A resume is ats checked when its text can be read in the right order, its headings make sense, and its content matches the job without hiding key facts in design elements. The same-day ATS repair sequence

Follow these steps for one job. Do not try to optimize one resume for every application at once.

1. Start with the job posting and the correct file

Save the job description. Note the requested file type and size limit. If the employer asks for DOCX, use DOCX. If it asks for PDF, use PDF. If there is no instruction, create a clean version in both formats and test the one you plan to upload.

Use a standard file name:

Firstname-Lastname-JobTitle-Resume.pdf

Avoid a file name such as resume-final-final2.pdf. It gives the recruiter no useful reference and makes version control harder.

2. Remove layout features that split the reading order

Delete or rebuild these elements:

  • Two or more columns
  • Text boxes
  • Tables used for alignment
  • Icons beside contact details
  • Logos, charts, and decorative graphics
  • Headers and footers containing important information
  • Skill bars and star ratings

A human may see a polished layout. A parser may read the right column before the left column, separate a job title from its employer, or skip text inside a shape. Keep the visual structure plain: one column, left aligned, with normal spacing.

A resume with a sidebar is not automatically rejected. It is harder to inspect and harder to repair. A single-column file gives you a clearer test.

3. Rename headings so they say exactly what they contain

Use familiar headings. Do not make the parser guess what “Where I Have Added Value” means.

Put your name, phone, email, city and state or country, and a professional profile link near the top as regular text. Do not place them only in a header, footer, image, or icon label.

4. Add a plain skills block

Place a section titled Skills below your summary or experience, depending on your level. Use text that is easy to scan:

Skills: SQL, Python, Tableau, customer segmentation, A/B testing, stakeholder reporting, Salesforce

Use commas or short lines. Do not use progress bars. Do not list every tool you have ever touched. Include skills that appear in the target job and that you can support with your experience.

A skills block helps with quick review, but it does not replace evidence. If the job asks for Salesforce and you used it to manage a pipeline, mention that in a relevant bullet too.

5. Run one keyword pass against one job

Select 8 to 12 terms from the posting. Favor terms that describe required skills, tools, methods, certifications, and deliverables. Include the exact phrase when it is accurate. Also include a common abbreviation when the posting uses both versions, such as search engine optimization (SEO).

Separate the terms into three groups:

Do not copy a long block of the job description. Do not claim a certification, tool, or task you have not used. If a requirement is missing from your background, leave it out and address the gap honestly if asked.

6. Rewrite five bullets with numbers

Choose five bullets tied to the target job. Replace task-only wording with action, method, and result. Add numbers where they are real: revenue, time, volume, accuracy, cost, customers, team size, or delivery rate.

The revised bullets add searchable terms without turning the resume into a keyword list. Keep the verb specific. If you do not know the exact result, use a defensible scope, such as the number of accounts, projects, users, or reports handled.

Test the file as plain text

This is the fastest way to spot a broken reading order.

  1. Export the resume in the format you will upload.
  2. Open the file and select all text.
  3. Copy it.
  4. Paste it into a plain-text box, such as a basic text editor or an empty message draft.
  5. Read from top to bottom without looking at the original design.

Check for these problems:

  • Your name and contact details appear first.
  • Each job has its employer, title, location, and dates in a sensible order.
  • Bullets stay under the correct job.
  • The skills block is visible as text.
  • No section disappears.
  • No strange symbols replace letters.
  • Dates remain understandable.
  • The PDF contains selectable text rather than a page image.

If the paste begins with a sidebar, scatters dates, or places all bullets at the end, return to the source document. Rebuild the layout with one column and normal paragraph text. Repeat the test after every major export.

Inspect the recruiter view

After the parsing test, read the top half as a recruiter would. The target role should be clear without searching. The summary should state your level, area, and strongest relevant capabilities. The first experience section should contain the work most related to the job.

Do not hide the job target in a graphic title. Do not repeat the same keyword in every bullet. Relevance comes from accurate context. A recruiter should be able to answer these questions quickly:

  • What role does this person want?
  • What tools or methods do they use?
  • What scale have they handled?
  • What results did they produce?
  • Where are the strongest matches to this job?
