## How to run a resume scanner

## What a typical checker measures

Different tools use different methods. Treat the categories below as inspection points, not a universal scoring formula.

A checker may flag a missing section because it cannot recognize a decorative heading. It may miss a keyword because you used an abbreviation, a different spelling, or a graphic. Read the source file and the job post before changing anything.

## How to read the score without chasing a vanity number

A score can help you compare two versions of the same resume against the same job. It cannot guarantee an interview. Do not treat a high number as proof that the resume is ready, or a low number as proof that you should claim missing experience.

Read the report in this order:

### 1. Check the must-have skills

Separate required skills from preferred skills. If the job asks for SQL and you have used SQL, place the term where the work is clear. For example, write "Queried PostgreSQL data with SQL to reconcile billing records" rather than placing SQL alone in a long skills list.

If you have not used a required tool, do not add it to raise the score. A missing keyword can identify a real qualification gap. It can also identify a wording gap, such as "customer relationship management" in the job post and "CRM" in your resume. Use both only when both are accurate for your experience.

### 2. Check missing sections

Use familiar headings. "Professional Experience" is easier to interpret than a visual heading that says only "My Work." Put education, certifications, tools, and projects in their own readable sections when they support the role.

Do not add empty sections. A heading with no useful content adds clutter and can make the document harder to review.

### 3. Check dates and contact fields

Use one date style throughout. Examples include "Jan 2022 to Mar 2024" or "01/2022 to 03/2024." Do not mix formats without a reason. Make sure every role has an employer, title, and date range.

Keep your name, email, phone, location, and relevant professional link as live text. Some designs place contact information in a sidebar, footer, image, or text box. Copy-paste testing can reveal whether those fields disappear or move to the wrong place.

### 4. Check the file type and text order

Follow the employer's instructions first. If the posting requests DOCX, use DOCX. If it accepts PDF, a text-based PDF is usually easier to inspect than a scanned image PDF.

Open the final file. Select all. Copy it into a plain-text editor. The name should come before the summary, the experience should run from newest to oldest, and bullets should stay with the correct job. If the text is scrambled, repair the layout before worrying about one more keyword.

## A scored sample: before and after

The following scores are illustrative results from a checker. They are not employer cutoffs and do not predict an interview.

The job asks for: customer onboarding, Salesforce, SQL, process improvement, stakeholder communication, and reporting.

- Score: 58/100
- Missing terms: customer onboarding, Salesforce, process improvement
- Section warning: contact details were in a graphic header
- Date warning: one role used years only, while other roles used month and year
- Paste test: the sidebar appeared after the experience section, and two bullets lost their job titles

Resume content included: "Managed client accounts and prepared reports. Worked with data teams. Improved team workflows."

This version has related experience, but the evidence is too broad. It does not show the target tools or the setting in which the work happened. The score is useful because it points to specific repairs.

- Score: 81/100
- Missing terms: SQL, because the candidate had not used it
- Section warning: none
- Date warning: none
- Paste test: headings, contact fields, roles, dates, and bullets appeared in the expected order

Repaired bullets included:

- "Led customer onboarding for 42 mid-market accounts, coordinating handoffs with sales, support, and implementation stakeholders."
- "Managed Salesforce account records and built weekly renewal reports for customer success leadership."
- "Mapped a support handoff process and reduced duplicate follow-up work by 20 percent."

The candidate did not add SQL. That is the correct repair. The missing term remains a qualification question, not a reason to falsify the resume. The improved score reflects clearer evidence and better parsing. It still does not establish how an employer's system will score the file.

## Use a one-change repair loop

A repair loop prevents random editing. Keep a copy of the original file. Change one category at a time so you know what improved or caused a new problem.

1. Run the original resume against the target job.
2. Write down the score and every actionable warning.
3. Pick the highest-value repair, usually a real must-have skill or a parsing problem.
4. Edit one section or a small set of related bullets.
5. Save a new file with a clear version name.
6. Re-scan the new file against the same job description.
7. Compare the report with the previous version.
8. Perform the plain-text paste test again.
9. Remove changes that add unsupported claims or damage reading order.
10. Stop when the text pastes clean and the must-have skills you truly have appear in context.

Do not keep editing for a higher score after the document becomes less readable. A keyword repeated in the summary, skills list, and every bullet can look artificial. Use the language where it describes real work.
