The free scan workflow
1. Save a clean working copy
Keep your master resume separate. Make a copy with a job-specific filename, such as Jordan-Lee-Marketing-Analyst.pdf. Remove comments, tracked changes, and hidden draft text.
Use the file you intend to upload. If the application requests DOCX, do not assume a PDF result proves that the DOCX will parse in the same way. If no format is specified, use a readable file and test it after export.
2. Read the job description first
Mark each requirement as one of these:
- Must-have skill or qualification
- Tool, platform, or method
- Job title or functional phrase
- Nice-to-have item
- Responsibility that needs proof
Separate exact terms from related language. For example, “paid search” and “Google Ads” may overlap, but they are not identical. Use both only if both accurately describe your work.

Repair the resume one change at a time
Use a controlled repair loop:
- Choose the largest real problem.
- Change one thing.
- Export the resume again.
- Run the same scan.
- Compare the new result with the prior note.
- Stop when the text paste-back is clean and the job’s must-have skills appear in context.
Start with missing must-have skills. If you used a tool in a role, place it in a bullet that explains the work. For example:
Before: Managed campaign reporting for regional clients.
After: Built weekly campaign reports in Google Ads and GA4, then used A/B test results to reduce cost per lead by 18%.
The second bullet gives the tool, activity, and outcome. Use numbers only when they are accurate and explainable.
Next, fix headings. Use familiar labels such as Summary, Professional Experience, Education, Skills, and Certifications. A creative heading may look polished but can make section detection less reliable.
Then fix dates. Choose one pattern and apply it everywhere. Do not use a year-only date for one role and month-year dates for the others unless there is a clear reason. Keep roles in reverse chronological order.
Check contact fields. Your name, email, phone, city or region, and relevant link should be selectable text. Do not put essential contact information inside a photo, banner, or decorative graphic.
Finally, test the file. Open the exported PDF, select all, copy, and paste it into a plain-text editor. Look for scrambled columns, missing symbols, broken bullets, repeated headers, and text that vanishes. A visually attractive file can still fail this test.
When to stop scanning
Stop when the document meets the job’s real requirements and the text is readable. Do not keep editing to reach an arbitrary score.
Repeated scans can tempt you to add the same keyword many times. That creates awkward writing and may make the resume less useful to a person. One accurate mention in a relevant bullet is stronger than a keyword block with no evidence.
