usually a practical choice. A DOCX file can also work when the application asks for it. Test the file before uploading.

### How many keywords should I add to my resume?

Start with 8 to 12 relevant phrases from one job description. Add them only where they match your real experience. Place important terms in your summary, skills section, and work bullets when the wording is accurate.

### Can I use a free ATS score to predict an employer's result?

No. A public checker can find likely parsing or matching gaps, but it does not produce the employer's Workday, Greenhouse, or other ATS number. You can run your file and job description through the [ATS resume checker](https://yourunique.cv/free-tools/ats-resume-checker) to review match signals and gaps.

### Should I use columns or tables to make my resume look better?

Avoid them when ATS readability is the priority. Columns, text boxes, icons, tables, headers, and footers can change the reading order or hide content. Use one main column with standard headings.

### Can YourUnique.cv help me prepare a tailored resume?

Yes. [YourUnique.cv](https://yourunique.cv) can use your profile facts and a job description to draft a tailored CV, check it against that job, and export a PDF. It does not prove how a specific employer's ATS will score the file.
