Resume PDF or Word? Start with the application portal's instruction. If it says PDF, upload PDF. If it says Word or .docx, upload Word. If it says nothing, use a text-based PDF with a simple layout, then keep a .docx copy ready.
The file extension is only part of the decision. A PDF made from selectable text can parse well. A PDF that is really a page image can fail. A Word file can parse cleanly, but tables, text boxes, headers, and unusual formatting can still scramble the content.
Use the portal's instruction first
Application systems often show an accepted file type beside the upload field. Treat that instruction as the rule for that application. Do not upload a PDF when the portal specifically requests Word just because the PDF looks better on your screen.

A LinkedIn Easy Apply form may give you fewer instructions than a company careers page. Check the upload field and any help text. If both PDF and Word are accepted, choose the file that survives a text test and keeps your sections in the intended order.
PDF versus Word: what actually matters
A PDF locks the visible layout. That helps when you want your spacing, page breaks, and headings to look the same on another computer. It does not guarantee that an ATS will read every element correctly.
A Word document remains editable. A simple .docx often gives parsers a clear text structure. It can still change when opened in a different version of Word or another application. Fonts, spacing, page breaks, and bullet symbols may shift.
For either format, use:
- Standard section headings such as Summary, Experience, Education, and Skills.
- One main column.
- Ordinary bullets.
- Common fonts and readable font sizes.
- Dates written in a consistent order, such as
May 2021 to August 2024. - Contact details in the main document body, not only in a header or footer.
Avoid building the resume around visual placement. A person sees a left column for dates and a right column for employers. A parser may read the right column first, combine lines, or separate the date from the job it belongs to.
Text-based PDF versus image PDF
A text-based PDF contains actual characters. You can click inside a word, select a sentence, and copy it. It was usually exported from Word, Google Docs, or a resume editor.
An image PDF contains a picture of the page. It may have been created by scanning a printed resume or exporting a screenshot. You can see the words, but the file may contain no selectable text. Some systems may apply optical character recognition, but you should not depend on that. Recognition can confuse letters, numbers, punctuation, and symbols.
The Notepad copy-paste test
Use this quick test before you upload a PDF:
- Open the PDF in a browser or PDF reader.
- Select the full document.
- Copy it.
- Open Notepad or another plain-text editor.
- Paste the content.
- Read the result from top to bottom.

The second result has lost the relationship between dates, employer, title, and bullet text. The words are still present, but the reading order is unclear. Fix the layout, export again, and repeat the test.
If the paste is blank, treat the file as an image PDF or an otherwise unreadable file. Return to the original document and export it as a PDF. Do not take a screenshot of the resume and submit the image.
Why tables and text boxes fail in either format
Tables are useful for designing a page, but they can split related content into separate reading paths. A table with dates in one column and job details in another may be read row by row, column by column, or in a mixed order. The result can attach a date to the wrong employer.
Text boxes create a similar problem. They position text visually, but they do not always give the parser a natural document sequence. A skills box may be read after the experience section, before the contact details, or not at all.
This issue affects both PDF and Word files. Saving a table-heavy document as PDF does not remove the underlying reading-order problem. Saving it as .docx does not guarantee that the parser will interpret the boxes correctly.
Use ordinary paragraphs and headings instead. If you need dates aligned, use simple spacing or a straightforward tab stop. Then copy and paste the complete file into Notepad. Check whether each role follows this order:

Achievement bullets
The exact order can vary, but each job's employer, title, dates, and bullets should stay together.
Name the file so a recruiter can identify it
Use a short file name with your name and the target role. A reliable pattern is:

Avoid names such as resume.pdf, finalresume2.pdf, or resume_new_FINAL_revised.pdf. They provide no useful identity and make version control harder. Avoid special characters, long strings, emojis, and repeated spaces. Use underscores or hyphens consistently.
If the role has a requisition number, you can add it after the role:

Do not put sensitive information in the file name. Your full name and role are enough.

What happens when the parser cannot map dates
An ATS may extract your resume into fields such as employer, title, start date, and end date. If the reading order is unclear, it may still capture the date characters but fail to connect them to the right position.
