A resume scan tells you whether your file is readable to an applicant tracking system and relevant to a specific job description. Before you apply, check four areas: parsing, keywords, format, and proof in your work bullets. Then fix the file and run the scan again.

A scan is a preparation check, not an employer's hiring score. Public tools can reveal likely text and keyword problems, but they do not reproduce the exact system used by every employer.

What a resume scan checks

An ATS usually needs to extract text from your file and place it into fields such as name, contact details, job titles, dates, education, and skills. Your resume can look polished to a person and still lose information during extraction.

A useful resume scan checks:

  • Whether headings and dates are recognized.
  • Whether job titles and employers stay attached to the right roles.
  • Whether important terms from the job description appear in accurate context.
  • Whether skills are supported by work, project, or result evidence.
  • Whether the PDF contains selectable text instead of a flat image.

The goal is not to add every phrase from the posting. Add a term only when it describes experience, training, or a tool you actually have. A keyword without proof can make the document less credible to the hiring team.

For a wider testing method, see ATS Resume Scanner: How to Test, Read the Score, and Fix What Matters. The process is simple: test, inspect the text, make targeted edits, and test again.

Worked example: from vague match to clear evidence

Imagine this job requirement:

Manage paid search campaigns, analyze conversion data in Google Analytics 4, and report performance to marketing leaders.

The applicant has done this work, but the original bullet is too general.

Before

Worked on digital marketing campaigns and prepared reports for management.

This bullet has several problems. It does not say paid search. It does not name Google Analytics 4. It gives no scale, method, or result. A scan may find “marketing” and “reports,” but those broad terms do not show a close match to the requirement.

After

Managed paid search campaigns across Google Ads, analyzed conversion data in Google Analytics 4, and reported a 22% lower cost per lead to marketing leadership through weekly performance reviews.

This version is stronger because it does four jobs:

  • It uses the accurate terms “paid search,” “Google Ads,” and “Google Analytics 4.”
  • It puts the tools in a work context.
  • It states a measurable result.
  • It explains who received the report and how often.

Use this pattern for your own bullets:

Action + relevant task or tool + method or scope + result.

Do not copy the sample numbers. Replace them with facts from your work. If you did not manage campaigns, do not claim that you did. You can still describe related work, such as campaign reporting or landing page analysis, if that is accurate.

How to run a resume scan step by step

1. Start with the target job description

Paste the full job description into a keyword review tool. Separate the terms into four groups:

GroupWhat to look forWhat to do
Must-have skillsRequired capabilities, certifications, or experienceConfirm that your resume states accurate matches
ToolsSoftware, platforms, systems, and methodsAdd the tool beside a real task if you have used it
Job languageTitles, functions, and department termsUse the clearest accurate wording in headings or bullets
Nice-to-havesPreferred skills and optional experienceInclude only relevant items supported by your background

Run the job description keyword extractor as the first pass. Paste the job description. You can also add your resume PDF to see which keywords are already in the file. The tool lists must-haves, tools, and nice-to-haves. It does not tell you to add skills you do not have.

2. Check the document structure

Use common headings such as:

  • Summary
  • Skills
  • Professional Experience
  • Projects
  • Education
  • Certifications

Keep each role in a predictable order: job title, employer, location if needed, and dates. Use a consistent date format, such as May 2021 to June 2024 or 05/2021 to 06/2024.

Avoid putting essential information in text boxes, graphics, headers, footers, icons, or sidebars. Some systems may read these elements in the wrong order or skip them. A simple one-column layout is easier to test.

3. Check keyword placement

A skills section helps a system find terms quickly. It is not enough by itself. Put important skills in relevant experience bullets as well.

For example, use:

Built SQL queries to reconcile 40,000 monthly billing records and reduced unresolved invoice exceptions by 18%.

This is stronger than:

Skills: SQL, data analysis, billing systems.

The second line names tools without showing use. The first connects SQL to a task and a result.

Use the exact job term when it is accurate. For example, if you used “customer relationship management” but the posting says “CRM,” you can write “customer relationship management (CRM)” once, then use the shorter form where natural. Do not repeat a phrase in every bullet.

4. Inspect the file after export

Open the final PDF and test it as text. Select the entire document, copy it, and paste it into a plain-text editor. Read the result from top to bottom.

Look for:

  • A name split into separate letters.
  • Dates separated from the role they belong to.
  • Bullets appearing in the wrong order.
  • Missing text from columns or graphics.
  • Strange symbols replacing normal characters.
  • Contact details buried at the end.

If the pasted text is confusing, fix the source document and export again. Do not rely on visual appearance alone.

Run the file through the ATS resume checker, then paste the same job into YourUnique.cv if you want a draft based on your real profile. The checker accepts a resume PDF and a job description, then reports a match score, missing keywords, and gaps. Its score is a guide, not a Workday or Greenhouse number. The PDF is scanned for the result and is not saved to an account.

Format fixes that help parsing

Use a readable font, normal spacing, and clear section breaks. Keep the file easy for a person to scan as well. ATS-friendly does not mean empty or plain-looking. It means the text has a logical order.

Check these format details:

RiskSafer choice
Two-column layoutOne main text column
Skill icons or rating barsWritten skill names
Decorative section titlesStandard headings
Image-based PDFSelectable text PDF
Unusual symbols for bulletsStandard round bullets or hyphens
Header-only contact detailsContact details in the main document body
Dense paragraphsShort bullets with one clear result

Follow the employer's file instructions. If the posting requests DOCX, submit DOCX. If it requests PDF, submit a text-based PDF. Keep a final copy with the exact filename and version you used.

What to fix first after the scan

Do not rewrite the whole resume because one tool reports a low match. Read the missing terms and ask three questions:

  1. Do I have this skill or experience?
  2. Is it already present under different wording?
  3. Where can I prove it with a truthful bullet?

Fix parsing errors first. Then add accurate must-have terms. Next, improve the bullets for the most relevant roles. Leave unrelated gaps alone. A resume cannot honestly cover experience you do not have.

You can also compare fit before spending time on a full rewrite with Resume vs Job Match. It uses your resume PDF and the job description to report overlapping skills and gaps. Do not turn a missing skill into a claim simply to improve the result.

For another practical pass, read Resume Scanner: Score, Recheck, Repeat Until the Text Pastes Clean. The plain-text paste test remains useful even when a scan reports a good result.

A five-bullet repair pass

For each recent role, review up to five bullets. Keep the bullets that prove the job's main requirements. Repair weak lines with this sequence:

  • Replace a generic verb with the actual action.
  • Name the relevant tool, method, customer, or process.
  • Add scope, frequency, volume, or team context when available.
  • Add a result only when you can support it.
  • Remove filler that does not help a reader understand the work.

Before:

Responsible for helping with customer service and tracking issues.

After:

Resolved 35 to 45 customer account issues per day in Zendesk, documented root causes, and reduced repeat tickets by 12% over one quarter.

If the number is unavailable, write a precise nonnumeric result:

Resolved customer account issues in Zendesk, documented root causes, and routed recurring problems to the product team.

Both versions are better than a responsibility-only statement because they explain the work and its connection to an outcome.

If you want a tailored draft, YourUnique.cv can use an uploaded resume, optional LinkedIn URL, and job description while keeping your facts as the source. You can keep your existing layout or select a built-in option from the templates. Review the generated CV before export, especially dates, metrics, tools, and job titles.

Apply-today checklist

  • Use the requested file type, and confirm the PDF has selectable text if PDF is allowed.
  • Use standard headings: Summary, Skills, Experience, Education, and Certifications where relevant.
  • Match accurate skills and tools from the job description.
  • Review five relevant bullets and add proof, scope, method, or results.
  • Copy the final file into a plain-text editor and confirm the order is readable.
  • Run the finished file and job description through the ATS resume checker.
  • Fix real parsing or keyword gaps, then export the final version again.
  • Open the submitted file once more before you apply.

Questions

What does a resume scan check?
A resume scan checks how readable your file is to an applicant tracking system, whether relevant job description terms appear, and whether your experience supports those terms with clear evidence.
Can a resume scan guarantee that an employer will find my resume?
No. A public resume scan is a preparation tool. Employer systems differ, and a checker does not produce the same number or result as a Workday, Greenhouse, or another employer system.
What file should I use for a resume scan?
Use the same PDF you plan to submit unless the employer specifically asks for a DOCX file. Check that the PDF contains selectable text and that its layout stays readable when copied into plain text.
Which Free Tool can I use for a resume scan?
Use the [ATS resume checker](https://yourunique.cv/free-tools/ats-resume-checker) to upload a resume PDF and paste a job description. It reports a match score, missing keywords, and gaps. The PDF is scanned for the result and is not saved to an account.
Can [YourUnique.cv](https://yourunique.cv) help prepare a resume for a job?
Yes. [YourUnique.cv](https://yourunique.cv) can use your resume or optional LinkedIn URL, your profile facts, and a job description to create a tailored CV, then show an ATS read against that job. Review every claim before you export the PDF.
