The fastest way to repair an ATS filter problem is to make your resume easy to read as plain text, then tailor it to one job. Use a simple file, standard headings, 8 to 12 truthful keywords, and five quantified bullets. Test the result before you apply.
An applicant tracking system parses the file first. The exact software and settings vary by employer. No public checker can prove the number an employer's system will produce. Your goal is a clean, searchable resume that a recruiter can also scan quickly.

The ATS filter repair sequence
Follow the steps in order. Save a new version for each target job so you can track what changed.
1. Read the posting before editing
Choose one job. Do not tailor against a general career goal or five different postings at once.
Read the requirements and mark:
- Required skills and qualifications
- Software, platforms, and methods
- Job title wording
- Industry terms
- Certifications, degree requirements, and years of experience
- Duties that match work you have already performed
Separate must-haves from nice-to-haves. Never add a skill, tool, certification, or responsibility you do not have. A keyword can help a parser find your experience, but it cannot replace evidence.
2. Fix the file type
Check the application instructions first. Submit the requested format.
If the posting accepts PDF, export a text-based PDF from your word processor. Open it and try to select a sentence. Copy that sentence into a text editor. If the text is missing, scrambled, or copied in the wrong order, repair the source document and export again.
Avoid scanned image PDFs. A scan may look perfect to your eyes while containing no usable text. Also avoid password protection, unusual fonts, decorative icons for contact details, and file names such as resume-final-final2.pdf.
Use a clear name such as:
Jordan-Lee-Project-Manager-Resume.pdf
3. Remove columns, tables, and text boxes
A two-column design can place the right-side content before the left-side content when parsed. Tables can split a date from its job title. Text boxes and headers can disappear or land in the wrong field.
Use one vertical column. Put content in the normal document flow. Keep contact details in the main body rather than relying on a header or footer.

You can still use spacing, bold text, and a restrained font hierarchy. Do not make the layout do work that words should do.
4. Rename headings in plain language
Replace creative labels with headings that describe the field clearly. “Where I Have Made an Impact” is less predictable than “Professional Experience.” “My Toolkit” is less direct than “Skills.”
Use headings such as:

Keep job titles, employer names, locations, and dates on separate, readable lines. Use a consistent date format, such as May 2021 to Present or May 2021 to August 2023.
5. Build a useful skills block
Add a dedicated Skills section below your summary or above experience. Group terms only when the groups help a reader.
Example:
Project management: Agile, Scrum, sprint planning, risk management
Tools: Jira, Confluence, Salesforce
Reporting: Excel, SQL, dashboard development
The skills block makes relevant terms easy to find. Your work history must support the important ones. If the job asks for SQL and you used SQL to build weekly reports, mention both in the Skills section and in a related bullet. If you have never used SQL, leave it out.
6. Run one keyword pass against the job
Aim for 8 to 12 useful terms from the selected posting. Copy the employer's wording when it truthfully describes your background. Acronyms can be paired with the full term when both are common, such as search engine optimization (SEO).
Do not repeat a keyword in every bullet. Put it in the best location:

Read the complete bullet after editing. It must still sound like a real work accomplishment, not a search term list.

7. Rewrite five bullets with numbers
Pick five bullets that relate directly to the job. Replace task-only wording with action, method, and result. Add numbers where you have them. Use percentages, revenue, cost, time, volume, team size, customer count, error rate, or delivery dates.

Use the numbers you can defend. Do not estimate a result simply to make a bullet look stronger. One strong number is better than a string of unsupported figures.
8. Check the order and date logic
Place the most recent relevant experience first. Keep each employer, title, location, and date attached to the correct entry. Do not put dates in a separate sidebar.
Check that your current role says Present if it is ongoing. Remove unexplained gaps only if you can explain them accurately. A parser cannot clarify a confusing timeline for you.
9. Perform the plain-text parsing test
This is the quickest manual test before submission.
- Open the finished PDF.
- Select all text, or use
Ctrl+AorCommand+A. - Copy it.
- Paste it into a plain-text box, such as Notepad on Windows or TextEdit in plain-text mode on Mac.
- Read from top to bottom.
Look for these failures:
- Your name or contact details are missing.
- A sidebar appears in the middle of a sentence.
- Job titles are separated from employers.
- Dates appear under the wrong job.
- Bullets lose their text or become strange symbols.
- Skills appear in an order that makes no sense.
- Text is trapped in an image.
If the pasted version is hard to follow, return to the source document. Remove the element that caused the error. Export and test again. Keep the plain-text version readable without visual styling.

10. Save, reopen, and apply
Save the final PDF with a professional file name. Reopen the saved copy, not only the editable source. Confirm that the page count, links, dates, and text selection still work.
