A resume optimizer is a repair process, not a magic score. Fix the file first, then improve headings, skills, job-specific keywords, and measurable bullets. Finish by pasting the exported resume into a plain-text box before you apply.

This guide is built for company career sites and LinkedIn Easy Apply. An ATS may parse your file before a recruiter sees it. Your goal is simple: give the system readable text and give the recruiter a fast path to your fit.

The repair sequence

Follow these steps for one target job. Do not try to optimize one resume for every vacancy at once.

1. Save a clean source file

Keep an editable master copy. Export a separate application copy for each job.

Use the file type named in the posting. If the employer asks for PDF, use PDF. If it asks for a Word document, use DOCX. When no format is listed, a selectable-text PDF is a reasonable starting point, but test the actual export.

Open the exported file and try to select a sentence. If you cannot select text, the file may be an image. An image-based file gives a parser little usable text.

Use a plain filename such as:

FirstName_LastName_TargetRole_Resume.pdf

Do not use a filename such as resume-final-final2.pdf. The filename is not the main ranking factor, but a clear name prevents basic handling errors.

2. Remove columns and tables

Columns can cause text to be read down the wrong side or in an unexpected order. Tables can split one job entry into separate cells. Text boxes, floating graphics, icons, logos, sidebars, and decorative lines create similar risks.

Use one main column. Put contact details in the body of the document instead of a header or footer when possible. Avoid putting essential information inside graphics.

A good test is visual and textual. If the page looks neat but copied text is scrambled, the layout needs repair.

3. Rename headings so they mean what they say

Use familiar section names. A parser and a recruiter should not have to interpret creative labels.

Keep headings separate from the content below them. Use the same heading style throughout the file. Do not make every line a heading.

4. Add a focused skills block

Place a skills section near the summary or after it. Use a simple list with commas or bullets. Group skills only when the grouping improves scanning.

Example:

Skills: SQL, Excel, Tableau, financial modeling, variance analysis, monthly close, stakeholder reporting

This block gives the parser a clear place to find terms. It does not replace evidence in your experience section. If you list Tableau, show where you used it and what the work produced.

Do not add a tool because it appears in the job description. Include it only if your experience supports it. An inaccurate skills block can create problems during screening or interviews.

5. Run one keyword pass against one job

Copy the full job description into a document. Mark terms that describe:

  • Required skills and methods
  • Software, platforms, and technical tools
  • Job title language and function names
  • Credentials, domain terms, or working methods
  • Repeated responsibilities that match your experience

Choose 8 to 12 useful keywords or phrases. Prefer the employer's wording when it accurately describes your background. Include both an acronym and its expanded form when that is natural, such as search engine optimization (SEO).

Place terms where they belong. A tool can appear in Skills and in a bullet that proves use. A responsibility should appear in a bullet, not only in a keyword list.

6. Rewrite five bullets with numbers

Pick five bullets that relate directly to the target job. Replace task-only wording with action, scope, method, and result.

Use this structure:

Action + work or method + scope + measured result

Use real numbers only. If you cannot disclose an exact figure, use a truthful range, volume, time period, or team size. Do not invent percentages to make a bullet look stronger.

The number does not need to be revenue. It can be users supported, tickets closed, projects delivered, reports produced, time saved, errors reduced, or people trained.

7. Check the recruiter view

A recruiter often scans the top third first. Put the target role or a truthful related title near the top. Follow it with a short summary that states your level, function, relevant tools, and strongest area of fit.

Example:

Operations analyst with 4 years of experience in inventory reporting, SQL analysis, and process improvement. Reduced stockout incidents by 18% across a 2,000-item catalog.

Avoid a dense paragraph. Use enough detail to establish fit, then let the experience section prove it.

Run the parsing test

Do this after the final PDF export. It catches problems that a visual review can miss.

  1. Open the exported resume.
  2. Select all text.
  3. Copy it.
  4. Paste it into a plain-text box or basic text editor.
  5. Read from top to bottom without the original formatting.

Check these items:

  • Does the name appear first?
  • Are phone, email, and location readable?
  • Does the summary come before experience?
  • Are employer names attached to the correct dates?
  • Are job titles attached to the correct employers?
  • Are bullets still in the correct order?
  • Are skills readable as words rather than broken characters?
  • Did content from a sidebar move into the wrong section?

If the pasted version is confusing, return to the source file. Remove columns, tables, headers, footers, and text boxes. Export again and repeat the test.

This step prevents a common error: adding keywords without evidence. A keyword should point to a real example, not sit alone as decoration.

Do not chase a perfect public score. Check whether the missing terms are genuinely relevant and whether your resume explains the matching work. A gap may reflect missing experience, a different but valid phrase, or a term that does not belong in your application.
