What the ATS needs to read

Treat your resume as structured text first and a visual document second. A recruiter still needs a clear page, but the file must also survive parsing.

Use these basics:

  • Submit the file type requested in the job posting. If the employer accepts PDF, use a text-based PDF that you can select and copy.
  • Use common headings such as Summary, Work Experience, Education, Skills, and Certifications.
  • Keep the main content in one column when possible.
  • Put your name, phone, email, location, and LinkedIn URL in normal document text.
  • Use consistent job titles, employer names, locations, and dates.
  • Keep important content out of images, icons, charts, text boxes, headers, and footers.
  • Use readable fonts and enough spacing between sections.

Imagine this job description excerpt:

Manage paid search campaigns across Google Ads and Microsoft Advertising. Build weekly performance reports in Looker Studio. Test landing pages, monitor conversion rate, and work with the content team to improve cost per acquisition.

The important terms are not all equal. Google Ads, Microsoft Advertising, Looker Studio, landing pages, conversion rate, and cost per acquisition describe tools or work. The verbs manage, build, test, and monitor suggest actions the employer expects.

Now compare a weak bullet with a stronger version.

The stronger bullets work because they do four jobs. They name the relevant tool. They describe an action. They identify the work product. They include a result where the candidate has a real figure.

Do not copy the stronger version unless it is true for you. If you used Google Ads but not Microsoft Advertising, name only Google Ads. If you monitored leads rather than conversion rate, use the accurate metric. An ATS match is not useful if the resume makes claims you cannot support in an interview.

This version uses standard headings and normal text. It states the candidate's name and contact details clearly. It repeats relevant terms naturally because the work supports them. It also gives the recruiter evidence to inspect.

Build the keyword section from the job description

Start with the job posting, not a generic skill list. Mark each term that describes a requirement you can honestly support. Sort the terms into four groups:

Use the exact term when it is accurate. For example, write customer relationship management software if that is the wording used and it describes your work. You can also include the specific system, such as Salesforce, if you used it.

Do not add a keyword only because it appears in the posting. Do not list software you have never used. Do not change a job title into the employer's preferred title if that would misrepresent your role. You can add a clarifying phrase in parentheses when it is truthful, such as Marketing Coordinator, Paid Search Focus.

Check parsing before you submit

Open the exported PDF and test it like a parser. Select all text and paste it into a plain text editor. Read the pasted version from top to bottom.

Look for these faults:

  • Your name appears after your work history.
  • Contact details are missing or separated.
  • Dates appear before the wrong employer.
  • Bullet text is out of order.
  • Skills are merged into unreadable strings.
  • Symbols replace letters or punctuation.
  • Text from a header or footer disappears.
  • A second column is inserted in the middle of a sentence.

Fix the source document, export again, and repeat the paste test. Do not rely on a visual PDF check alone. If the pasted text is hard to follow, an ATS may also have trouble extracting the intended structure.

Using a graphic resume

A photo, infographic, skill meter, or logo may consume space without adding searchable text. Keep design elements secondary. Your qualifications should remain readable when all graphics are removed.

Hiding keywords in white text

This creates a poor document and can mislead the review process. Put terms in the correct context instead. A skill belongs in the Skills section when it is relevant, then in an experience bullet when you can show how you used it.

Repeating the same term too often

A keyword repeated in every bullet sounds unnatural and gives the reader little evidence. State it where it fits. Then use related, accurate language for the result and process.

Sending one generic resume everywhere

A resume can be ATS-readable and still miss the job. Compare your experience with each posting. Update the summary, skills, and selected bullets. Keep the underlying facts consistent.

Forgetting the application form
