A resume reader is software that extracts information from your resume before a recruiter may review it. For online applications, it looks for text it can identify as contact details, headings, dates, job titles, skills, education, and achievements. Your first goal is simple: make the file easy to read, then make the content relevant to the job.

What a resume reader does

A weak bullet may contain related work but leave the reader and parser with little evidence:

The sentence is vague. It does not identify the platform, scope, action, or result. It may also miss the exact language used by the job description.

A stronger version, if accurate, could be:

The after examples use a clear action, relevant tool or task, scope, and outcome. Use only figures you can support. If you cannot share a number, describe the output, audience, volume, time frame, or business effect without inventing one.

How to check your resume in order

1. Start with the job description

Read the requirements before editing. Separate the terms into four groups:

  • Must-have skills or experience.
  • Tools, platforms, and methods.
  • Job titles or functional terms.
  • Preferred qualifications and useful extras.

Look for repeated phrases. Note both the full term and a common abbreviation when they are accurate for you. For example, use “search engine optimization (SEO)” if both forms matter and your experience supports them.

2. Put relevant terms in evidence, not only in a keyword list

A skills section helps a resume reader find terms quickly. It should not carry the entire match. Put important skills in the bullets where you used them.

For example, a skills line that says “Excel, forecasting, reporting” is less useful than a bullet that says you built a forecast in Excel and presented the result to a finance leader. Place the term near proof of use.

Use the job description's wording when it is truthful. If the posting says “project management” and your resume says only “coordinated work,” revise the bullet to include project management where that reflects your responsibility.

3. Make the file parseable

Use a text-based PDF unless the application asks for another format. Open the finished file and try to select and copy a paragraph. Paste it into a plain-text editor. Check whether the words appear in a sensible order.

Keep headings conventional. Use “Professional Experience,” “Education,” “Skills,” and “Certifications.” Use consistent date formats such as “Jan 2022 to Mar 2024” or “2022 to 2024.” Keep each job title, employer, location, and date visually connected.

Avoid putting key content in a graphic, image, chart, header, footer, or decorative text box. Icons can also make phone numbers and links harder to extract. Write the label next to the detail, such as “Phone: 555-0100” and “Email: name@example.com.”

4. Test the file against the job
