A resume design ATS repair has four priorities: use a readable file, remove layout features that scramble text, match the job's real language, and test the result as plain text. Do those steps before you apply through a company site or LinkedIn Easy Apply.

The goal is not to make your resume ugly. It is to make the text easy for software and a person to follow. Keep visual styling restrained, then spend your effort on accurate keywords and specific results.

The repair sequence

Follow this order. Fixing keywords before fixing the file structure wastes time.

  1. Save a safe working copy.
  2. Change the file to DOCX or a text-based PDF.
  3. Remove columns, tables, text boxes, icons, and decorative graphics.
  4. Rename sections with familiar headings.
  5. Build a clear skills block.
  6. Compare the resume with one target job.
  7. Add only keywords supported by your experience.
  8. Rewrite five bullets with numbers.
  9. Run a plain-text paste test.
  10. Check the final file name and upload it.

1. Create a safe source file

Keep an editable DOCX as your source. Export a PDF only after the content and layout are final. Do not use a scanned PDF. A scan is an image, not reliable resume text.

Use a simple file name such as FirstName-LastName-Role-Resume.pdf. Avoid a file name made only of symbols, emojis, or a long string of version numbers.

A PDF can be acceptable when its text is selectable and copies in the correct order. DOCX is often easier to repair because you can inspect the text directly. Neither format guarantees the same result in every employer system.

2. Remove layout traps

Use one main column. Put contact details in the normal document body rather than a header, footer, sidebar, or floating text box. Some systems may read those areas inconsistently.

Delete these elements unless you have tested them and have a clear reason to keep them:

  • Two-column layouts
  • Tables used to position dates or skills
  • Text boxes
  • Logos and headshots
  • Skill bars and star ratings
  • Icons used instead of words
  • Charts, shapes, and decorative lines
  • Headers or footers containing important contact details

You can still use a readable font, spacing, and one accent color. Layout should support scanning, not carry information that disappears when the file is parsed.

3. Rename headings so the parser has landmarks

Use headings that describe the section directly. Avoid creative labels such as “What I Bring” for your skills or “My Story” for your summary.

Keep the order consistent: summary, skills, experience, education, certifications, and projects if relevant. Put the job title, employer, location, and dates in regular text. Use a date format such as May 2021 to March 2024 or 2021 to 2024, and use it consistently.

Do not hide a job title inside an image or use an abbreviation that changes its meaning. If the posting says “Customer Relationship Management,” you can write Customer Relationship Management (CRM) the first time, then use the abbreviation later.

4. Add a real skills block

Place a plain-text Skills section below the summary or above experience. Use keywords separated by commas or bullets. Do not fill it with skills you cannot explain in an interview.

A skills block helps a parser find tools and capabilities. It does not replace evidence in your work bullets. If Salesforce is a listed skill, show how you used it in experience when possible.

Run one keyword pass against one job

Do not tailor for five job descriptions at once. Pick the role you are applying for now. Read the posting and collect:

  • Must-have skills and qualifications
  • Tools, platforms, and certifications
  • Exact role terms and spelling variants
  • Repeated responsibilities
  • Nice-to-have terms that genuinely fit your background

Aim to review 8 to 12 useful keywords. Add a term only when it is true. You can place it in the Skills section, summary, experience bullet, project, or certification entry. Never add a tool just because the posting names it.

The second version gives the software searchable text and gives the hiring manager context. Avoid repeating a keyword in every line. Repetition can make the document harder to read without adding evidence.

Rewrite five bullets with numbers

Choose five bullets that relate directly to the target job. Each should explain the action, the work, and the result. Add a number when you have one: revenue, volume, time, error rate, conversion, cost, users, accounts, or team size.

Do not invent numbers. If you cannot measure the result, use a precise scope: number of customers, projects, locations, tickets, reports, or stakeholders. A truthful bullet with a clear scope is better than a made-up percentage.

Use the job's language where it matches your work. For example, if the posting says “customer onboarding,” do not hide that experience behind “client support” when onboarding is accurate.

Run the plain-text parsing test

This is a fast test you can do without trusting a visual preview.

  1. Open the final DOCX or PDF.
  2. Select all text and copy it.
  3. Paste it into a plain-text editor or a blank plain-text box.
  4. Read from top to bottom.
  5. Check that contact details appear once and first.
  6. Check that each job title sits near the correct employer and dates.
  7. Check that bullets have not merged into the next section.
  8. Check that the Skills section contains complete terms.
  9. Check that symbols did not replace letters or numbers.
  10. Repair the source file and repeat the test.

A clean paste should look like a readable text document. If the right column appears before the left column, if dates detach from jobs, or if skills are scattered through the file, return to the layout step.
