Three layouts that can fail parsing

A visually polished resume can still produce a poor text extraction. These are common problems.

Also remove icons from phone, email, location, and LinkedIn entries. A person may understand an envelope icon, but a parser may not connect it to your email address. Do not include a headshot unless the employer or local norm specifically requires one. Photos add no useful resume text and can create file or review issues.

A multi-column skills block is especially tempting when you have many tools. Replace it with a plain list. For example:

How to customize the template for one job

Customization should change the content, not the document structure. Keep the same headings, font, margins, and section order for the target application.

Start with the job description. Identify the required tools, processes, job title terms, certifications, and deliverables. Place accurate terms in the Skills section when you have used them. Add the same terms to experience bullets when a specific job proves them. Never add a skill you do not have just because it appears in the posting.

Next, revise the summary. Mention the role you are targeting, your relevant experience, and one or two job-related strengths. Keep it factual. Do not turn the summary into a paragraph of keywords.

Then select your strongest experience bullets. Put relevant work first within each role. Keep the employer, job title, location, and dates as ordinary text on one or two lines. Use the same date format throughout, such as Jan 2023 to Mar 2025.

Before:

The second version is more useful because it names the tools, work, and scope. Do not invent the account count. If you do not know the number, remove it.

Aim for about five relevant bullets across your most recent role or roles when that reflects your experience. Shorter roles may need fewer. Older or unrelated roles can use less space. Each bullet should describe an action, the work performed, and a result when you have a supportable result.

Check the extracted text before sending

First, export or save the file in the format requested by the employer. Then open the final file and inspect it. Copy all text and paste it into a plain-text editor. Check these points:

  • Is your name at the beginning?
  • Are phone and email details readable?
  • Do headings appear before their sections?
  • Does each job title stay near the employer and dates?
  • Are bullets in the correct order?
  • Are skills spelled exactly as intended?
  • Did any page break split a heading from its content?
