ATS Compatibility: A Fix List You Can Finish Today

ATS compatibility is a file and writing problem you can repair today. Use the file type the application requests, remove columns and tables, use standard headings, add a clear skills block, and tailor the resume to one job.

Then rewrite five bullets with real numbers, paste the finished resume into a plain-text box, and fix anything that lands out of order. This process helps when you apply through a company site or LinkedIn Easy Apply. It does not guarantee a particular employer score.

The repair sequence

Follow these steps in order. Do not start with colors, icons, or spacing. First make the resume readable as plain text.

1. Save the correct file type

Read the application instructions. Upload PDF when the employer asks for PDF. Upload DOCX when it asks for Word. If no format is named, use a text-based PDF or a clean DOCX and keep both versions ready.

A text-based PDF lets you select and copy the words. A scanned PDF is an image, so a parser may find little or no usable text. Test the file by opening it, selecting all text, and pasting it into a basic text editor.

Use a simple file name:

FirstName_LastName_TargetRole_Resume.pdf

Avoid a file name such as resume-final-final2.pdf. Do not put a photo, password, or extra pages in the upload unless the instructions request them.

2. Remove columns, tables, and floating objects

Two-column layouts can look tidy to a person but read in the wrong order. Tables can split dates from job titles or place one section inside another. Text boxes, sidebars, icons, logos, headers, and footers can also cause missing or misplaced text.

Use one main column. Keep contact details in the document body rather than a header or footer. Use ordinary text for phone, email, location, and LinkedIn URL.

A good repair test is simple: select the whole document and paste it into a plain-text editor. If the summary appears after the skills section, or job dates appear far from job titles, change the layout.

3. Rename headings so the parser can identify them

Use familiar section names. A recruiter can understand creative labels, but software may not map them reliably to a standard category.

Keep headings as visible text. Do not turn them into images. Keep each job entry in the same order: title, employer, location, dates, then bullets.

4. Add a dedicated skills block

Place a section called Skills or Technical Skills below the summary or near the top of the resume. Separate items with commas or vertical bars. Use the exact tool names that appear in the job description when they are truthful.

Example:

Skills: SQL, Python, Tableau, Salesforce, data analysis, dashboard reporting, stakeholder communication

Do not hide skills in a graphic. Do not list a tool you have never used. A skills block helps a parser find relevant terms, but your experience bullets should support the important ones.

5. Run one keyword pass against one job

Do not tailor the resume against five jobs at once. Choose the job you are applying to now. Extract 8 to 12 useful terms from its requirements and responsibilities.

Look for:

  • Required tools and platforms
  • Job-specific methods or deliverables
  • Certifications or credentials
  • Repeated responsibilities
  • Exact role language, such as forecasting, account management, or quality assurance

Separate must-haves from nice-to-haves. Add a term only when your background supports it. You can use the job description keyword extractor to list must-haves, tools, and nice-to-haves. Run that pass before rewriting bullets. It prevents a common error: adding a long keyword list while leaving the actual experience vague.

6. Put the terms where they make sense

Use a keyword in the skills block when it is a skill. Use it in experience when you performed the work. Use the full phrase once when the job description uses a specific phrase, then use a normal short form if helpful.

For example, if the job asks for customer relationship management software and you used Salesforce, write both when accurate:

Managed customer records in Salesforce, a customer relationship management platform, for 120 active accounts.

Do not repeat a phrase in every bullet. Do not add white text or a hidden keyword block. Those tactics make the document harder to review and can create an inaccurate application.

7. Rewrite five bullets with numbers

Choose five bullets tied to the target role. Give each one a clear action, task, and result or scope. Add numbers you know. Do not invent revenue, percentages, team sizes, or time savings.

Weak:

Responsible for reports and working with different teams.

Repaired:

Built weekly sales reports in Tableau for 4 regional teams, cutting manual spreadsheet preparation by 6 hours per week.

If you cannot prove a result, use a real measure of scope:

Processed 80 to 100 support tickets per week in Zendesk while maintaining documented escalation notes.

Use the job's language when it matches your work. If the description says cross-functional collaboration, a supported bullet can say:

Coordinated launch tasks with product, engineering, and marketing teams across 3 releases.

Repeat this repair for five bullets. Keep most bullets to one or two lines where possible. Start with a strong verb. Remove phrases such as responsible for and helped with when a more precise verb is available.

8. Check the reading order in plain text

Open Notepad on Windows or a plain-text document on macOS. Select all text in the resume, copy it, and paste it into the box. Do not use a word processor for this test because formatting can hide problems.

Check these points:

  • Name and contact details appear first.
  • The summary comes before experience.
  • Each employer stays with the correct title and dates.
  • Bullets remain under the correct job.
  • Skills are readable as separate terms.
  • No words disappear from headers, footers, tables, or text boxes.
  • Dates are understandable, such as May 2021 to August 2024.

If the pasted version is confusing, repair the source document and export it again. A visual review of the PDF is not enough.

9. Run a final file check

Open the exported file on another device if possible. Confirm that links work, pages are complete, and the file opens without a warning. Search for placeholder text such as lorem, [company], or insert metric.
