# Resume Updates: How to Do This Without Breaking ATS

Make resume updates that survive ATS parsing. Fix keywords, headings, bullets, and file format with a worked example and an apply-today checklist for each…

> Make resume updates by matching relevant job language, keeping standard headings and a readable file, then proving each important skill in a truthful bullet and checking the PDF with a plain-text paste test.

Resume updates should be targeted, small, and easy for an ATS to read. For each application, compare your resume with the job description, use relevant terms you can support, keep standard formatting, and strengthen the bullets that prove your fit.

Do not rebuild the entire document without a reason. A good update improves the match while preserving your real work history, dates, qualifications, and evidence.

## What to update first

Start with the job description. Mark four types of information:

| Job description detail | Resume update | What to check |
|---|---|---|
| Required tools or systems | Add the exact tool name where your experience supports it | Do not add software you have not used |
| Core responsibilities | Revise the summary, skills section, or relevant bullets | Use the employer's wording when it is accurate |
| Required qualifications | Place the qualification in a clear section | Include the level, license, or certification only if you hold it |
| Results the role needs | Add measurable outcomes to work bullets | Use real numbers, ranges, or clear scope |
| Nice-to-have experience | Add it only when it is relevant and truthful | Do not crowd out required information |

A resume update is not keyword insertion by itself. The term should appear in a section where a person can see how you used it. Read [ATS Resume Keywords: How to Match the Job Without Stuffing](https://yourunique.cv/articles/ats-resume-keywords) for a closer look at relevant keyword placement.

## Worked example: update one resume for one job

Assume the job description asks for:

- Customer support for B2B software users
- Zendesk and Salesforce
- Ticket triage and escalation
- A target of 40 tickets per day
- Documentation and reporting

The candidate has used Zendesk, Salesforce, ticket triage, and reporting. They handled about 45 tickets per day and wrote internal help articles. They should not claim experience with a tool they have not used.

### Before

**Customer Support Specialist**

- Helped customers with account and product questions.
- Worked with a support team to solve issues.
- Updated records and created documentation.

This version is readable, but it leaves several relevant facts hidden. It does not name the tools, explain the workflow, or provide evidence of volume.

### After

**Customer Support Specialist**

- Resolved about 45 B2B software tickets per day in Zendesk, maintaining clear case notes and timely customer follow-up.
- Used Salesforce to update account records, review customer history, and route issues to the correct internal team.
- Triaged product and account issues by urgency, escalating complex cases with complete reproduction details.
- Wrote internal help articles and support documentation that gave the team a consistent response process.
- Prepared weekly support reports on ticket volume, recurring issues, and open escalations.

The update does several jobs at once. It names the systems. It mirrors relevant phrases such as ticket triage and escalation. It proves the work with volume and outputs. It remains faithful to the candidate's experience.

Use the same method across the resume. Find a vague bullet, identify the relevant job requirement, then add the action, tool, scope, and result that your experience supports.

## Resume updates that help ATS parsing

An ATS must extract text from your file before a recruiter can review it. Formatting cannot guarantee a particular employer result, but simple structure makes the content easier to extract and review.

### Use standard section headings

Use headings such as:

- Summary
- Skills
- Professional Experience
- Education
- Certifications
- Projects

Avoid replacing these with creative labels such as “What I Bring” or “My Story.” A human may understand them, but standard headings make the document's structure clearer.

### Keep the reading order obvious

Use one main column for most applications. Avoid putting important details in sidebars, floating text boxes, headers, or footers. Some systems may read those elements out of order or leave them out of the extracted text.

Use a familiar date pattern, such as “May 2021 to August 2024.” Keep the employer, job title, location, and dates together. Do not rely on color, icons, or graphics to communicate information.

### Choose the requested file type

Follow the application instructions. If the employer asks for PDF, use a text-based PDF rather than a scanned image. If the employer asks for a Word document, submit the requested format.

Open the final file before uploading. Check that the text is selectable. Copy one page and paste it into a plain-text editor. If the words appear in the wrong order, disappear, or contain strange symbols, fix the source document and export it again.

### Keep contact details in the body

Place your name, phone number, email address, location, and relevant links in the main document area. This reduces the chance that important contact information is missed during extraction.

## Update keywords without stuffing

Use the exact phrase from the job description when it accurately describes your experience. Include an abbreviation and its full form when both matter, such as “customer relationship management (CRM).” Do this once when useful. Repeating the phrase in every section makes the document harder to read.

Separate required terms from optional terms. A required platform that you have used deserves a place in Skills and, when possible, a proof point in Experience. A general phrase such as “communication skills” is less useful unless a bullet demonstrates it.

The [job description keyword extractor](https://yourunique.cv/free-tools/job-description-keyword-extractor) can list must-haves, tools, and nice-to-haves from a pasted job description. You can add your resume PDF to see which terms already appear in the file. Use the output as a review list. Never add a skill you do not have.

Run the file through the [ATS resume checker](https://yourunique.cv/free-tools/ats-resume-checker), then paste the same job into [YourUnique.cv](https://yourunique.cv) if you want a draft based on your real profile. The checker scans the uploaded PDF for its result and does not save it to an account. Neither tool gives you an employer's internal ATS score.

## Update bullets for proof, not length

A useful bullet answers at least two of these questions:

1. What did you do?
2. How did you do it?
3. What was the scope?
4. What changed because of the work?

Weak bullet:

> Responsible for improving the onboarding process.

Stronger bullet:

> Rebuilt the new-hire onboarding checklist and manager handoff process, reducing average setup time from 10 days to 7 days.

The stronger version gives an action, an output, and a result. It also creates places for relevant terms such as onboarding, checklist, and manager handoff if those terms appear in the target job.

Do not force a number into every line. Scope can be a team size, budget, customer group, region, workload, system, or project duration. If you cannot verify a result, describe the deliverable clearly instead of guessing.

## A safe resume update sequence

Make changes in this order:

### 1. Duplicate your master resume

Keep an accurate master copy with your full experience and skills. Create a version for the specific job. Name the file clearly, for example, “FirstName_LastName_Product_Analyst.pdf.”

### 2. Mark the job requirements

Record the required tools, responsibilities, qualifications, and repeated phrases. Remove duplicates. Separate terms you have from terms you do not.

### 3. Adjust the top third

Revise the summary and skills section only when they reflect the target role. Put the strongest relevant evidence near the top. Do not add a long keyword block that a recruiter cannot verify in your experience.

### 4. Rewrite up to five relevant bullets

Start with the most recent or most relevant roles. Replace vague wording with specific actions, tools, scope, and outcomes. You do not need to rewrite every bullet for every application.

### 5. Check structure and extraction

Review headings, columns, dates, symbols, links, and file type. Run a plain-text paste test. Then use a checker for another view of missing terms and gaps. ## Common mistakes after resume updates

### Changing facts to match the job

Do not change job titles, dates, employers, tools, or results to appear closer to the posting. A targeted resume is still a factual resume.

### Hiding keywords in tiny text

White text, keyword blocks, and repeated phrases do not create credible evidence. They can also make the document difficult to read.

### Using a design that breaks text order

A polished template with several columns, charts, and graphic skill bars may not extract cleanly. If you use a designed layout, inspect the copied text and confirm that every important detail remains available. You can compare simpler options in the [YourUnique.cv templates](https://yourunique.cv/templates).

### Treating a score as a verdict

A checker can identify missing terms or extraction problems. It cannot prove that an employer will accept the file, that a recruiter will select you, or that your experience meets the role. Read the gaps, verify each suggestion, and make only supported changes.

## Apply-today checklist

Before you submit the application, confirm:

- [ ] The file type follows the employer's instructions.
- [ ] The final PDF has selectable text and passes a plain-text paste test.
- [ ] The resume uses standard headings such as Summary, Skills, Experience, and Education.
- [ ] Relevant skills and tools appear in context, not only in a keyword list.
- [ ] You updated up to five important bullets with truthful proof.
- [ ] Dates, job titles, contact details, and links are consistent.
- [ ] You checked the file with the [ATS resume checker](https://yourunique.cv/free-tools/ats-resume-checker).
- [ ] You saved the tailored file with a clear name and opened it one last time before uploading.

## Questions

### What are the most important resume updates for ATS applications?

The most important resume updates are adding relevant job language you genuinely use, replacing unusual headings with standard ones, removing parsing risks such as tables and text boxes, and writing bullets that prove skills with actions and results.

### Should I change my resume for every job?

Yes. Make targeted resume updates for each job when the role has different required tools, responsibilities, or terminology. Keep your facts and work history accurate. Change emphasis and wording, not your experience.

### How can I test resume updates before applying?

Upload your PDF and paste the job description into the [ATS resume checker](https://yourunique.cv/free-tools/ats-resume-checker). It reports a match score, missing keywords, and gaps. This is a file check, not the number produced by an employer's Workday or Greenhouse system.

### Can YourUnique.cv help make ATS-ready resume updates?

Yes. [YourUnique.cv](https://yourunique.cv) can use your resume or optional LinkedIn URL and a job description to create a draft from your profile facts, then provide an ATS read against that job and a PDF export. You still decide whether every statement is accurate.
