The safest ats format for most applications is a chronological resume with standard headings, plain text, consistent MM/YYYY dates, and no tables, graphics, icons, or text boxes. Use a combination format when your skills need more context. Avoid a functional format unless you have a specific reason and can still provide clear employers, roles, and dates.

An ATS usually needs to identify your contact details, work history, education, skills, and job-specific language. Your document should also be easy for a recruiter to scan after it passes that first file read. A stylish layout that breaks reading order is a bad trade.

Choose the right resume structure

Your format controls what the reader notices first. It also controls how clearly the file presents dates and job history.

Resume formatHow it worksATS strengthsCommon problemsBest use
ChronologicalLists jobs from newest to oldestClear employers, titles, dates, and progressionCareer gaps or frequent changes are easy to seeMost applicants with relevant work history
CombinationLeads with a focused skills summary, then gives detailed chronological work historyConnects capabilities to the job while preserving datesCan become repetitive or too longCareer changers, technical specialists, and applicants with transferable skills
FunctionalGroups achievements by skill area and gives less attention to employers and datesCan surface skills when job history is unusualHides context that parsers and recruiters need; often looks evasiveRare cases with a strong reason, followed by a full work history

Choose chronological if your recent roles match the target job. Choose combination if the job match depends on skills gained across different roles. Functional resumes usually lose because they separate achievements from the employer, title, and date that give those achievements meaning.

Do not use a format to hide experience you do not have. A resume should clarify your background, not disguise it.

For a broader explanation of structure choices, read ATS-Friendly and Professionally Structured Resumes: What to Keep, What to Kill in 2026.

Use a predictable section order

A simple order helps both parsing and review. Adjust it only when the job requires a different emphasis.

  1. Name and contact information
  2. Professional Summary
  3. Skills
  4. Work Experience
  5. Education
  6. Certifications, Projects, or relevant additional sections

For a student or recent graduate, Education can move above Work Experience. For an experienced applicant, Work Experience normally carries more weight than Education.

Use headings that describe the content directly:

  • Professional Summary
  • Skills
  • Work Experience
  • Education
  • Certifications
  • Projects
  • Volunteer Experience

Use “Work Experience,” not “Where I’ve Been.” Use “Skills,” not “Things I Can Do.” Creative labels may look distinctive, but they give a parser less information and make a recruiter work harder.

Keep each job entry in a consistent order:

Job Title
Company Name, City, State or Country
03/2022 to 08/2025

You can place the date on the same line as the company if the text order remains clear. Do not put the employer, title, and dates into separate floating boxes.

Write dates in MM/YYYY format

Use two digits for the month and four digits for the year. Examples include:

  • 01/2021 to 06/2023
  • 07/2023 to Present
  • 09/2018 to 12/2020

Pick one style and use it everywhere. Do not mix “March 2022,” “03/22,” and “2022 to Present.” Avoid unexplained years when month-level detail is available.

If you held several roles at one company, show each title and its own dates. This gives the parser and recruiter a readable promotion history.

Right-align dates in Word without a table

A Word table is not necessary for clean date alignment. Use a right tab stop.

  1. Type the job title and company text on the left side of the line.
  2. Turn on the ruler by selecting View, then Ruler.
  3. Select the paragraph or paragraphs that will contain dates.
  4. On the left side of the ruler, choose the right tab stop symbol. It looks like an upside-down L.
  5. Click near the right margin on the ruler to place the tab stop.
  6. Put the cursor between the company text and the date. Press Tab once.
  7. Type the date, such as 03/2022 to 08/2025.

The result can look like this:

Marketing Manager, Acme Corp 03/2022 to 08/2025
Project Coordinator, Northstar Ltd 06/2019 to 02/2022

Use one tab, not a string of spaces. Spaces shift when the font or margin changes. A right tab stop keeps the dates aligned without adding a table's row and column structure.

Check the PDF after exporting. Highlight and copy the text into a plain text editor. The title, employer, dates, and bullets should appear in the intended order.

Keep the page simple

Use one column. Keep the body text in a common font such as Arial, Calibri, Georgia, or Times New Roman. Use normal text characters for bullets. Keep font sizes readable and use consistent spacing between sections.

Remove these layout elements:

  • Text boxes
  • Tables used for page layout
  • Multiple columns
  • Headers and footers containing essential contact details
  • Logos, headshots, charts, and skill bars
  • Decorative icons for phone, email, or location
  • Large blocks of color behind text
  • Underlines or shapes used as section dividers

A one-page resume is sensible when you are early in your career or have limited relevant experience. A two-page resume is appropriate when you have enough relevant work, projects, certifications, or leadership evidence to justify the space. Do not shrink the font or margins to force everything onto one page. Do not add weak bullets just to fill two pages.

The correct rule is relevance first. Keep the strongest evidence for the target job and remove repetition.

Think of the following as a text description of a layout gallery.

Do this: clear single-column entry

The left edge lines up across the page. The name is at the top. Contact details sit below it as text. Each section has a standard heading. Job titles are easy to find. Dates use MM/YYYY and align with a tab stop. Bullets begin with ordinary bullet characters or hyphens. The PDF can be selected and copied in a logical order.

Not this: two-column personal brand page

A colored sidebar holds contact information and skills. The main area contains work history. A logo sits above the name. The file looks polished, but the parser may read the sidebar after the main content or mix the skills into the job entries. Essential information should not depend on a column layout.

Do this: text-based skills section

SKILLS
SQL, Python, Salesforce, Excel, project planning, stakeholder communication

Use the terms that accurately describe your experience and match the job description. Include the full term and a common abbreviation when both are relevant, such as “Search Engine Optimization (SEO).”

Not this: visual skill bars

Python ██████████ 90%
SQL ████████ 80%

A visual rating has no reliable meaning to a parser or recruiter. It also takes space away from evidence. Put the skill in text and prove it in a work bullet.

Do this: normal bullets with results

- Reduced monthly reporting time by 30% by automating recurring Excel workflows.
- Managed a CRM data cleanup covering 12,000 customer records.

Not this: vague keyword pile

Communication, leadership, teamwork, problem solving, organized, motivated

A skills list cannot replace evidence. Add the tool, action, scope, or result when you can support it.

Match the file to the job description

An ATS format is more than a clean page. Your resume still needs the language the job uses. Read the description and identify required skills, tools, certifications, job titles, and work methods. Add a term only when it accurately describes your experience. Do not claim a missing skill or invent a result.

Run the PDF and job description through the ATS resume checker to see a match score, missing keywords, and gaps. The checker scans the uploaded PDF for its result and does not save it to an account. It is useful for finding omissions, but it cannot prove how a specific employer system will score your file. If you want a tailored draft from your real profile, paste the same job into YourUnique.cv. The paid product can keep your layout or use a built-in template, then produce a CV from your profile facts and an ATS read against that job description.

Check the exported PDF

PDF is often a practical submission format when the application accepts it, but export settings can alter spacing or text order. Open the final file and inspect every page.

Then run the plain-text paste test:

  1. Open the PDF.
  2. Select all text.
  3. Copy it into Notepad or another plain text editor.
  4. Read from top to bottom.
  5. Confirm that contact details, headings, employers, titles, dates, skills, and bullets appear in order.

Look for missing characters, scrambled columns, broken bullet marks, duplicated text, and dates separated from the jobs they describe. Fix the Word file, export again, and repeat the test.

A checker can give useful signals, but no public checker is the same system an employer runs. Treat the result as a quality check, not a hiring prediction. The ATS Check: Step by Step for 2026 Applications guide covers the wider review process.

If your document needs a rebuild, YourUnique.cv can use your resume and a job description to create a tailored CV from the facts you provide. Review every line before sending it. You remain responsible for accuracy.

Apply today checklist

  • Export the final resume as a readable PDF, unless the application requests another file type.
  • Use a one-column layout with no tables, text boxes, graphics, or essential header and footer content.
  • Use standard headings such as Professional Summary, Skills, Work Experience, and Education.
  • Format every work date consistently as MM/YYYY, with Present for a current role.
  • Add accurate job-specific skills and tools. Do not add skills you do not have.
  • Write at least five strong bullets when your experience supports them. Give each bullet an action, task, scope, or result.
  • Copy and paste the PDF into plain text. Confirm that the reading order is correct.
  • Run the file through the ATS resume checker with the target job description.
  • Open the exported PDF one final time before uploading it.

This format gives the parser clear text and gives the recruiter a fast path to your evidence. That is the goal.

Questions

What is the best ats format for most job seekers?
A chronological resume is the safest choice for most applicants because it places recent roles, employers, dates, and achievements in a clear order. A combination format can work when you need to connect strong skills to a less direct career history.
Should resume dates use MM/YYYY?
Yes. Use a consistent format such as 03/2022 to 08/2025 or 03/2022 to Present. MM/YYYY gives the parser a clear month and year without adding visual clutter.
Are tables safe in an ATS resume?
Tables can cause reading-order problems, especially when columns are used for dates, skills, or contact details. Use plain text and Word tab stops instead of tables for alignment.
How can I test my ats format before applying?
Upload your PDF and paste the job description into the [ATS resume checker](https://yourunique.cv/free-tools/ats-resume-checker). It reports a match score, missing keywords, and gaps. The result is a file scan, not the number from an employer's Workday or Greenhouse system.
Can [YourUnique.cv](https://yourunique.cv) help create an ATS-ready resume?
Yes. You can upload your resume, keep its layout or choose a built-in template, add a job description, and receive a CV written from your profile facts. It also provides an ATS read against that job description.
