A resume is ats friendly when the file is easy to read as text, the sections have familiar names, and the content reflects the job description. You can fix the main risks today. The repair sequence

Work in this order. Do not spend an hour polishing colors before checking whether the text can be extracted.

1. Save the right file

Read the application instructions. Use the requested format. If the portal accepts PDF, use a text-based PDF with selectable text. If it requests DOCX, submit DOCX. Do not upload a photo, screenshot, or scanned resume unless the employer specifically asks for one.

Use a clear filename:

FirstName-LastName-Resume.pdf

Avoid filenames such as final_final2.pdf. Keep one clean copy for the application and one editable source file for revisions.

2. Remove columns, tables, and text boxes

Use one vertical reading path. Many parsers extract content in a sequence that does not match the visual design. Two columns can make your skills appear between job titles. Tables can split a date from the role it belongs to. Text boxes, sidebars, icons, and floating elements add similar risk.

Replace visual devices with plain text and spacing. Put the job title, employer, location, and dates in normal paragraphs. Keep contact details in the document body instead of a header or footer when possible.

3. Rename headings with familiar labels

Use headings a parser and a human will recognize quickly. Replace creative labels such as “My Story,” “What I Do,” or “Career Wins.”

Use one heading style throughout. Do not hide section names in graphics. Keep dates consistent, such as May 2021 to Present or 05/2021 to Present.

4. Build a focused skills block

Add a text-based section near the upper half of the resume. List skills in a readable line or short group of lines. Separate items with commas or vertical bars. Do not use star ratings, progress bars, or icons.

Only list skills you can support in your experience or discuss in an interview. A skills block helps extraction, but it cannot replace evidence. If the role asks for SQL, show where you used SQL in a bullet when that is true.

5. Pull 8 to 12 keywords from one job

Do one keyword pass against the job you are applying for. Do not try to build one generic resume for every role. Copy the job description into a document and mark phrases in four groups:

Select 8 to 12 important phrases that match your actual background. Use the employer's wording when it accurately describes your experience. A job may say “customer retention,” while your resume says “client renewal.” You can use both if both are accurate.

Place keywords naturally in the summary, skills block, and relevant bullets. Never add a tool, certification, language, or method you do not have. Keyword repetition can make the document harder to read and does not repair missing experience.

6. Rewrite five bullets with numbers

Choose five bullets tied to the target role. Give each bullet a clear action, work performed, and measurable result where available.

Use real numbers only. You can quantify revenue, volume, time, error rate, response time, conversion, retention, project count, team size, or scope. If exact figures are confidential or unavailable, use an accurate scale such as “supported 15 regional accounts” or “processed more than 200 tickets monthly.”

Keep the strongest five bullets close to the target role. Do not turn every line into a metric if the number adds no meaning.

7. Check contact details and reading order

Put your name, phone, email, city and region, and relevant professional link near the top in ordinary text. Check that the email address is correct. Avoid placing key information only in a header, footer, image, or icon.

Read the resume from top to bottom after exporting it. The order should be name, contact details, summary, skills, experience, education, and other relevant sections. Your actual order can vary, but it should be intentional and easy to follow.

Run the plain-text parsing test

This is a fast manual test. It does not reproduce every employer system. It checks whether the file has a sensible text layer and reading order.

  1. Open the exported resume PDF.
  2. Select all text with Ctrl+A on Windows or Command+A on Mac.
  3. Copy it.
  4. Paste it into a plain-text box, such as Notepad or TextEdit in plain-text mode.
  5. Read the pasted result from top to bottom.

Look for these failures:

  • The name is missing.
  • Contact details appear at the bottom or in the middle of a job section.
  • Columns are mixed together.
  • Dates are separated from employers or job titles.
  • Bullets become symbols, empty squares, or random characters.
  • Skills appear in an unrelated order.
  • Text inside a chart, image, table, or text box disappears.
  • A page has almost no selectable text because it is a scan.

Fix the source document, export again, and repeat the paste test. Do not fix the pasted text itself. The uploaded file is what needs repair.
