Put your contact details first, followed by a short summary, skills, work experience, education, and optional sections. Use standard headings, one text column, consistent MM/YYYY dates, and no tables, text boxes, graphics, or decorative sidebars.

A combination resume can also work when relevant skills need more attention. A functional resume is usually the weakest choice because it separates skills from employers and dates. That makes your work history harder for a parser and a recruiter to verify.

Choose the right resume structure

Your format should make three things easy to find: what you did, where you did it, and when you did it. Use reverse chronological order unless there is a clear reason not to.

For most applications, start with chronological. Select combination only when the skills section adds real evidence and does not replace your work history. Do not use a functional format to hide gaps. A recruiter may still need to understand your timeline, and the parser may not connect accomplishments to the correct employer.

Use headings the parser expects

A parser does not need clever section names. It needs clear labels that identify the content that follows. Use these headings:

  • Summary
  • Skills
  • Work Experience
  • Education
  • Certifications
  • Projects
  • Volunteer Experience

Use “Work Experience,” not “Where I’ve Been.” Use “Education,” not “Academic Story.” A human may understand creative labels, but standard labels reduce ambiguity during extraction.

Put the sections in this order for a typical applicant:

  1. Name and contact information
  2. Professional Summary
  3. Skills
  4. Work Experience
  5. Education
  6. Certifications, Projects, or Volunteer Experience when relevant

You can move Skills below Work Experience if your accomplishments provide better evidence than a keyword list. Keep the section visible either way. Match the job description's wording when it accurately describes experience you have. Do not add tools, skills, or certifications you cannot support.

Write dates consistently

Use month and year for each role. The format MM/YYYY is clear and compact:

You can also write 04/2021 to 09/2024 or 04/2021 to Present. Pick one style and use it throughout. Do not mix April 2021, 04-21, 2021, and 04/2021 in the same resume.

Place the date next to the role it describes. Avoid putting all dates in a separate visual column that could be read out of order. The parser should encounter the employer, title, location, and dates as one connected job entry.

Right-align dates in Word without a table

Tables are unnecessary for clean date alignment. Use a right-aligned tab stop instead:

  1. Select the job-entry lines that need alignment.
  2. Open the Paragraph dialog by selecting the small arrow in the Paragraph group on the Home tab.
  3. Select Tabs.
  4. Enter a tab stop near the right margin, such as 6.5 inches on a US Letter page with one-inch margins.
  5. Choose Right alignment, then select Set and OK.
  6. Type the employer or title, press the Tab key once, and type the date.

The second line illustrates the tab. In Word, press Tab. Do not insert a string of spaces. A tab stop remains aligned when the text before it changes. Check the exported PDF by selecting all text and pasting it into a plain-text editor. If the date appears far away from its role or moves ahead of the employer, simplify the line.

Keep the layout simple

Use one column, common fonts, normal text characters, and clear spacing. Calibri, Arial, Georgia, Times New Roman, and similar fonts are generally easy to read. Use font size that remains comfortable on screen and paper. Keep section headings visually distinct with spacing or modest bolding, not decorative artwork.

Avoid these elements when ATS parsing matters:

  • Tables used for the page grid
  • Text boxes and floating shapes
  • Headers and footers for important contact details
  • Logos, photos, icons, charts, and skill bars
  • Multi-column templates
  • Decorative lines that contain text
  • Scanned image-only PDFs
  • Unusual symbols used as bullet points

A PDF can be acceptable when the text is selectable. If you cannot select and copy the words, the file may be an image rather than a text document. Export from Word or another editor as a text-based PDF, then test it.

Think of the following as a visual inspection guide.

Contact block

Do this: place your name at the top, followed by city and state, phone number, email address, and a LinkedIn URL if useful. Keep the information in the document's main text area.

Not this: put the phone number in a header, add an icon before every contact item, or use a profile photo in a side panel.

The first version connects the title, employer, location, dates, and bullets. The second depends on visual positioning and uses a nonstandard heading.

Skills section

Do this: write a readable list with terms that match your actual experience.

Not this: use five colored bars labeled “Excel 90%” or a cluster of logos. Graphics do not provide reliable text for a parser, and proficiency percentages are difficult to verify.

Set page length by evidence

One page is suitable when you have limited relevant experience or can present your record clearly without removing important evidence. Two pages are reasonable when your experience supports them. Do not force ten years of relevant work, leadership, projects, or certifications into tiny type simply to stay on one page.

Page length is not a substitute for editing. Remove repeated bullets, old details that do not support the target role, and generic claims. Keep recent and relevant work detailed. Older roles can use fewer bullets, but retain enough information to make the timeline clear.

A useful bullet includes an action, the work performed, and a result or scope when you can state it accurately:

• Built a Salesforce dashboard that cut weekly pipeline reporting from four hours to 45 minutes.

Keep about three to five strong bullets for a recent role. The goal is evidence, not a dense block of keywords. Read the job description and use its exact terms only where they match your background.

Test the file before you apply
